Use Cases and Deployment Scope

We utilize Zoom Webinars for all our webinars within our scientific society. This allows us to reach people worldwide with our scientific webinars. We use Zoom webinars on average once or twice a month for our webinars. The Zoom platform is much easier for our speakers to use than the previous platforms we have used.

Pros

  • Speaker access.
  • User-friendly.
  • Easy to build a webinar.
  • Easy to look up analytics after the webinar.

Cons

  • Director speaker join- sometimes it doesn’t work, and I have to send multiple emails for the speakers (who didn’t receive the original Zoom invitation) to join the webinar.
  • Updating the event description - the latest update made it difficult to update the description for the event in any place other than the event page, which is clunky.

Likelihood to Recommend

The program is much easier to build and design the webinar, as well as for our speakers to log in and speak, compared to other interfaces we have used (GoToWebinar, X-CD). It is also easy to see the analytics after each webinar, which our organizers appreciate.

is generally used for very large meetings or presentations that are aimed at many people around the world.I think the biggest problem is usually with the sound. You hear it very far away sometimes or during the transmission it goes away, it's not clear if it's something with the tool or the internet provider of the person transmitting.Another thing that usually happens is that sometimes there are delays in the transmission.Since it is global, it is difficult for everyone to receive it in the same way.

As I mentioned, the best thing about Zoom Events & Webinars is its versatility and the ability to simultaneously connect collaborators around the world. But sometimes there are delays in the transmission or the image is not visible or the sound is bad. But in general it works quite well. Great tool.

I have daily accountability meetings for 15 minutes every day where we gather, use the timer app and just work silently on an impossible project individually. Then we celebrate and move on with the day. then of course I use Zoom for discovery calls, strategy sessions etc. i do not hold meetings in person.

Pros

  • Meetings and recordings
  • Syncing with my calendar
  • Scheduling recurring meetings

Cons

  • Handling multiple logins is very clunky
  • The relationship between the app and the website is confusing- sometimes I’m logged into the website as one user, switch to my own account, and the web app stays switched to the other user.
  • I really wish scheduling were more flexible. Every other Wednesday, first and third fridays, etc.

Likelihood to Recommend

There really isn’t a better conferencing solution than Zoom. I use it for business, virtual family gatherings, nonprofit work, impromptu calls, any time I need to share a screen, or take over a client’s screen for troubleshooting. I think the only time I wouldn’t recommend it is if the person only needs to make one-on-one social calls (like FaceTime calls)

Zoom is Accessible

Zoom Events & Webinars is our first choice for meetings. We use it for internal, external and international communication purposes. In all situations it is accessible and the connections are strong and clear. Recently we used it to interview someone who needed captions and it was easy to use for both parties. It never lets us down!

Pros

  • Audio options are well designed and easy to adjust when doing screen shares on the fly.
  • Video has the BEST view of me I have ever seen on an online virtual meeting space. It adjusts for lighting, removes all the flyaway hair and I appreciate that greatly!
  • Zoom Workplace helps me move from a chat to a meeting easily and in the time I need to get there for the priority event at hand.

Cons

  • Saving messages and searching them to find information after the meeting has happened is no easily done. It seems messages go to encrypted after a time and are not readily available
  • internal recording maintenance post meeting should be selective so I am able to select the important items to keep and the others can fall away.
  • Whiteboards seem to confuse users, not all see them with the meeting leader's screen.

Likelihood to Recommend

Zoom Events & Webinars is good for every conversation, be it face or voice, the platform is designed with the user in mind and keeps it simple while offering a great experience. Seeing who is available and selecting the people I communicate regularly with is beneficial for quick finding of contacts. Adjusting or pinning favorites would be helpful.

Workplace is usually used by our team for team meetings, client meetings, and work collabs across all our departments. Mostly many times it help us stay connected from hybrid and remote employees and let us work together. It prevents in communication gaps, sharing screens, training through meetings about the workflow, and much more.

Pros

  • It helps to bring the remote and in-office team together.
  • Helps in training and client engagement without need of physical presence.
  • Reduce communication gaps and all by instant meeting feature and even can schedule meetings.

