Overall Satisfaction with Workfront

We use Workfront to run our new product development projects that include product management, engineering, testing/compliance, quality, manufacturing, and marketing. Initially, we used it for engineering and compliance; however, we are in the process of expanding the scope to include everyone in the process. We also have some helpful request queues. One, in particular, supports our customer service department when they need a special bill of material. They can request a BOM from engineering with a two day turn around or less. We run about 500 - 700 requests per month through this queue. We also are using the ProofHQ proofing to support our marketing literature production process.

Pros

  • Collaboration - the ability to discuss and comment on ongoing tasks is really helpful. Before Workfront we would use email. Email threads can become complicated and confusing. Workfront simplifies some of these difficulties because the conversation takes place in the context of the work and it's in a public place rather than in just a few inboxes.
  • Request Queues - these are useful for a variety of situations like project initiation, simple work requests, change requests, etc. You have the ability to automatically assign or route each request based on information provided by the requester.
  • API - I was able to develop a custom connector between SharePoint 2003 and Workfront to automate task creation.
  • Community - Workfront has an active community that you can access through the community portal.
  • Reporting - the reporting system is intuitive and powerful.
  • Training - Workfront has invested heavily in training resources and help system. As the Workfront admin, I refer to them regularly.

Cons

  • Performance - We experience slow performance at times. This mainly affects project managers who are editing/creating projects. I haven't received many complaints from other team members on performance.
  • The ProofHQ/Workfront integration still needs some work. It's improving rapidly though.
  • As an admin it can be difficult to manage email notifications. While each user can manage their settings, few of my users understand them. It's difficult to dial in the right level of email notification. Users can get annoyed that they are getting too many notifications or not the right ones.
  • Collaboration - it's had a positive impact on the level of collaboration between departments
  • Approvals - streamlined approvals for project documents and marketing literature
The system is intuitive and powerful and extendable with the API and custom HTML reports that you can view natively in Workfront. The out of the box reporting does have some limitations.
It's well suited for situations where MS Project, email and shared docs (SharePoint) are not sufficient to coordinate projects. So there is a base level complexity that's required that might be around 20-30 users. If you are looking for an integrated solution Workfront might fit the bill. If you looking at a larger implementation 2,000+ users it may be under sized; however, I can't speak from experience at that end of the spectrum.
