It is well suited if you have a specific work force or are working in a production or an assembly line style environment. It is also well suited if you have small teams that have to get out a certain amount of product in set periods of time. AceProjects is great for monitoring how long each individual spent on their specific task and subsequently how long the team took to complete their work.

Todoist

Todoist is a wonderful tool for those who work off of checklists and who can keep going back to a single list to keep track of what to do next. Todoist is also a good tool for those with project work, as you can put all tasks that are needed for a project within said project and still give due dates, so they show up on the days they need to be worked on.The business edition is great for those who will need to delegate tasks to others, especially with the notes section to pass on important information. It is not so great for seeing a bigger picture of the workload schedule, as other Kanban or Gantt chart schedule programs would be.

  • I wish it was easier to skip an instance of a recurring task when you're out of office or going on vacation. Instead, the only way I've found to hack around it is to change the start date each time with the every! ____ command
  • I'd like a calendar or side-by-side that let's me see the number of tasks across a given week, month, etc. That would help for planning purposes
  • It would be nice to see added insights about my productivity—days that are typically the most productive, types of tasks that typically take longest (integration with Toggl) or are postponed most frequently

I really disliked Wunderlist, Trello was great for project management, but not so great for whole life, quick and easy task management, and Evernote served me well enough...except it's really not built for task management either and not having the option of setting up recurring tasks made the entire process cumbersome and painful. I use Todoist from the moment I open my computer until long after I close it. The mobile app keeps me on track when I'm not by my computer and makes errands, like grocery shopping, a lot more enjoyable. Plus, I asked my husband to start using it, so now we can figure out chores and stock the fridge without a millions of texts and calls.

Return on Investment

  • We were able to track our production teams work and refine our methods to improve deliverable dates.
  • Once our staff reached a certain size the capability of the software began to lag. Diminishing returns.
  • The lack of reporting features made data regression and extrapolation difficult.

  • Todoist helps me manage my own workflow...and that helps everyone else on the team stay on track too, making sure I'm not the roadblock to project progress
  • Our team is much more aligned with this tool, to the point where we don't have to waste time communicating in 10 different channels
  • Todoist gives me a sense of my own productivity in hard numbers, and the same for my team (plus Karma is fun)
