Keap is the engine that will drive growth for your small business

I use Keap for all aspects of prospect and customer relationship management. From organizing and sorting contact data, email communications, deal tracking, quoting and invoicing and reporting to internal processes, and automating the customer journey. Keap allows me to establish and repeat my sales strategies to scale using automation. If it weren't for Keap, I'd be spending hours of time trying to remember who to reach out to, when, [and] with what messages. There is no way I could operate at the scale that Keap allows me to.

Pros

  • Segmenting and personalizing email marketing - even though it's automated!
  • Has many features built-in but also integrates well with other tools.
  • Flexible campaign builder to account for all possible scenarios in your customer journey.

Cons

  • Works better for service-based businesses than e-commerce.
  • Dashboard reporting is simply numerical.
  • Primarily built for English speakers in North America.

Keap is for you if you are a small business owner who is looking to grow your business with organization and automation. It works best if you bring your strategy to implement with the tool. If you are a business owner who knows what you do inside and out, you know and care for your clients, and you have sold your services before. Keap is not ideal for you if you have not yet sold the thing you are intending to sell. If your business is still in the ideation phase, it may be too soon for a CRM tool such as Keap.

We use Keap to capture our incoming lead information, then we leverage Keap's automation to move our prospects to buyers. Because of Keap's powerful segregation and decision features, we're able to deliver a bespoke experience to all of our clients. Additionally, we use Keap to automate and track service delivery and collect most of our payments. We also use Keap to automate many of our internal processes like recurring weekly assignments and the hiring process for several different postions.

Pros

  • The ability to enter a form directly into a webpage thus eliminating the need for additional WordPress plugins.
  • Built-in order form and shopping cart functionality including payment processing.
  • Easy-to-use task management allows us to trigger different automation depending on the completion goal of the task.

Cons

  • There are 2 different mail builders as they upgrade the system which can be a bit challenging but the builder in the newest version is extremely easy to use.
  • The landing page builder is not quite as robust as some 3rd party landing page builders but improvements and feature enhancements are added regularly and have made it very easy to use.

Likelihood to Recommend

For a small business that's crossing the $100k sales barrier, Keap is an ideal option for automating many of the tasks that used to be done manually. Best of all, it never calls in sick, never has a bad day, and never asks for a raise! It's the ideal employee! We also recommend Keap exclusively because the interface is easy to understand and you don't need to hire an expert programmer of 95% of the automation you need to build.

Keap is used across our entire organisation from marketing and lead generation, through the sales process to reporting and referral. As our core CRM and sales and marketing automation tool, Keap acts as our business hub and source of truth for data-driven decision-making. It has allowed us to increase revenue, save time and increase team productivity as well as automate our customer experience in a way that feels highly personalised for our clients.

  • Sales pipeline and lead tracking.
  • Email nurturing with automated email marketing campaigns and manual broadcasting.
  • Integrating with other third-party tools to create a customised systems ecosystem.

Cons

  • Landing page builders could benefit from being able to handle more customisable sales funnels for businesses keen to implement digital marketing campaigns.
  • Some appointment features such as appointment date and time could be better stored in a custom field to trigger automation based on field timers.

Likelihood to Recommend

Keap can be implemented in most businesses to manage and track sales, improve marketing and save time. The only limitation is the implementer's ability to customise the tool to the unique needs of the business they are implementing it for. I am yet to work with a business that couldn't benefit from the CRM and sales and marketing automation features of Keap.

I used Keap for automation, sales funnels, making appointments, broadcasting emails, and my sales pipeline. It's like a CRM but has some helpful automation too.

  • Automation.
  • Easy to Use.
  • Customer Service.

Cons

  • It's expensive.
  • Aspects of their automation could be better. For example, stopping automation when someone responds.
  • Removing people who have already unsubscribed would be helpful.

Likelihood to Recommend

It's good for a small business needing some automation. I'm starting to work more in sales funnels, and while this is possible in Keap, it's not as good as other software for this. Additionally, there are caps on the number of people in the database before there is an upcharge, and that can get expensive as the sales list grows.

We utilize Keap for everything in our office. We use it for email marketing (weekly newsletter with updates, events, and offers), client intake (webform features and create drip campaigns to nurture the leads that schedule an appointment), text message marketing, monthly campaigns to create landing pages, tag where clients and leads come from, and monthly reporting to track our return on investment.

Likelihood to Recommend

Keap is a great tool to use in any kind of business that is wanting to track where their revenue is coming from and stay top of mind of any leads that either did not engage with your product or service or continue to nurture existing clients and customers. Keap would be very beneficial to other law offices and other private practices.

