Use Cases and Deployment Scope

At my organization we use Webexpenses for almost every expense reimbursement or submission, from traveling to Team events, you name it.
It makes it very simple, trackable, and secure. I personally really enjoy using it, as makes it very easy to submit any expense, such as travel, commute, one time allowances, or invoices, that I've self financed, but later become admissible for Webexpenses.

Webexpenses is well suited for payroll to easily track workforce expenses and reducing hours of manual work from approving and processing the submitted claims.
I have to highlight the automated custom report generating, which suits any needs to see reports for our teams. At our organization there is no sceniario, where Webexpenses would be less appropriate.

I use Webexpenses to claim back my expenses, it allows me to track and see what stage my claim is at rather than submitting paper copies with no visability. There is a clear audit trail and you can make sure that every item has been claimed for and what project it relates to.

Useful to see clearly see cost against multiple projects then break them down into particular categories. This then means that we can identify areas that are costing the business and can be improved on. The data entry of having to manually enter the details of each receipt each time feels very time consuming.

easy to use , can take pictures, use on phone , intuitive , helpful. Easy on the go access for quick payment and processing of expenses including factroing in VAT and BIK company cars etc . Helpful for all employees - great easy to use app. Sometimes logs you out though which is frustrating as have to get back-on a laptop

I use Webexpenses mainly to claim milage monthly. I like how it works out the milage for you with the map feature based on the post codes that you provide, making it efficient and easy to use. However, I do think that there is an area to improve, this is attaching receipts. Currently you have to attach your receipts for each individual journey. I think that there should be a way to attach just one in a separate section for the whole claim. This would make it far more time efficient.

My experience with Webexpenses is mainly for milage and sometimes parking. I find that it is well suited to both scenarios. Claiming for parking is very easy and so is milage however it does get repetitive! I have not used it for anything other than this so it is difficult for me to speak on other scenarios.

We use Webexpenses for claiming mileage and any expenses we need to put through. It saves employees like myself from having to work out their mileage themselves. It is an up to date product for employees. I use it on a monthly basis to claim back any miles i have used for business purposes.

Pros

Works out miles drove immediately.
Calculates how much you will earn back immediately.
Prompt payments.

Cons

Having to upload separate receipts for every mileage claim. One receipt should be able to cover the whole of the expenses .
A search bar would be beneficial when choosing description to save scrolling for every claim.
Set up can look slightly confusing as a first time user. A clearer approach would be better.

As an estate agent, Webexpenses comes massively in handy, as we drive a lot for our job. Claims can filled out for each journey made quickly and easily. As well as mileage claims, you can also claim for anything else you have brought for business purposes (if allowed by company). Your manager can then review this and ensure everything is accurate before submitting the claim. This is also beneficial as a manager to ensure that your employees are only submitting legit claims.

It takes roughly under five minutes to make a claim and get this submitted, so only a tiny fraction of time is needed to get a request completed. This increases efficiency and minimises wasted time.

As an employee for parking, taxis, hotel and occasional entertainment. it enables quick submission & approval negating any personal cashflow issues. It also allows me to keep right on top of my expenses spend. It also allows the company a great tool for expenditure reconciliation and overall control of company expenditure.

I am an employee at my company. I use this software to submit expenses incurred to be approved by my manager. I fill out the required field including the amount of the expense with its receipt and send this to my manager. Once my manager approves this, the companies accounting department sorts the expense to offer me reimbursement.

I use Webexpenses to claim back personal and team expenses.

Pros

Linking reciepts to the claim which makes putting them thorugh easy
God workflows that arebintuitive
Good approval process

Cons

The only thing is that I have to use an authenticator app to log in because of two-factor authentication. The downside is that I have to pick up my mobile phone each time, which is a natural distraction.
