Asana

I like to stay very organized, so I can't imagine a scenario where Asana is less appropriate. Whether you're a one person team, or you work amongst multiple departments/teams, Asana offers the flexibility to bring everyone into the fold and keep everyone on the same page and on task. Our marketing department uses Asana to task out everything: copy, advertising deadlines, website updates, image design, PR and award management, etc. We were using Basecamp before this, but our marketing team became too large, and we weren't able to assign subtasks to individual people with individual due dates.

MindMeister

This product is well suited for making mind maps and outlining projects and ideas from the start. It can be tough if you are trying to convert something you began in Docs. It allows for a lot of intuitive creation, making your work flow easily. It can get to be a bit clunky though if you make your map too large.

  • Chain of custody for tasks is easy to keep track of.

Cons

  • Controlling who can add/delete tasks isn’t available. Someone can delete tasks with permission and it isn’t auditable.
  • User interface is clunky at times, especially when working on multiple items. Sometimes things just disappear or don’t save.
  • Customer service isn’t stellar. They are email only and often aren’t clear in their response.

The version of Asana that I'm using is free and works amazingly for my needs. If I were part of a larger organization that was going to pay for a project management solution, I would definitely recommend Asana. It is a very polished and feature-packed product that was designed with a focus on usability and functionality. The only thing that would make me recommend something else would be some unforeseen feature that I don't know I need yet.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

Alternatives Considered

We “beta” tested several softwares across our company. Asana was a great fit for our small corporate team. But when we rolled it out company wide, it didn’t stick. We eventually ended up using Airtable - which has worked out well for us.

I have also used LucidChart and Google Draw to create mind maps and concept maps in the past. I think that MindMeister is by far the cleanest and most user friendly of the three. Google Draw does not have anywhere near the same functionality. LucidChart tends to be clunky and the options to create your map are not always clear and intuitive.

Return on Investment

  • Asana eventually became a time waster for me as the admin.
  • After roll out company-wide, it wasn’t simple for people to use and it eventually started to not be used at all.
  • The cost was fair. However, it showed us that we should really go with another, perhaps more substantial, player that may a little more.
