Use Cases and Deployment Scope

We needed a CRM for our prospecting and account management within the business and selected to use Act! CRM as an option for this, we also wanted to use the email marketing tools as extra to communicate with our customers on a regular basis and ensure we were monitoring emails sent and other communications we've logged such as calls, history notes etc.

  • Better incorporation of email marketing into the contacts, currently works as a email tab which doesn't always work
  • Technical issues where databases break or go down/can't be accessed happened a few times over the year during working days which stops our prospecting activities

Act! CRM is well suited as a CRM with the option to send email marketing to customers and prospects. It also works well with online and telephone sales, particularly where teams of people may be accessing contacts and updating updates which may change over time as there's a visible history by user. When removing users you have to merge these into other users which can get a little confusing for notes when a former employee's note becomes yours.

We use Act! CRM for several of our business functions. Not only is it a traditional contact CRM, we also utilize the Opportunities module to track new and potential business opportunities. Additionally, we use Act! CRM to generate our proposal documents utilizing Word templates. Finally, as a separate database, we use Act! CRM to track and record our current and closed projects.

Pros

  • Provides plenty of storage to add nearly an infinite number of contacts and information.
  • Makes it easy to see new added information.
  • Let's you customize the field names and add new ones to fit your business.

Cons

  • The auto saving function is not great. It means a simple slip or mistype can change an entire record easily.
  • The reports are clunky and if you've changed the field names, that doesn't get reflected in the reports.
  • The interface is still clunky. It is hard to see all the information for a contact all in one place. It gets broken up too much.

Act! CRM is well suited as a simple CRM program. However, for mass marketing, opportunity tracking or anything more complicated, it does not offer the functionality to make it easily useful or user friendly.

I just wish this worked as described!

I use it to manage all day-to-day activities within the business. It keeps track of all my enquiries, opportunities as well as clients. I use Act! to schedule all of the work for all of my clients and team members. It is an integral part of the business that I couldn't live without.

  • Google synchronisation.
  • Software development response time.

Whilst the software is incredible, Google synchronisation is absolutely vital to my business. When I upgraded to the cloud system I was promised that Google synchronisation would work. It is even advertised on the website that Google synchronisation works. Google Calendar synchronisation is critical to the way my new enquiries come into the business, new enquiries book discovery calls with me on Google. For the last 4 months I have been unable to allow any new enquiry to book online as the calendar synchronisation is not working. I spent countless hours on the phone to the software support team, I'm completely at my wit's end. This problem has been going on for four months and they just don't seem interested in fixing it! I'm left feeling bitterly disappointed as I have purchased a product (it's cost me £1000 for three licenses) that just doesn't work the way it was promised or advertised.

ACT! CRM is our primary CRM across the entire organization. The service is really more used as a database (store of information) though than CRM (sales follow ups, etc.). The database of information is mission critical to every department.

Pros

  • User Fields provide organized space for KEY info outside of just contact info
  • Search feature within the database / CRM

Cons

  • A bit clunky / old school looking compared to other platforms out there
  • Running reports is a bit confusing
  • Would like to see more direct user-customization capabilities

Likelihood to Recommend

Well suited for a small company database (store of information), but I think [in my opinion] it lacks in value on a full fledge CRM system.

We use ACT! CRM daily. ACT! is the software used for each of our clients and is used for company marketing. ACT! has templates available for auto mailers and is very user-friendly. I have been using ACT! since 2004 and find its feature to be exactly what is needed to manage marketing tasks.
ACT! has mobile applications that help with business tasks on the go. I would highly recommend this software.

ACT! is best used in a marketing call center type situation. We have many clients on board and can assign our marketing reps different ACT! databases based on need for scheduling purposes. I would not recommend ACT! for a single salesperson scenario since the set up process is more suited for a company situation.

Poor tech support makes ACT! virtually unusable without internal IT support.

We have two users. Used to capture details of customers and prospects and as a marketing tool. We use ACT! to email our customer base with special offers, new products etc.

