Overall Satisfaction with WorkflowMax

We have on site engineers that need to track time spent on site so they each log their individual time and then I collate all the information into invoices. We also use it as our CRM.
  • It is very simple to use. The engineers don't have time for big training sessions and they have picked up on how to use it very easily.
  • It is easy to correct mistakes. Sometimes the engineers don't get things set up right on jobs and I have to rectify the issues and it is so simple to do with just adding additional templates to jobs.
  • The report builder is marvelous. I am able to create all sorts of reports for all sorts of situations and creating mailing lists etc., is so easy.
  • I think invoicing multiple clients at one time of the month, like we do at the end of the month, can take a little time as I have to go into each individual client and create an invoice. It would be great to have the functionality to create invoices for multiple clients that had time on their jobs for that month.
  • Definitely increased employee efficiency by making my life easier invoicing each month!
  • Also catching out on lost revenue - before we struggled to track the time spent on jobs where as now it is easy so revenue has increased.
In terms of CRM I always found Capsule to be clunky and difficult to use. WorkflowMax makes it easy for me to gather all the relevant info about our clients in one place with the document manager and also the custom fields that we can add in. I have been able to analyse where our clients are and what segments that are in etc.
If you are in a business that needs to track time for the purpose of invoicing then WorkflowMax is the best product out there. You can create templates so that you are not repeating yourself a million times and it helps to keep all our client notes in one place.

Using WorkflowMax

10 - Workflow Max is used by our Engineers, both onsite and offsite as well as our Sales team using it as it's CRM. Mainly it is used by the administration team for invoicing and time tracking, as well as CRM purposes.
1 - Mainly common sense as that is what it takes to understand the system!
  • Time tracking
  • Invoicing
  • CRM uses
  • Reporting
  • The reports section has meant that we have created reports that we did not even know we needed and has meant we have a much better grip on time spent by engineers.
  • Using the photos function on client contacts means that we have a much more personal touch come meeting times as you already know who you are meeting.
  • We would like to learn more about the leads function as yet we have not used it to its full potential.
Because we can't imagine being without it!
