Overall Satisfaction with RMail

I use RMail to send encrypted emails with my company Gmail account.
  • Secures email in a way that is not annoying to recipients.
  • Converts attachments to pdf
  • Provides proof of sending
  • Provides proof of receipt
  • Some Gmail add ons/extensions don't work with RMail.
  • I'm not sure it can be integrated with gmail without Chrome or Outlook.

None of them integrated well with Gmail, and they required a password sent in a separate email or logon to an outside "portal," or they were overpriced. It was unclear how well Google Workspace complied with the HIPAA Privacy Rule. I think it did just fine, but the perception by many was that it did not, and the reality is that this is what really matters.

RMail is great for sending emails with information that is sensitive but that the recipient is not going to put a lot of work into retrieving. I do psychological evaluations for criminal courts and I use it to send reports to courts and attorneys. I need to use something compatible with HIPAA privacy rules, which courts and attorneys are typically not as concerned about. If they had to use a password or go to an outside web address to retrieve the email, they wouldn't do it. It's also common for an attorney to say they didn't get an email, but I always know if they did or not, and I have clear documentation of it, which is important in legal cases.

Using RMail

1 - Me. I did an initial run-through with RMail when I subscribed and I've contacted support maybe 1-to-2 times over 2 years.

  • Receive sensitive personal information from healthcare providers, individuals, attorneys, and courts.

  • Conduct business in accordance with the highest ethical standards with no loss in efficiency or inconvenience to customers.
  • To prompt clinicians to use encrypted email features when sensitive information is included.
  • Show proof of sending and receipt of emails in legal cases.
It is so incredibly easy to use and does not annoy my customers. Being able to use email consistently for communications makes me more accessible to customers and third parties. I was not able to find another email encryption service that was cost-effective for a small practice that would not annoy my customers. I found this extremely frustrating when I was looking for something initially. RMail was like a breath of fresh air once I found them.

Evaluating RMail and Competitors

Yes - Virtru email "encryption" integrated with Gmail, but it was very clunky and it required recipients to go through an extra step to access my emails. It looked unprofessional.

I needed a reasonably priced option for a 2 person's practice. Some companies offered enterprise software for large companies, but if I could purchase these they were prohibitively expensive. Less costly options always required email recipients to go through an extra step to open emails I sent, which seemed unprofessional to me.
I wish I had found RMail earlier. I was skeptical at first because I did not believe they weren't requiring a second step by the recipient of the emails.

RMail Implementation

Doctors who have been practicing for 10+ years can be extremely resistant to learning new things, especially new technology
Change management was a major issue with the implementation - Professional resistance to new technology. It needs to be set up for most professionals in my line of work, especially older ones, and they need to be shown how to use it. It needs to be done on all interfaces that they use or they simply won't use it.

  • Unwillingness to troubleshoot with online/email technology.
  • General lack of understanding of the online environment and technology.

RMail Support

Support is easy to access via email or phone. They also reach out to you periodically with new features, but they aren't intrusive about it. I usually appreciate it when I get an email from RMail, which is not very often.

No, I purchases a basic version because my needs were limited.
Yes - It was a bug with the Gmail integration. It went on for a while, but eventually, they fixed it with an update. I had noticed it a couple of times but had not gotten around to contacting support. Support actually called me and asked if I noticed it and walked me through a workaround. They called back a few weeks later to check on it. Then they called me a few months later with the final fix, and it has worked since then.
Yes, with the aforementioned Gmail integration glitch. They reached out to me and advised me of it, and multiple times coached me through the work-around. Then they contacted me with the final fix, which was months later. They had told me they were working on a final fix, but after a few months I had kind of given up on it. They apparently actually were. You don't get this type of service with AT&T for sure.

Using RMail

It is as simple as downloading a plug-in or installing a chrome extension, then you click a button to use it. The interface is straightforward.