Keap meets many of my needs - as a CRM Management tool, Landing Page Builder, Appointment scheduling. The greatest advantage of Keap is that the Automation of many different tasks is easy and covers all my needs at this time. I changed to Keap as I was tired of paying multiple monthly subscriptions to achieve these tasks and having to use a Zap to link everything - Keap manages my business needs in one place and has many of the integrations (eg: Zoom / Quick Books / SMS / Stripe) that are essential for my business. I like to be able to set things up and do it once then know everything is going to work as it should, I am no IT person - I find Keap logical, and when I know what I want and I can't make it happen - I have 24-hour chat support available.

Pros

  • Advanced Automation - that includes decision-making ability in a campaign - very very valuable - as I can have multiple sequences with multiple options in a single campaign - makes setting up & updating things very easy.
  • Appointment Scheduling - my business is a client service, global consultation 1 to 1 using Zoom. With the ease of scheduling an appointment for my clients - both via my website or invitation in an email with automatic follow up, automated with my Zoom Account so I am not wasting time doing basic tasks repeatedly.
  • Easy to use forms - checkout forms are simple to create and are easy to link repayment processing.

Cons

  • Improvement in Integrations - rather than having to use something like Zapier to link different software - I struggle with how integration with Zoom works and how to set that up.
  • Short video tutorials online for specific steps - rather than documents and then trying to figure out how to do things - like yesterday I was struggling with a decision diamond and how to create that and use it - I am a visual learner so a quick 4 minute tutorial under help would have been amazing.
  • As a user I find the help documents very difficult to comprehend at times - as I think it is like an assumption is made that the user understands how everything beyond the basics fits together - again rather than webinars - short videos on specific tasks - eg: wanted to remove a client from Pre Webinar section of the Campaign - as they registered the day of the webinar and attended - but were still active in the email sequence pre-webinar - needed them to be taken out of the pre-webinar sequence I searched 'remove the client from the sequence in a campaign' I struggled with the documents, I contacted chat - they told me I couldn't do it - then when I said there must be some way they talked about adding a Goal - tag and then creating a rule that put them in the next post-webinar sequence - and ticked the box to take them out of the current sequence.

Despite the difficulties I have with Keap I still believe it is the best multi-purpose tool for small business that does not have the ability to hire others to do all of the stuff Keap does - only need to learn 1 package - and reduces the number of software packages you need to learn.

I use Keap to manage my client relationships and my email marketing. It's a great way to manage leads as well and the dashboard gives you a great view of your company each morning when you log on. By automating many of my systems, it allows me to stay connected to my clients and prospects.

It is a great way to stay connected to your customers and leads. If you are just starting your business, it can be a great foundation to build your marketing upon. But there are a lot of features that you may not need right away that can be confusing to new users.

Keap was implemented in my company last year to manage the influx of leads and track the customer through the sales process. We also use Keap to onboard the new clients to acclimate them with how we do business and the culture of the company. We use this across the company to help keep us organized and informed.

Pros

  • Keap organizes and tracks our leads.
  • Keap allows employees to use the pipeline feature to meet their goals.
  • Keap informs new clients through automations.

Cons

  • The email feature seems to send well, but emails do bounce frequently.
  • Automations sometimes send too fast and if accidentally triggered, you can't cancel in mass.
  • Slightly difficult to learn.

Likelihood to Recommend

This is an excellent software/system to use on the front end of leads and tracking through the sales journey. It also is nice for onboarding new clients. Once clients are established with your organization, we find it a little cumbersome to use in that aspect. We move clients once they are established.

We use Keap to help automate our lead gen follow-up system which has helped convert cold/warm leads into paying patients over the years. Most recently we had a new patient who was getting our emails for over 24 months before ultimately making a $4000+ purchase! Keap is the cheapest yet most valuable "staff member" on payroll!

Cons

  • It would be nice to be able to delete a contact from the task notified section when it is spam.

Likelihood to Recommend

It's perfect for following up with cold/warm leads over the months/years. It also is great for creating evergreen online business solutions.

I use Keap for ongoing communication with current customers, drip campaigns for prospective customers who have downloaded website resources, onboarding campaigns for new customers, and communication with people who have recently purchased my book. Most of these utilize automation. I also use the Keap calendar to let people schedule appointments with me. I have also used landing pages and product purchase capabilities.

Cons

  • It would be great if there was more functionality around structuring products that you can sell. I was doing an in-person event and wanted to sell the first admission for X and the second for X + Y. That was not supported and I had to use a workaround.
  • There was one part of creating automation that wasn't intuitive. I wanted an email recipient who clicked through to a landing page but didn't complete the goal (register for an event) to get the next email in the sequence. I had to work around to get the functionality I wanted.

Likelihood to Recommend

Great for a solo operator because of the automation. Keap can continue to contact customers and prospects while I'm doing other things. It's a good robust tool for small businesses with lots of functionality. I haven't been able to find anything that I want to do but can't.
