From sales to implementation, the process was a little oversold. We didn't know the right questions to ask - had we known what to ask, it would have been easier to embrace from the beginning. Once the training begins, it's comfortable with the tools and team. Our Project Manager had changed throughout the implementation process, but we didn't miss a beat. Arcoro takes care of us, and I would recommend them as a Sage partner.

Pros
Arcoro
  • Open Enrollment - this is an AWESOME feature. We have over 900 employees and we wouldn't dream of doing this by hand again! Everything legible and every required field filled out.
  • Electronic feeds to the insurance carriers/benefit vendors - this is seamless and we have more issues with the vendors than with Arcoro HR!
  • ACA reporting is something that they handle and it is one less headache that we have to deal with!
  • Applicant tracking that flows into onboarding then into the benefits module!

Cons
Arcoro
  • Since we started using the HUB, I have things listed as jobsites that are not jobsites on Exaktime, I'd like them removed such as DO NOT SYNC, JBLMANG, JENSEN, 1 HOME OFFICE, 2 DM OFFICE I guess they are called "locations" but every once in a while one of our guys will clock into one of them by mistake.
  • When submitting a ticket, quicker response time would be appreciated. Arbaz is quick to respond but the tickets are not responded to very quickly. I think Arcoro HR is a great product but response time is important! Especially when you have a lot of employees counting on a paycheck every Friday.

  • Their spell checker creates a squiggly line to tell you that you have a misspelled word, but, doesn't allow you to correct it.
  • The spell checker lets you add custom words to a dictionary, but, it can only use one dictionary at a time to check spelling. So the default dictionary gets used, and your custom words still show up as being spelled wrong!
  • You can't select-copy addresses, in order to paste them somewhere else.
  • Using duplexing on my printer doesn't work right. It works for every other software I own, but not in UDA.
  • There is a bug in the WIP date range that doesn't pull accurate data.
  • "Options" in the estimate show only cost, not margin. So if you show your customer that report, you are revealing cost info, not selling price!!
  • You can't import a PDF into bid notes, even though the premise of UDA is to try to make it a single repository for all your information.
  • You can't use the arrow key to browse photos in UDA. You need to close, and click into the next one. No inuitive functionality.
  • The estimating module separates material and labor, in ways that create a very confusing Scope of Work. You need to select the labor item from your database, then separately select the material from your database. You end up with two line items in your Scope of Work for the same thing. Instead of writing, "Supply and Install a new window" you have "Supply a new window" and then "Install a new window." It's hard for my estimator, and confusing for my client.
  • UDA will WREAK HAVOC on your contacts in Outlook.
  • It does a terrible job of managing husband/wife or partner/partner situations. You can't mail merge them properly, or, you get forced into combining their contact into into a single contact-- and then how do you know whether the cell phone is his or hers???
  • There is no good way to credit design fees against the construction contract, if you happen to use that paradigm for your contracts.
  • There is no way to filter contracts by their date created. So, how do you find your newest contacts for entering them into something such as Constant Contact?
  • If you try to use integration of QuickBooks(QB) and UDA, your ITEMS list in QB will either get expanded to hundreds or even THOUSANDS of items... or, your POs in QB will get created in a summary form such that they are virtually meaningless.
  • The "lead funnel" graphic may look cool, but there is not a good way to actually report on the lead status, track the activities and calls that you make, note significant emails that you write, or keep track of when you send out thank-you cards or spiffs/gifts!
  • They might tell you that these things work, but, after spending MONTHS with UDA, I found out that these problems are deal breakers.
  • Within their customer service department, the left hand doesn't know what the right hand is doing. They do not use a structure such as Zendesk that so many other great companies use. Even though I was paying for priority support, there were often days going by where I could not get a call or email back to assist me with a support request or provide a tutorial on how to do something. Had I not paid extra for support, this would be acceptable. But when paying for "TotalCare" priority support, there are times when the software had me stuck, and I was stuck for a day at a time waiting for an answer. Sometimes no answer ever arrived.

It is easer to keep someing going then change things out. Our employees have taken 6 months to learn this one, I do not want to reinvent the wheel. Just this week I have seen inprovment as they now know they do not get paid if they do not clock in and back out every day.

Usability
Arcoro
Very user friendly. Nothing's perfect but ExakTime is pretty close! Employees are diligent about clocking in and out in order to get paid! I love that we can customize reports to get exactly the info that we need. It's also very helpful to provide documentation of hours worked for our customers.

Support Rating
Arcoro
I have not had to use support other then as we got started
and had a few hick ups but they were great.
They answered all our questions even if some of them were no the program
does not do that. I guess the best support is one that is not needed because
the product works great and does its job right

Gave a notice to all
employees to come to work 15 min early on the day planned to implement the
program. I had Spanish and English signs
on how to down load the program and log in I showed them ALL how to log in and
out and explained that they are responsible for reporting accurate time. I had them all sign a policy that lunch
breaks were mandatory for all employees
at least 30 min per day. This ensures
safety on the roofs. We had a few people
who did not have passwords to the app store and we had a few problems with
android phones but most of them were on their way quickly. Most not happy about the change but I hope
they see the benefit of it now.

We still use Sage, and ExakTime is compatible with it, which is why we went with ExakTime. So technically we use both at this time. ExakTime is a great pairing with Sage since Sage does not have any applications that let employees clock in and out. So we use ExakTime for that and then transfer the information to Sage for the reporting and issuing of deposits/checks, etc.

QuickBooks has great quality assurance and while they don't provide support, their software is nearly flawless. Co-construct provides great support and solves problems. In comparison, UDA Construction Suite is full of flaws, and their customer service department is disorganized and overworked.

Return on Investment

  • Payroll Accuracy - Hours used to be manually calculated here. Depending on the person it was almost never accurate resulting in employees being under paid or the company losing money.
  • Time - To calculate 30+ employees hours, including overtime was a nightmare and took an entire day. I now do minor changes day of payroll to fix up things and ask questions and I am no more than 20 minutes. That is a huge time and money saver.

  • All my money was wasted. I could not get a refund.
  • All my time was wasted. I spent much time on customer support, and even more time "stuck" where customer support could not be reached.
  • My staff time was wasted, because it was hard for them to implement and then we ultimately abandoned it.
