In our org Zapier is used to automate our workflow which involves multiple departments various tools. It's save lot of time and maintain the workflow and streamlining the process gives effective results in Onboarding, Off boarding tasks. Event based driven architecture, Reduce the manual effort. Maintains the history of workflows for Troubleshooting.

Parse structured content from incoming emails (like order confirmations, job leads, or form responses) and use it to send alerts.

Used in Order work flow, when someone places an order on our CRM which triggers the Zapier hook to begin the workflow for send a notification to Slack and creating tickets based on the logic transfer the tickets to right team and sending reminders.

We use Zapier to automate workflows related to customer data across different platforms. It enables us to capture user data from various applications and centralize the data for stakeholders who may not have access to the source app. The goal being to eventually build a central customer health score, but we're starting small with individual elements.

Pros

  • No code Zap builder - You don't have to understand APIs to retrieve and send data where you need it
  • Suggested data - within the builder, Zapier recommend data elements that would complement the triggers/actions you have.
  • Tooltips - Zapier has great tooltips and explanations for everything (triggers, actions, specific data fields) that really help you understand what you're building and if will help you achieve your goal
  • Configure/Testing process - each Zap step has a built in testing process to ensure the Zap will work before you finish the whole thing. You don't have to worry about building the whole flow only to realize you missed a critical step that completely messes up the whole thing

Cons

  • Although the Zap testing is built into each step, I find it inconvenient to test individual actions once the Zap is published. If I know the issue is in action 8 or 15 and need to test the flow with a new trigger record, I have to start at the top with a new record and manually all the steps up to that point. Maybe it already exists, but I would love to select a new test record and automatically perform selected steps all at once, (i.e. actions 1-8 in one click).

Likelihood to Recommend

There are so many great connections, triggers, and actions already built into the product that it's so easy to get started. We also use Power Automate, but it doesn't reach all the apps we use. We're definitely underutilizing Zapier by only using Zaps. I would love to dive more into their Tables and Interfaces. Lots of great solutions.

Zapier helps me develop more complex workflows involving different apps. I build most of the solutions using No-Code tools, and Zapier is a great companion on this journey. Its ease of use makes it accessible to everyone regardless of their technical background. It is truly for all!

If you have processes that are now managed and controlled using a spreadsheet, Zapier will give you a lot more control over what is happening and will help you increase productivity by eliminating simple steps such as sending emails and sharing information with your colleagues. It frees time for very transactional activities.

We currently use Zapier to automate workflows between different business apps (Asana, Slack, Google Sheets, Google Forms, Guru, etc.). Our engineering team also uses it for some data-related workflows, like extracting files from emails. Our primary users are our Data Strategy & Analytics team, but we also have internal teams (like Marketing) that use it for internal workflows as well.

  • No-code setup makes it easy for end user.
  • Flexibility with app connections and actions.

Cons

  • Error messages are sometimes unclear when Zaps have errors.
  • Testing within more of a dummy/staging environment would be helpful.

Likelihood to Recommend

The interface is so easy to use—as long as you have a general idea of what you want to automate, Zapier makes it easy to set up the actual workflow. It's extremely clear within the Zap builder what steps you can take and what fields are available, and all of the built-in Zap features (like Formatter, Paths, Scheduler, etc.) are extremely helpful for building a really custom automated workflow.

In our organization, Zapier has been an absolute lifesaver. We use it to automate repetitive tasks and ensure all our apps talk to each other without manual effort. Before Zapier, many of our workflows were disconnected, and we spent too much time moving data from one tool to another. Anytime someone fills out a form on our website—whether it’s Google Forms or Typeform—Zapier automatically takes that data and sends it straight to our CRM. We don’t have to manually input anything anymore, which means we never miss a lead, and it’s instant. Plus, we’ve set up Zaps that send out follow-up emails right away, which saves us a ton of time on outreach. Overall, Zapier handles a lot of the tedious stuff, like data entry and notifications, so that we can focus on the bigger picture. It's seriously saved me hours of work each week, reducing the chances of human error, which is huge for us. I advocate for "work smarter, not harder," and Zapier makes that possible.

Zapier is my favorite tool for any small business owner because it is so easy to use and takes tedious tasks off your plate. Especially with startups, lots of small details can slip through the cracks if you can't afford an admin assistant AND don't have the time to address them yourself. Zapier is the best way to set up reminders and automatic emails and streamline data to simplify business operations.

We enjoy using Zapier for most of our API connections, both internal and external. The automation and workflows work instantly are quite intuitive to understand even by employees that are not IT related or tech savy. We integrate market specific tools as well as our global suite via it and have data flowing and interactions going between all systems via Zapier. Zapping works perfectly even for advanced processes that require certain layers, filters, and steps.

Couldn't even use it. It's a trash company. They mislead you into paging for services. Then when I purchased a plugin for their "free" service. It didn't even work and they said they can't even help with a refund cause it's a third party. Theyre completely trash.

I use it for lead forms that come in through google ads. The data from the form arrives comfortably to my e-mail.

It also helps me when capturing variables in the url and filling them in the fields of each contact form in ActiveCampaign. Zapier makes every automation you need easy to configure and very intuitive.

Cons

  • Limited Editing Capability: Sometimes after creating a Zap and wanting to edit it, it may be necessary to re-create the entire Zap from scratch
  • Difficulty when you reach the limit of tasks that you have assigned for your plan. It would be a very good option to be able to reset the monthly usage or something similar.
  • If you have a high volume of tasks or zaps, the price may be somewhat high

Likelihood to Recommend

Zapier helps my small business where we have time and resource constraints. I can automate repetitive tasks such as contact management, leads, etc. I see it less appropriate in complex projects that require complete customization or personalized integrations. In these cases, I resort to other types of more advanced tools or to the programming department

Zapier can be perfectly suitable to connect Facebook lead gen campaigns with Google Sheets to check out the leads generated in one place on a daily basis. It can be equally helpful to sync Gmail attachments with Google Drive. It can be helpful to connect the Facebook page with Google Forms.
