We actually moved from DocuWare to Plate IQ because Plate is restaurant specific and shares many item codes, SKU #'s, etc from major vendors. However, we continue to use DocuWare for other data management because it was so useful to us while we used it for AP.

Managing documents and processes are very similar. The added value of Docuware Cloud is seen in the administrative management and the investment cost.

We can use Docuware Cloud as a checks and balances program for our application processing in our data department. This is a time saver and allows us to access information at our multiple locations, as well as we have clients in various states. We can assign documents to others throughout the processing of applications, and this has allowed us to keep better track of our documentation with clients.

I think TAP is well suited for legal operations teams and processes that have been undergone lean process improvement. Moments when we have run into trouble with the tool has stemmed from our own internal struggle with how we want to run our processes. This is not the fault of the tool, but our failure to properly vet the process beforehand. As we begin to automate more processes, we have the ability to properly lean them out beforehand to make them more efficient. If you have a process that is inefficient, do not try to overcome it with automation. This tool is well suited for scenarios in which you require upfront data capture, routing, approvals and/or e-signature. It is also great for centralizing your data.

  • No active directory integration, this doubles up user management.
  • No Outlook integration. Would be nice to be able to interact with Docuware from email.
  • No mobile application. We have many remote users that would benefit from this.

  • Adding form fields can be quite tedious as it has to be added to every stage/relationship.
  • It's difficult to remember where a certain condition/formula sits.
  • I wish the workflow itself can be exported for presentation/demo/documentation purposes.
  • I wish there was a way for more than one admin to configure the tool at the same time.

Support Rating
We use a third-party company to assist in the support process, and they have been great to work with. Quick turn around on issues and almost immediate communication concerning support tickets. They are more than willing to consult with our IT partners as well, which is a must for our business.

I'm very excited to provide feedback/suggestions so both ThinkSmart & our company can grow together! At my previous company, we used Hiperos as a vendor risk management tool and it was very clunky and difficult to use/maintain from both an admin & end user perspective.

  • Purchasing approval control and monitoring. Allows us to keep tighter hold of the budget.

  • The tool hasn't rolled out yet so we cannot speculate the positive/negative impacts quite yet. However, I know it'll free up a lot of time for risk subject matter experts to gather vendor risk data for critical/high-risk vendors. From a negative standpoint, it may significantly delay the procurement process for purchases if due diligence is triggered and/or there's pushback from vendors.
