Square 9 Softworks

They help to locate and identify if a document has been signed for proof of delivery. We have used the product for complex workflows to manage claims processing and payment. When managing multiple incoming invoices of varying style and design, they worked tirelessly to develop a workflow to manage line item extraction of each element of the invoice and associate that with a corresponding document number.

We've used the accounts payable automation process extensively, along with the data extraction the whole process provides.

We've used this to set up approval processes and or workflows that need multiple groups to view documents to add information/data, essentially streamlining their business day to day

We utilize the automation features for the capture process and filing based on content. We do not currently use the cloud storage or AI-powered extraction. We were able to identify consistent unique identifiers between documents that allows for batch scanning with separation based on change. This will separate each group of pages that are associated together and rename them based on the content, while naming the next group based on it's content.

Using Square 9 Softworks has eliminated the hundreds of banker boxes that were being transported to an outside service to scan the documents for us. This has also allowed us to take ownership of scanning the documents ourselves for daily upload and quick visibility.

We're on the tail end of implementation, so I can't really speak to this yet.

The cloud storage has been very helpful because it takes up less space, supplies and time. I love that I can maintain my archives on my computer instead of going into some dusty, old room outside of my office. Maintaining it at my desk keeps me connected to the people in my office and anyone that may need me. It's saves me a lot of time to not physically cull files. I can also pull information for people quicker. Again, I don't have to go somewhere else to get a transcript, for instance. I can access it on my computer and print or email it.

Haven't used the accounts payable option yet, mainly for records retention.

Our set up is Cloud base and it is convenient to use the automations and cloud storage, so we don't have to have local servers.

The automation and efficiency of Square 9 have done wonders for our cooperative. We now spend less time with the approval and check printing process, which helps our accounts payable department out. All aspects of the software are user-friendly, no matter if you are a user or administrator.

The AP workflow process has been great for keeping our invoices stored electronically. We still save every paper copy, but Square 9 makes it much faster and easier to locate these invoices when needed. It is very easy to get approvers set up in the system, and it makes the check printing process so much more efficient.

We are currently working on the AI product with our AP invoices. This is going to save us so much time not having to make templates for each vendor!

The ability to pull a "signed proof of delivery" with only one or two key fields that were automatically indexed via OCR still amazes us... Customers will alway want, and need, that "copy" they lost that shows we delivered their products... and Square 9 makes it so easy to fulfil their requests with very little effort!

Our department's carbon footprint has been drastically reduced because our need for paper has been cut almost in half. This is a win for the environment and a budgetary win as well. Since using Square 9 Softworks, customer service surveys have consistently shown that our applicants are either Satisfied or Very Satisfied with the expediency with which we process their applications.

We do not currently utilize the Square 9 Softworks system other than for document management. However, as we continue to grow, we will definitely explore our internal practices to search for additional areas in which we will be able to utilize Square 9 Softworks in our other business practices. I am very interested in using the program as an onboarding tool.

Cloud storage has freed up so much space in our offices seeing we no longer have to store actual paper copies.
It was great to make self determinations as to what search criteria's we needed when we initially set up the program.

Our use of automations is very limited. We use workflows to pull the document into the system and index it. We host our own S9 servers. We also do not use AI-powered data extraction.

The OCR process for invoices has saved us on time and accuracy. It takes manual entry out of the process almost completely.

Security of our data is critical and this application has provided a database that we can count on every day.

The AI powered data extraction is good to use, but does sometime misread words. If this happens and is not caught the document gets difficult to locate. The cloud storage is great. We have not seen any kind of big lagging on the system. A lag will only happen when trying to open a very large document.

The workflows we use have kept us in compliance with procedures and provide the support for annual audits.
The trustees do not trust the cloud, so we host everything on our own server.

Because we chose the all cloud-based option it has been so easy to access these documents for anyone anywhere. We are a company with employees across states and with a hybrid work schedule along with some employees traveling regularly so getting on the VPN isn't always an option and this helps to eliminate that issue.

integrated with our proprietary shipping software, users can actually click a button in our software and bring up the document viewer right from there and not have to even go to the GlobalSearch client.

Accounts payable are able to approve or decline invoices with ease

Again, the workflow process is key to how we utilize this software. We also appreciate the document storage and retention capabilities, as it has cut down on other internal costs and office expenses.

We have yet to use their cloud storage or AI-powered data extraction services, but we are considering it at the moment. Our on-premise automation to date has primarily been with our Planning and Regulations department and also accounts receivable. Our Planning and Regs staff handle many different types of files for each case that they look after. Using document templates for everything that they do allows them to automatically file their documents. Our capture process even includes data look ups to other databases to assist with population of document attributes as part of the capture process workflow. In addition, we have automated all of our online payments processing where data extraction methods automatically codes all online purchases with no re-keying of data in our payment system which helps prevent data entry errors.
