Overall Satisfaction with SaaSOptics

SaaSOptics is used for our contract and revenue management, billing and collections. It is primarily used by the accounting and finance teams, however, all departments utilize the information derived from the system for addressing business needs. For example, our support teams access SaaSOptics transaction and invoice data with the Salesforce.com integration to give information to clients across multiple products without transferring them to the billing department.

It has also address the following major business problems:

  • Month-end reconciliation and close has decreased due to the accuracy of the system and the level of detail provided in our GL.
  • The executive team now has access to metrics that were previously non-existent for our company through other software.
  • Collections efforts have improved with their new collections module.
  • Billing accuracy has improved entirely and call volume to address billing concerns has reduced.
  • Quote-to-cash process has improved with Stripe and Salesforce.com integration.


Pros

  • Managing deferred revenue.
  • Contract management is flexible and allows us to see data that we never had before.
  • Billing is painless and is now done within a couple hours. Previously it would take at least 1-2 days.
  • Business Metrics and Reporting.

Cons

  • I would like to see a feature where clients can be notified if payments are applied to invoices.
  • SaaSOptics has helped decrease the time spent on month-end. Their reporting is always accurate and reconciling deferred revenue is no longer a headache.
  • Increased accuracy in billing which has decreased the amount of invoice inquiries by our clients.
  • Sped up the quote-to-cash process with Salesforce.com and Stripe integration. Sales orders are processed faster and customers are utilizing "buttons" on invoices to submit payment details.
  • Increased our ability to stay on top of past due invoices with new collections module.
  • The metrics in SaaSOptics has improved financial presentations by providing more insight into our business.
Zuora is a B2C subscription billing system best used for companies like Netflix. For a B2B company, the sales process can be much more complex and Zuora was never able to handle that. For the 2 years we struggled with Zuora (now referred to the dark ages within our company) we had limited access to knowledgeable support reps who understood the system and accounting/finance. Zuora did not integrate with our GL system, so only summary level data was available, which made reconciling a pain. The reporting never matched up and we had to hire a resource to go through all historical transactions to find the errors. Once SaaSOptics was implemented, it has immediately improved our ability to close our financials in a timely manner. In addition to that, their support team is the best that I've worked with across all vendors. After dealing with Zuora, we spent at least 6 months evaluating SaaSOptics to Zuora and other systems. They convinced us that they were what we needed in order to finally have accurate revenue data. Overall, we selected SaaSOptics because their system is designed for B2B, integrates with our CRM and integrates with our GL, syncing important customer level invoice data.
Managing deferred revenue can be tedious and inaccurate if not maintained properly. For a B2B business, SaaSOptics has the functionality that allows for us to properly build contracts, bill, and recognize revenue, streamlining the month-end close. Since it syncs customer-level detail with our GL, it allows for easy reconciliation. SaaSOptics has allowed us to be more flexible for our clients and their billing needs.
