I generate detailed routing sheets for implementing security protocols and contingency plans. The spreadsheets help me identify and prioritize security risks in the data we handle. The notes and comments allow team members to participate. The reports are perfect for presenting metrics. That way, we make data-driven decisions. Charts are very helpful.

The main way I use Smartsheet is for project management and event management. We do a lot of exhibitor conferences here and Smartsheet is ideal for planning, tracking and assigning tasks as there are a LOT of moving parts when attending a conference as a vendor. Being able to attach PDFs and images to line items comes in very handy with signed agreements, latest versions of marketing collateral, etc.

Smartsheet shines for collaboration. When you have multiple people involved with planning events Smartsheet makes it easy to share and collaborate. For instance, multiple people can be in Smartsheet working at the same time. Also setting permissions for exactly those who need to know is quite easy with Smartsheet.

For data analytics and general spreadsheet purposes Excel is better but for project management and event planning Smartsheet is superior.

Smartsheet is a dream for project management. It makes it easy to stay on top of multiple competing priorities and work collaboratively with a team. It also makes it easy to analyze your productivity and work patterns after the fact with robust reporting functions.

Best tool for the Project Execution & Reporting Stage

Majorly we are using Smartsheet for the Project Execution stage, where it helps to track the various activities, and we can easily coordinate and share it with our team members.

Best part about Smartsheet is its readymade dashboards which are very useful to update to the higher management and we can easily take a glance of overall project status.

  • It is very helpful to collaborate with team members.
  • Dashboards are very useful for giving the Project status update to the management.
  • We can sync Smartsheet with the Teams and outlook, which really helps to notify team members.

Cons

  • Using formulas in smartsheet is bit difficult in comparison with Excel.
  • Linking multiple sheets is bit complicated.
  • Sorting is bit diificult.

Smartsheet is very well suited in Project execution stage. We can easily notify all the team members when their tasks are due. We can create project dashboards to see the project status anytime. we can easily create reports for particular scenarios.

Less appropriate:

At the project planning stage I would prefer MindManager as it provides good visual representation and easy to understand.

Smartsheet - Collaboration made easy

I use Smartsheet very often. Whenever I would have traditionally used Excel, instead I now use Smartsheet as my go-to application whenever I need to make a spreadsheet. The best thing about Smartsheet for me is that it is a collaborative tool. It is veyr nice to be able to leave comments, and make edits on a live document that is shared with my peers.

  • 'Live' shared document rather than a static excel that is only a moment in time
  • Ability to leave comments and chat with your teammates

Cons

  • More features. The more Smartsheet can mirror the capabilities of excel the better. Not saying it needs pivot tables but the ability to have more customization would be nice
  • a better card / board view would be nice. More features to make it more useful. Or atleast make the board view a standard view rather than 'preview'. Would also be nice if I could set board view as the default view for everyone
  • More templates for common business cases for different types of companies would be amazing. Would love some templates for product management

Smartsheet in my opinion is well suited for any Excel-based project where you need to share that document with multiple teammates and the document requires a lot of editing and updating. Any scenario where you need to do extensive calculations and making of picot tables, to my knowledge Smartsheet does not have such capabilities for advance calculations and data manipulation

Smartsheet in our company is used as an alternative to typical Spreadsheets because employees can save a lot of time by using automation to collaborate with other employees. Every department that is using Smartsheet replicates their typical manual processes into automation provided by Smartsheet. To create Automation no coding skills are required, so employees feel empowered to create their own solutions and save a lot of time on repetitive tasks.

Pros

  • Document Builder - e.g. all the contracts are generated automatically with data from Smartsheet.
  • Ticketing Systems - using forms we can create tickets that are automatically assigned to preferred people.
  • Request for update - if we need to have updated data in some cells but we do not want to share the entire sheet with someone, we can send a form just to update the data in rows.
  • The community of Smartsheet is amazing if there are any questions or problems the community is eager to help.
  • With the paid license you get access to Smartsheet University.

Cons

  • Some of the basic functionalities that were part of the business licenses are moved to enterprise licenses, so in our company we can't use them anymore.
  • Additional features like Pivot Table etc., need to be purchased extra
  • Smartsheet is sometimes bit too pushy to buy new licenses or go to Advanced Model

I am an advanced user of Smartsheet, so I help create solutions for different departments based on their business needs. In general, Smartsheet is considered as Project Management Tool, but this part of Smartsheet is only the tip of the iceberg. What I love about Smartsheet is that whatever requirements from businesses are coming we can fulfil them with basic smartsheet functionality.

Just use Excel, don't waste your money.

We use Smartsheet to record and report on all of the services provided by our organization. We are grant funded and so we need to report to our granters in very specific ways. Smartsheet allowed us to build a really complex and robust array of functions and reports to fulfill this need. We have 30 people using the software, and everything is text-based entries or attachments.

  • Works great with Zapier
  • Great for small, simple projects
  • Notifications work well

Cons

  • This is not a Database
  • Connections to any outside resource are lacking or difficult
  • Organization is restricted
  • Cannot have too many users on at the same time
  • The connections between sheets are a really big hassle
  • Often slow with 200 sheets and ~200K entries
  • Expensive for non-profits
  • Not-Scalable
  • Exporting is limited

Likelihood to Recommend

Will probably be a waste of money and time, just use Excel. Would not recommend it for what we are using it for, it is the wrong tool for grant reporting or most kinds of reporting. I would recommend it to people wanting to trick people into using Excel over Word documents, or just for keeping company data in one nicely searchable place. Good for really non-tech savvy users who know how to do basic data entry into Excel.

Tracking project has become easy with smartsheets in very smart way

The smartsheet is used for creating schedule and sharing with stakeholders. It is basically helping us in keeping track of the project particularly for our large scale projects. We mainly used it for task management and automating the work flow. Since reporting formats are mostly not found in project tracking tools but smartsheet provides this feature which we find it very convenient.

Smartsheet potrays as best automation tool in order to streamline the flows while there are security issues as the sensitive information could be leaked from cloud based platform. On the other hand limited customization has also refrain us from using the software to the full capacity because all the needs are not catered by the software.

Overall it's a decent app. We found quite a bit of an issue trying to use their gaant template when it comes to functionality and what this tool can and can't do. Some aspects of this tool are limited (even to the more advanced accounts). Their support agents were not able to help us when it came to templates.
