Workfront - Great Project Management System for Marketers and Creatives
Overall Satisfaction with Workfront
- Centralize projects in one solution
- Manage digital work processes
- Review and approve digital work
- Deliver client-facing services
Workfront allows for our creative team to consolidate all of our projects in one system and track them more efficiently throughout the life of the project. Workfront also delivers some meaningful data that can be used by management, the team and the clients to see how effective the tool is compared to how the process was before Workfront was implemented.
Pros
- Workfront is relatively easy to navigate with it's clean interface and tabs. With a few clicks, you can navigate to different projects or tasks or find data you need in a report.
- As an administrator of Workfront, it nice to be able to restore deleted tasks, projects or issues within the system (within 30 days of deletion).
- The flexibility of the reporting function in Workfront is a big benefit for the most part. By setting up custom filters, views and groupings, you can create reports to deliver the right data your looking for.
Cons
- While it is nice that Workfront has ProofHQ as an added service, it would be nice if the proofing emails from ProofHQ also provided a link to the project within Workfront itself. For now, they do not and so while you can get to the proof, you can access to project to leave an update in the task, if you want.
- In the My Work dashboard of Workfront, it would be nice if there was a way to prioritize the work by the planned completion date. At least for now, I haven't found a way to get it to prioritize it that way.
- It would be nice if there was a global calendar that a team could view to see each other's PTO based on the information that they input in their Time-off Calendars in Workfront. We had to custom make a request queue to place approved PTO on a calendar to set something up like this. It wasn't too difficult, but it requires everyone on the team to input their time in Workfront two places: once in the request queue and again on the Time-off calendar.
- Workfront has improved our collaboration among the team by encouraging team members to tag each other and leave updates in the system on projects they are working on.
- The approval process in Workfront is fairly simple to use. However, with the integration of ProofHQ, the approvals seems to go more smoothly as we are able to capture all stakeholder feedback and approvals in a single proof before moving forward with it. The only drawback is that the proof doesn't provide a link back to the project once you're in it.
- Our workflow is much more manageable now that we have Workfront. We have visibility to everything that is in the queue and to everyone's workload.
We used a homegrown project management tool for several years that had reached its limitations as far as capabilities and functionality. So, it needed to be replaced with something that was more robust as far as reporting, project management and search capabilities, to name a few. Workfront seemed like the right choice after careful review for our team and department, and we made the decision to move forward with it.
Workfront has improved the collaboration among the teams where I work. For example, in the marketing department, the Creative team uses Workfront exclusively to manage all its projects with it's internal clients. When communicating with our internal clients, we use Workfront to send updates to them on their projects. In turn, the clients respond to us through the system as well. Same thing goes for our team members. They use the social networking function of the system to send updates to other team members on different projects, keeping things moving at a smooth pace.
Other than the implementation project of Workfront, I don't recall us having used additional professional services by Workfront. But I can say that our implementation went smoothly, and the staff was extremely helpful all along the process while we ramped up the system for our marketing department's use. I launch in December 2016 was a success, thanks to the Workfront staff support.
