Use Cases and Deployment Scope

We predominantly use Whimsical in the product development process. It helps us in rapid wire framing, flow chart creation, and user journey mapping. Whimsical also helps us collaborate with team members across the globe to sketch out concepts from scratch. It also gives our development team a visual blueprint of the features we want to build.

Likelihood to Recommend

It's extremely well-suited for rapid wire-framing of concepts, as product teams can quickly collaborate on any idea and create a visual blueprint of it. Whimsical could provide more intuitive feature prioritization templates. The current templates lack the necessary detail and could be further enhanced from a UI/UX standpoint.

The feature I use from Whimsical is the mind mapping mode.

I've tried many other mind mapping tools (e.g. Clickup) in the past including desktop apps like Freemind, but in terms of cloud-based mind mapping tools, their mind-mapping tool is the best one or the one I prefer using the most.

I use mind mapping to work out product development, doing brain dumps to organize thoughts and ideas.

  • Getting out of a selected view is not quite as intuitive.

This is my go-to mind mapping tool, and I use this both for business-related work and personal though organization and brainstorming.

There were few times I needed to contact support, but when I did, they responded by over-delivering on my expectations which really stood out in my mind.

Can't think of any scenario where it is less appropriate, except for maybe, a larger enterprise where data confidentiality may be an issue.

We use whimscial to visualize a lead management process diagram for internal teams. This is primarily used by Sales and Marketing and helps demystify how leads move through the system. It helps facilitate conversations around lead flow, volume, and routing logic.

  • Enable collaboration in designing diagrams

Cons

  • Inserting links is not intuitive or user friendly
  • Editing diagrams can get frustrating and tedious

Likelihood to Recommend

For visualizing or mapping a flow, Whimsical works really well. It may be less useful for sharing feedback and comments are that diagram and thus limits the tools ability to be a hub for discussion.

Awesome tool for remote teams and workflow optimization

Whimsical is being used by the entire organization and, as it's very flexible, it can be used for different teams on many stages of our digital projects. So we can use it on project planning, definitions, creative process, and even before developing our CMS as it makes the content structure planning more seamless.

For planning purposes, ideation process and content organization in general, Whimsical is an awesome tool in our workflow. It can be used by management teams as well by Creative and Development. Also, if you need to explain a more complex idea or process, it's perfect since you can use visual tools to describe it better.

It's very easy to use and has a great set of tools even on the free plan.

We use Whimsical to quickly and effectively workflow new processes, visualize complicated systems, and collaborate on new ideas. We love how easy it is to get started and the way the product is designed allows for really nice cross-functional collaboration.

  • It can be a little frustrating trying to line things up exactly right but that's probably more user error than anything

Whimsical is great if you're trying to quickly visualize something without high fidelity designs. It won't replace your design tools, but it's an awesome way to document processes in an easily digestible format. It really can't be beat for remote collaboration either. We've found it reduces swirl in meetings and allows us to get things done faster.

We are using Whimsical for a variety of things in our marketing department - student flow on landing pages/campaign advertising, website and landing page mockups, group meetings/brainstorming... there's so much you can do. It simplifies our creative thought process by having one source of truth. We use it during staff meetings to brainstorm and have a definitive direction to execute.

  • Can be customized with themeing
  • Can organize all your boards pretty much however you want

Cons

  • Kind of want to see some of the functionality of other similar apps like Miro but the app is great at what it does
  • Folder structure takes a little time to get used to
  • Nitpicking here but not a big fan of the default font

You can find a use for this app if you are communicating any type of idea. The capability is pretty much limitless.

Whimsical is used by the Product, Product Design, and Brand Marketing departments. It used used for live whiteboard collaboration, mind mapping user journeys, wire framing, and other collaborative—early stage—projects. It’s has replaced our reliance on similar tools like Balsamic, InVision’s Freehand, Draw.io, and other such tools by offering the same abilities. Not only are these tools in one application, but they are available concurrently allowing for free form collaboration and more complete and complicated projects.

Whimsical excels in early stage projects when details are not defined and exploration needs to be encouraged. It may not be the right tool for final output as the fidelity is basic and the ability to output artifacts is limited. Ideally it is used to refine and scope ideas allowing for another more refined tool to take over.

I use Whimsical as a UX designer to present user flows and information hierarchy to my team members inside of the organization and to clients when pitching ideas.

Pros

  • Very learnable and memorable.
  • Easy to present.
  • Ability to comment.
  • Ability to share.
  • Simple interface.

Cons

  • Customization of colors would be nice.
  • Adding chains can be finicky.
  • Moving boxes around is clunky - interferes with connections.

Likelihood to Recommend

Any kind of hierarchy structure is easy to show as well as processes and connections. We use it to make org charts and user experience flows, as well as wireframes. It's pretty simple in features, so if you needed to do compex arrangements, it could be burdensome.

I've used whimsical for a multitude of projects, however, my favorite to date was mapping out the workflow for our new onboarding system. I was able to present my team with a clear explanation and reason behind each step as well as provide a reference for future team members. We often use Whimsical as a workflow tracker and mind-mapping exercise.

  • The ability to share is a bit lacking (you can only share the link if the document is public).
  • Would be great if we had the ability to make the notes smaller.

Likelihood to Recommend

Best suited for mind-mapping exercises. I use it with my clients to build out new processes and org charts. There are so many departments that can benefit from the product: HR, IT, Customer Service, Design, etc. The only challenge is how the individual would like to utilize it. I don't know that it's best as a board for notes and ideas. It would be a little difficult to codify with the platform.

We use Whimsical for quick and efficient user flow mapping, sitemapping, and wireframing for our web development clients. It's an amazing tool that makes sketching and thought mapping quick and easy. It's actually quicker than hand sketching, and it's superior in that it allows easy collaboration for our remote team.

Likelihood to Recommend

Whimsical is a great tool for both novices and experts. It's super simple to learn - if you can draw flow charts (or actually even if you can't!), you can use Whimsical. If you're looking for a tool for high fidelity designing and wiremapping, this is not it. But if you're looking for something for quick and easy concept mapping, it's the best one out there.
