WorkflowMax

WorkflowMax is very well suited for a business that wants to track time billed by project, to have an easy way to generate invoices for those projects, and to keep track of overall productivity and invoice status. I imagine it can also be adapted to different types of businesses that deal in goods rather than services and time. I am not sure for which scenarios or businesses the program is not appropriate.

Cons

  • Integration with inventory - there are a lot of companies out there which provide a service which includes selling items either purchased or held in stock or "kitted"
  • User permission levels need to be more flexible and ideally closely tied to Xero
  • Two way integration with Xero - ability to import invoices to specific jobs
  • Ability to save pdfs to purchase orders, invoices (like Xero)

Decide how to breakdown your ongoing jobs - are they monthly recurring or annual broken into chunks?What are you going to give clients i.e. how will your proposals and invoices look?

Alternatives Considered

I made comparisons with two Legal Practice Management systems, InfinityLaw and OneLaw. These systems were more expensive and had functionality/modules which we did not require. I am experienced with WorkflowMax so that was a key factor, along with pricing. I also felt it was more likely that WorkflowMax will at some stage integrate with Microsoft SharePoint, compared with the others.

  • It ensures you bill for all expenses because it's easy to add costs to jobs
  • Invoicing is handled accurately and easily and dovetails exactly into Xero
  • Good visibility other staff jobs
