Overall Satisfaction with Smartsheet

The main way I use Smartsheet is for project management and event management. We do a lot of exhibitor conferences here and Smartsheet is ideal for planning, tracking and assigning tasks as there are a LOT of moving parts when attending a conference as a vendor. Being able to attach PDFs and images to line items comes in very handy with signed agreements, latest versions of marketing collateral, etc.

The interface is similar enough to Excel so that you do not get lost or confused without any training. Saving, sharing, attaching documents, setting up picklists, or completion % for how far along a task are all very easy. The few times I had a question support was on it instantly.
I use both. Excel for more data/spreadsheet focused tasks and Smartsheet for our event planning and project management. Smartsheet allows for collaboration, has project management features like task tracking and the Gantt chart, and even has some handy automation features which make it preferable for project management. As well Smartsheet allows for integration into CRMs, cloud storage and pretty good mobile access. So using it on the run is quite easy.

Smartsheet shines for collaboration. When you have multiple people involved with planning events Smartsheet makes it easy to share and collaborate. For instance, multiple people can be in Smartsheet working at the same time. Also setting permissions for exactly those who need to know is quite easy with Smartsheet.

For data analytics and general spreadsheet purposes Excel is better but for project management and event planning Smartsheet is superior.

Using Smartsheet

8 - We have a cross-section of business functions who use Smartsheet. I use it at the operations levels coordinating with the Director of Marketing. Also, many other VP and C-level people within the company use it for various purposes. Finally, there are other operations people here who use Smartsheet for asset tracking purposes.
2 - We have two people here in-house to support Smartsheet on an on-going basis. Marketing supports Smartsheet from an event planning perspective. The IT department supports it from an asset-tracking viewpoint.

For project management and event planning Smartsheet is the perfect tool for collaborating with multiple stakeholders. As well, the asset tracking capabilities give it multiple uses. We are looking to possibly use Smartsheet in our IT department to set up a one-stop ticket tracker spreadsheet when the status of all open cases can be seen in one view.

Evaluating Smartsheet and Competitors

We were looking for a project management tool that made sense and could work for multiple problems. As a young and growing company we had lots of complex multi-faceted projects that needed to be overseen over a long period of time. One such example was our rebranding which involved everything from new signs, to websites, to employee swag gift boxes and a million other things. Smartsheet made tracking and updating the status on everything easy AND available for multiple stakeholders to track.
We probably should have started by defining clear objectives and requirements, researching potential vendors, and then evaluating them based on criteria like cost, features, and vendor capabilities before making a decision. However, we did not really see any obvious choices and went with Smartsheet fairly quickly.
