Overall Satisfaction with Assembly Neos
Before using Assembly Neos, updates and notes were scattered across emails, calls, and various tools. It wasn't efficient. We came across Assembly Neos, and it has helped us keep all client-related communications and internal notes in one platform. This platform has helped me and everyone align. I can see real time and review timelines. The use of templates and workflows helps us save so much time.
Pros
- Reporting & Dashboard: Helps us track the overall case progress.
- Case/Project Management: All relevant documents, notes, and updates are stored within Assembly Neos for each matter or case file. This has been a game changer.
Cons
- While Assembly Neos offers templates, I think sometimes it can be rigid. Customizing workflows for niche practice areas or unique internal processes can be more time-consuming than expected.
- I've noticed that the search sometimes feels clunky or inconsistent. It doesn’t always surface the most relevant results (especially if you're searching by partial client names, case IDs, or task details).
- Uploading and managing documents is functional, but lacks depth. There’s no version control, limited tagging/categorization.
- I have spent significantly less time jumping between tools or hunting for documents and case notes.
- I've had fewer missed deadlines, faster case resolution, and higher client satisfaction, which resulted in a boost referrals and revenue.
- As the firm grows, Assembly Neos scales with you no need to migrate to a new system or constantly reinvent processes.
Unlike more general platforms like Clio, Assembly Neos is built with PI firms in mind.
It offers features tailored for handling medical records, demand letters, settlement tracking, and lien resolution. Like most modern systems, it’s fully cloud-based—but Assembly Neos impressed us with its built-in data encryption, user permissions, and reliable uptime.
Perfect for remote or hybrid teams needing 24/7 access to files.

Using Assembly Neos
6 - Our law firm likes the built-in tools for email, SMS, and RingCentral integration and the communication logs are linked to cases. We also like the dynamic workflows for intake and case progression, reducing manual work and minimizing errors which time efficient. Another thing is the client portals and enhanced notifications to ensure responsive engagement.
2 - Strong process mapping and automation design (checklists, triggers, stage progressions).
Understanding of conditional workflows ( intake → medical records → settlement).
Ability to configure document automation tools and OCR-based searches. The types of people required to support NEOS is understanding of law firm workflows, intake processes, and case management best practices. They would need the ability to map legal processes into Neos checklists, workflows, and automations.
Familiarity with document templates (pleadings, contracts, demand letters, etc...)

Familiarity with document templates (pleadings, contracts, demand letters, etc...)
- Streamlining the intake process from first contact to signed retainer.
- Centralized storage for pleadings, medical records, correspondence, and settlement packets.
- We built a workflow in Neos that automatically sends reminders to request or follow up on medical records at set intervals, reducing delays and freeing staff time.
- We customized dashboards to track each stage of negotiations, including offers, counteroffers, and settlement dates, so attorneys can instantly see negotiation history without digging through emails.
- Intake forms are linked to marketing source tracking, so we can instantly report on which campaigns are generating the highest value cases.
- Using historical case data in Neos to estimate likely settlement ranges or timelines, helping set realistic client expectations early.
- Building advanced dashboards to track attorney and paralegal productivity metrics for workload balancing and performance reviews
Evaluating Assembly Neos and Competitors
Not Sure
- Cloud Solutions
- Scalability
- Integration with Other Systems
The single most important factor in our decision to choose Assembly Neos was its ability to streamline and automate our entire case lifecycle without sacrificing ease of use. We needed a platform that could handle intake, document generation, communication tracking, and reporting all in one place, while still being intuitive enough for our whole team to adopt quickly. Neos offered the right balance of customization and simplicity, plus integrations with tools we already used like Office 365 and DocuSign. That combination meant we could immediately improve efficiency and accuracy across the firm without a long learning curve.
If we had to do it again, we would spend more time on hands on testing with sample cases across different teams before making the final decision. While we reviewed demos and features thoroughly, allowing each role intake, paralegal, and attorney to test the system in real world scenarios would have helped us identify minor workflow adjustments earlier. We might also have conducted a deeper evaluation of AI and automation features, to fully understand their potential impact on drafting and document management. Overall, the process would have been more collaborative and practical focused, ensuring an even smoother adoption.
Configuring Assembly Neos
My top recommendations are to map your workflows before setup, use stage-based checklists, and standardize your document templates early. Build role-specific dashboards, keep custom fields limited to what you’ll actually use, and always test automations in a sample case before going live. Finally, document your setup decisions so new staff can quickly adapt.
We customized Assembly Neos to fit our personal injury workflow by creating stage-based checklists for Intake, Pre-Litigation, Litigation, and Settlement, each with automated task triggers. We also built custom fields to track medical provider requests, insurance details, and settlement offer history. Our document templates are fully integrated so we can generate demand letters, HIPAA authorizations, and settlement releases in minutes. In addition, we set up role specific dashboard attorneys see active caseloads and upcoming deadlines, while intake staff see leads and conversion rates. These configurations have made the platform feel truly tailored to our firm.
