Cisco
It's suitable for content filtering applications using regex, hash, domain, or email... It's particularly perfect for a Cisco infrastructure. It's also perfect for a hybrid environment, such as on-prem/cloud. It's less appropriate for small- to mid-sized infrastructure because it's too complex for basic use. The UI can be improved as well.

Cisco Cloudlock is a good fit for my organization consisting of 150 end users. While we have a small office product that can expand to cover any size organization, I would assume the overhead to monitor would increase. While my organization's business is in real estate, I would highly recommend this for all businesses that handle sensitive and private data. Being able to monitor our cloud infrastructure has allowed our security team to be more flexible in allowing approved users access as well.

RPost
RMail is great for sending emails with information that is sensitive but that the recipient is not going to put a lot of work into retrieving. I do psychological evaluations for criminal courts and I use it to send reports to courts and attorneys. I need to use something compatible with HIPAA privacy rules, which courts and attorneys are typically not as concerned about. If they had to use a password or go to an outside web address to retrieve the email, they wouldn't do it. It's also common for an attorney to say they didn't get an email, but I always know if they did or not, and I have clear documentation of it, which is important in legal cases.

  • Read receipts tell you the time a message was actually opened
  • The electronic signature feature is nice, and usually not included with these types of services
  • Many times, a recipient doesn't need a password to open their email. RMail leverages TLS technology in most cases
  • Recipients do have the option of creating an account, but generally they don't need to
  • Outlook integration is very easy to set up
  • Gmail integration within Chrome is pretty amazing

Cons
Cisco
  • On certain client machines, we found that the software prevented the opening of innocuous email attachments flagging them as potentially harmful.
  • Emails with large attachment sizes can sometimes slow down the email loading process.

  • Although alert mechanism is good but it delays a bit.
  • For implementation of DLP we had to hire a expert it took a lot of time to set up.
  • Support [in my experience] is not good.

  • Program plug-in crashes on occasion.
  • Issues can arise if your computer's clock is not synced to RMail's time servers.
  • Setup was initially tedious (but has gotten much better since 2019).

I don't think RPost has any competition, at least none that I can use. I think that once registered email becomes widely accepted (someday soon?), it will be indispensable for anyone in business, and RPost is the leading vendor (maybe the only vendor).

Support Rating
Cisco
Cisco TAC support is very good since they have engineers available 24 hours a day, 365 days a year. Important to mention that you must have the support of the solution enabled to be able to receive a response from TAC and that we can be taken care of. The only drawback may be that they will not be able to see settings of the email provider you use.

They are very quick to respond and go the extra mile to help address our issues. That said, we've only needed them at the early stages of implementation for support help and occasionally when we want to do a full re-scan of our site. They are very flexible in working with us on the timing of such scans.

Support is easy to access via email or phone. They also reach out to you periodically with new features, but they aren't intrusive about it. I usually appreciate it when I get an email from RMail, which is not very often.

Alternatives Considered
Cisco
Cisco was at least better than or equal to the others but within our budget. It provided all of the services of anti-spam, content filtering, anti-virus, DLP, encrypted email service, scalability, and more than the others. Cisco name and reputation were also key in our decision.

Amazon Macie is limited to an AWS environment and fulfills some of the same functions that CloudLock does in SaaS products. Both are very valuable tools, so the decision is not really which to use, but whether to use both for their respective environments. In general I feel CloudLock is a more powerful tool because it connects to Microsoft 365, which is more business critical for our organization, but that really is a personal call.

RMail is really useful when wanting to send important encrypted information, and have control of what happens on the other end. It also comes with a complete set of features that help in any other way you can imagine. I've been through other products, and nothing compares to it.

  • There's not much ROI, because we don't get it much cheaper than the list price.
  • However, being able to offer this service strengthens our service offerings.