Cons

  • Integration with google or outlook calendar causes issue with timezones many times.
  • Chat functionality feature could be improved and can have any whatsapp functionality implemented.
  • Could have sticky notes etc widget feature

Likelihood to Recommend

It helps in hosting townhall , webinars , daily meetings or meetings with third party clients or internal team. Zoom is not built for a proper project purposes, where it can manage and have notes etc, everything for a particular project itself. Sometimes change in frequent changes in meeting decisions and all cause issues for different time zones.

Zoom Workplace coming up fast on Google and Microsoft

We use it primarily for meetings, primarily external and customer meetings. Internally, we use different meeting services like Google Meet, [...] (our product), Slack huddle and Zoom Workplace, based on personal preference. Most of the team is remote, so collaboration is very important for an internationally diverse team like ours. So Zoom Workplace's plugins and extensions came in handy during our brainstorming or town-hall sessions. Our use case was limited to Zoom Workplace meetings, whiteboard, some extensions like polly, and occassional webinars.

It is used most by our sales and customer success teams.

Pros

  • Super consistent video quality in Zoom Workplace meetings
  • Breakout rooms, strong and diverse permissions suite, recording and transcription
  • Support for multiple extensions and lots of meeting bots support
  • Can just call in to a meeting in case of patchy network rather than joining through the app

Cons

  • Very heavy and resource hungry app (mobile and Mac)
  • Switching between accounts (office, personal) is a hassle.
  • Random Zoom Workplace update pop-ups, especially when my meeting is about to start.

Likelihood to Recommend

Wherever the meetings are supposed to be more structured, more formal, large number of people are there and needs to be interactive, this is great.Especially great if you need to have brainstorming sessions and planned workshops. Don't take me otherwise they will suit other kind of meetings as well, like 1:1s and all, but I have always had issues whenever I need to have an ad-hoc meeting. Too much hassle launching the app, sending a link to a coworker. Better to do a huddle or just send a loom video. In my experience, Zoom Workplace isn’t always the best for super casual or async communication.

Lastly, if you're doing a collaboration on a heavy software like Figma or a coding session, I think it is always easier to use the native collab tools rather than Zoom Workplace, or use a lighter meeting service.

Zoom Workplace or Microsoft Teams

We use Zoom Workplace in our organisation to have external video meetings with prospective clients and current clients. This enables us to talk to clients etc. without having to do in person meetings, saving both our team and the clients time.

It is also used to attend external webinars and training courses.

Cons

  • Cheaper paid for features

Likelihood to Recommend

It is well suited for training courses that are company wide. However, I do not think it works well for external webinars as your camera is visible to all attendees and they would be able to hear you, which I personally believe can be distracting and not as professional as competitor options like Teams where you can only on see the presenters/content.

We use Zoom to host all of our external client meetings and sales calls. Zoom enables us to communicate with external stakeholders without the need for face-to-face meetings or travel to external locations. We have essentially built our business around Zoom as soon as COVID-19 hit.

  • Provides chat functionality.

Cons

  • Organising meetings can be overly complicated.
  • Functions in menu are often hard to find during meetings.
  • Sometimes not all meetings are listed.

Likelihood to Recommend

Zoom is well-suited for any service-based business that relies on face-to-face communications, whether for client meetings or external sales calls. Zoom also provides a good platform for internal team meetings to discuss creative ideas or for one-on-one sessions. Zoom is also excellent for larger webinars where you need to present to larger audiences.

Our team uses Zoom Events & Webinars for internal and external meetings. Also use Zoom Events & Webinars for webinars with the teachers that we serve and Zoom Events & Webinars phone for staff to use as soft phones through the Zoom Events & Webinars app on their computers and mobile devices. We record all of our Zoom Events & Webinars webinars for going back through the webinars, as well as taking attendance.

  • setting up meetings and syncing with multiple calendars

Cons

  • integrating 3rd party plug-ins are still a pain
  • be more platform agnostic.
  • screen sharing and video calls are not the most reliable

Zoom Events & Webinars works really well for meetings with people outside of the organization as many people are familiar with using Zoom Events & Webinars since the pandemic. Zoom Events & Webinars works for internal use as well, as staff can chat, video conference, share screens amongst each other. In our experience, some of the issues are the Zoom Events & Webinars meetings, especially screen sharing and video can be spotty at times.
