DocuWare vs. Oracle Primavera Submittal Exchange

We currently have a scenario where we print 1,000 documents per month, one for each resident. Because of DocuWare's ability to process barcodes, we dump that pdf to DocuWare and it files it into each resident's account. We then run scripting to add each of those documents to our cloud-based property management software. Saves having to process one document at a time per resident.

[Oracle Primavera Submittal Exchange] is very easy to train new users on it and have everyone on the same page. The daily reminder emails can be a pain but if there are documents needed from a trade it is a great way to remind the the it is in their ball of court to act accordingly and get the documents uploaded because there might be other trades waiting on them.

• It is very easy to navigate the site and find what you are looking for.
• They have a great support team.
• It is easy to remind different trades via notification of there are documents or submittals needed for them.

• No active directory integration, this doubles up user management.
• No Outlook integration. Would be nice to be able to interact with Docuware from email.
• No mobile application. We have many remote users that would benefit from this.

The interface if fairly intuitive and the graphic display of many forms and reports is much better than Procore. I started using Submittal Exchange about 17 years ago. Primavera has worked to add features, but I have not been able to integrate them all into my workflow. I still use the original features more than the new ones.

We use a third-party company to assist in the support process, and they have been great to work with. Quick turn around on issues and almost immediate communication concerning support tickets. They are more than willing to consult with our IT partners as well, which is a must for our business.

Managing documents and processes are very similar. The added value of Docuware Cloud is seen in the administrative management and the investment cost.

My company uses Submittal Exchange when required by the client. The cost is too expensive for us to select as an enterprise because other clients require that we use different software.

• Package is customizable so you can scale as needed.

• It has allowed us to manage our submittals better and get the back in a timely manner to schedule projects accordingly and keep the flow going.
• It can be a little time consuming to get the project data entered but if done right, it is worth it.
