Overall Satisfaction with EMS Software

Accruent EMS Software is being used by our department primarily, the University Conference Center, to manage our meeting and event spaces, as well as all physical resources (equipment, A/V, etc.) associated with that. We also use this to track and manage our client database. In addition, it allows us to produce our contracts and develop and generate several reporting features that benefit our business.
  • Booking/reservation of space - manages convertible/shared spaces (such as multi-section breakout rooms) exceptionally well.
  • Group/client management - tracking of contacts and associated reservations
  • Reporting - easy to build custom reports and a plethora of useful, standard reports
  • User Interface - could look a little more modern and cleaner
  • Staffing/event coordinator management - develop more support for managerial tracking and support of event planner staff use/reservations
  • Automated report delivery message text - ability to add a email message/body to automated report delivery
  • Decreased reservation management time/resources
  • Enhanced reservation booking integrity (i.e. no double bookings/conflicts)
  • Enhanced facility management - i.e. turnover time for meeting space and tracking of available equipment
I previously had to use Google Suite apps, e.g. Sheets and Forms, to track and manage space and facility resources - those two factors having to be tracked separately made it incredibly difficult. EMS allows us to seamlessly and automatically track the use of our spaces and our equipment, all together.
EMS can be brought in for basic space reservation needs - which would be very useful. As a space use needs develop and reach further complexities, EMS scales incredibly well to optimize the management of such space, allowing an organization to focus it's resources of staff and time in more important areas.
I believe the configurability for EMS is perfect - it allows for intuitive modifications to be made for an organization's specific implementation, and it allows for custom data fields (called User Defined Fields, UDFs) which allows you to manage/track just about anything. The use of these configurations is seamless and easy.
Reminders feature works very well as we book, track, and plan for reservations/events - we use Reminders to inform client of and keep track of the payment due date, event layout finalization deadline, and contract due date. We also use many other reminders and will soon start implementing notification reminders to automatically notify clients of similar types of event planning aspects/steps.

EMS is a reliable software that is well supported and developed. It has robust features and customizable components that allow us to effectively and efficiently manage our entire conference center operation.