Pros

  • Bulk email

Cons

  • Not intuitive to use. I will have to contact support for help if I haven't used some functions in a while.
  • It's near impossible to delete duplicates as they have to be deleted individually. This is a problem if you have more than 5000 contacts.
  • Reporting is difficult.

Experience with Swiftpage ACT! frustrating, disappointing

We use Swiftpage ACT! as our contact database to manage our communications with our membership, allied industries, government entities, and product users. We have 2,500 contacts in Swiftpage ACT! and we use it for tracking various subgroups within our organization and in sending emails. Our membership contacts are grouped by individual company, membership status, and what specific committees and work groups they participate in.

Pros

  • Can quickly search for an individual or company contact
  • Can gather broad amount of information about each contact
  • Can easily create emails to reach out to specific groups

Cons

  • Creating reports or creating searches for specific fields is not intuitive.
  • Email marketing add-on service is far from user friendly and outdated in flexibility for creating useful emails.
  • Installing updates creates issues, even though Swiftpage ACT! functioned properly before the update.
  • Figuring out how best to organize contacts into specific, searchable groups requires expert assistance and is not intuitive.
  • Support from Swiftpage ACT! is marginal at best; we rely on outside consultant instead, for an extra cost.

Likelihood to Recommend

We have not been happy in using Swiftpage ACT! and are looking for an alternative. It has become very expensive, yet returns little value for our investment. Our use of Swiftpage ACT! is for pretty basic functions--sending to a specific group, organizing people into committees, etc., yet trying to create a special search for certain contact fields is really difficult.

We use Swiftpage ACT! across the entire organization to keep metrics on everything from client attendance to how long it takes us to get back to a client seeking information. We track what information was requested, when and how we responded. Swiftpage ACT! does a great job of taking the raw data and converting it to meaningful reports.

Pros

  • Data Analysis. ACT! does a good job of allowing us to create meaningful reports.
  • Keeping track of communication. ACT! integrates with Outlook to record all client communication by e-mail.
  • Custom dashboards. We have created custom data entry pages that simplify what we are trying to collect.

Cons

  • Customer support leaves a lot to be desired. Too often the answer is you can buy this other product that has the functionality that we had before.
  • Error reports are not easy to comprehend. Sending out an e-mail blast errors out if the size of the email is over about 2 MB. This is fine but there is no error message at all. It just doesn't send.
  • The price is pretty high for a non-profit such as ourselves.

Likelihood to Recommend

Swiftpage ACT! has been well suited for us as a medical provider for kids with Autism. The custom dashboards allow us to quickly enter the data we are tracking while hiding fields that will either be collected later or are not collected at all. The e-mail capture and logging keep track of how often, how fast, and what we are communicating with our clients.

Currently, we use Swiftpage ACT! for sales development and current client processes. It eventually will be used across the whole organization. We are using it to keep track of prospects and clients' conversations, notes, and follow-ups. We also use it to house our buyers' lists.

Pros

  • Contact management is a very significant help
  • Ease of use and simplicity are the building blocks of Swiftpage ACT!. I have always found it easy to work with and understand when looking to use another feature...at least most of the time.
  • I really like the alert feature to keep track of necessary activities for each day.
  • The easy of viewing the past notes and history is a lot easier than many of the other bigger ticket CRMs.

Cons

  • I would probably use the phone app more if I remembered to always update the database to the web. I mostly use the desktop version.
  • I wish it was a little easier to update the options for repeating activity names while inputting a note or history.

Likelihood to Recommend

I would say that if you are looking to sales prospecting or staying in touch with existing clients then Swiftpage ACT! would be extremely suited for the job. It's simple to use and easy to get the information you need quickly.

However, I'm not sure that it would be your go-to if you had a huge organization and needed to implement operational tasks across the organization. Most of those type of situations need a lot more customization.

But for the small to mid-size companies, I think it is a very well suited option.

I use Swiftpage ACT! to manage my contacts. They are grouped by type of customer, and I keep ongoing notes and updated documents on each of their records.

Pros

  • Keeping track of up to date contact information
  • Allowing me to create useful contact documents easily
  • Save copies of all orders and next action tasks for each contact

Cons

  • Easier mobile application would be nice
