Square 9 Softworks is the real deal
Overall Satisfaction with Square 9 Softworks
Primary use right now is in document clerk function (scanning/storing of supplier furnished docs and creation of master document package for the customer at time of shipment). This was a labor intensive process previously that had many opportunities for data entry error. We eliminated those opportunities for errors by automating the process through the use of Square 9 Softworks.
Pros
- OCR
- Merging documents with use of 3rd party software (PRISM)
- Key free indexing is a great feature
Cons
- Allowing for docs to be removed from workflow before completion
- Improved thoroughness on data extraction (sometimes truncated and only partial data is extracted)
- Status bar showing % completion of workflow process
- Reduction in human error through manual data entry process now being automated
- Reduction in cost due to automation allowing the function to not require a full time employee
- Reduction in time spent performing the previous manual tasks. Example: on our consolidated shipment days, it could take doc clerk 2-3 hours to prepare master document package. This has been reduced to 30 minutes or less (depending on size of shipment and time needed for OCR to complete)
The results were immediate once implementation and Go Live were successful. Within 1 month we made the decision to repurpose the previous document clerk to perform other value added functions. This eliminated the need for a full time employee, thus saving on compensation package. This allowed for the program to "pay for itself" in terms of cost savings. This will be perpetual for as long as we deploy the program.
Just now starting to look into the AI-powered data extraction through TransformAI and EnquireAI. This will require us to move to cloud based (we're currently located on premise), but we have faith and trust in the Square 9 Softworks program that this will not only result in even more improved efficiency, but we also have trust the transition will be seamless with the support of the Square 9 Softworks team who are always fantastic with support.
Laserfiche could not even complete their installation. Square 9 Softworks was able to come in and rescue the failed project. We have hardly scratched the surface of what we believe we can do in terms of more implementations of the Square 9 Softworks program in other business processes in our company. Square 9 Softworks was demonstrated to our procurement management team while they were struggling with the Laserfiche implementation, and they were ready to abandon Laserfiche immediately upon seeing the Square 9 Softworks program demonstrated. We abandoned Laserfiche even though we had financial investments with them already. This is testimony to how clearly Square 9 Softworks is a better solution than Laserfiche.
