Overall Satisfaction with Assembly Neos

Before using Assembly Neos, updates and notes were scattered across emails, calls, and various tools. It wasn't efficient. We came across Assembly Neos, and it has helped us keep all client-related communications and internal notes in one platform. This platform has helped me and everyone align. I can see real time and review timelines. The use of templates and workflows helps us save so much time.

Pros

  • Reporting & Dashboard: Helps us track the overall case progress.
  • Case/Project Management: All relevant documents, notes, and updates are stored within Assembly Neos for each matter or case file. This has been a game changer.

Cons

  • While Assembly Neos offers templates, I think sometimes it can be rigid. Customizing workflows for niche practice areas or unique internal processes can be more time-consuming than expected.
  • I've noticed that the search sometimes feels clunky or inconsistent. It doesn’t always surface the most relevant results (especially if you're searching by partial client names, case IDs, or task details).
  • Uploading and managing documents is functional, but lacks depth. There’s no version control, limited tagging/categorization.
  • I have spent significantly less time jumping between tools or hunting for documents and case notes.
  • I've had fewer missed deadlines, faster case resolution, and higher client satisfaction, which resulted in a boost referrals and revenue.
  • As the firm grows, Assembly Neos scales with you no need to migrate to a new system or constantly reinvent processes.
I give Assembly Neos a 10/10 rating. With automated workflows, templates, and reminders, Assembly Neos drastically cuts down on manual admin work. I'm also able to focus more on actual case strategy and client services instead of repetitive data entry or looking for paperwork. I even think team members with limited tech experience can navigate Assembly Neos easily, I believe it's user friendly.
Unlike more general platforms like Clio, Assembly Neos is built with PI firms in mind.

For example, since we're a personal injury law firm Assembly Neos helps us juggle more than hundreds of active cases. It also keeps attorneys and case managers aligned and updated on timelines and responsibilities, it's efficient.

6 - Our law firm likes the built-in tools for email, SMS, and RingCentral integration and the communication logs are linked to cases. We also like the dynamic workflows for intake and case progression, reducing manual work and minimizing errors which time efficient. Another thing is the client portals and enhanced notifications to ensure responsive engagement.

The platform combines powerful automation, centralized document management, and seamless communication tracking in a way that saves our team hours every week. It’s intuitive for new users, highly customizable to match our workflows, and backed by responsive customer support. NeosAI and workflow automation have noticeably reduced manual tasks, allowing us to focus more on client service and case strategy. Overall, it’s become an essential tool for running our firm efficiently and effectively.

The single most important factor in our decision to choose Assembly Neos was its ability to streamline and automate our entire case lifecycle without sacrificing ease of use. We needed a platform that could handle intake, document generation, communication tracking, and reporting all in one place, while still being intuitive enough for our whole team to adopt quickly. Neos offered the right balance of customization and simplicity, plus integrations with tools we already used like Office 365 and DocuSign. That combination meant we could immediately improve efficiency and accuracy across the firm without a long learning curve.
If we had to do it again, we would spend more time on hands on testing with sample cases across different teams before making the final decision. While we reviewed demos and features thoroughly, allowing each role intake, paralegal, and attorney to test the system in real world scenarios would have helped us identify minor workflow adjustments earlier. We might also have conducted a deeper evaluation of AI and automation features, to fully understand their potential impact on drafting and document management. Overall, the process would have been more collaborative and practical focused, ensuring an even smoother adoption.

Configuring Assembly Neos

I think the product’s configurability is just right for this type of product. It offers enough customization to adapt workflows, document templates, dashboards, and automation to our firm’s specific needs without being overwhelming. The settings are intuitive, and most adjustments can be handled in-house without needing a developer. While highly technical users might want even deeper configuration options, the current balance keeps the system powerful yet user-friendly for everyday legal staff.
My top recommendations are to map your workflows before setup, use stage-based checklists, and standardize your document templates early. Build role-specific dashboards, keep custom fields limited to what you’ll actually use, and always test automations in a sample case before going live. Finally, document your setup decisions so new staff can quickly adapt.
