Use Cases and Deployment Scope

We use Paychex for a multi-functional solution covering payroll, benefits management, training, and compliance-related operations. Our department heads can manage employee time tracking, PTO requests, and monitor overtime in real time through their standard Paychex logins. We're just getting started with the software, and we still haven't fully realized its benefits. We expect to nearly double our use of the software in 2026.

Cons

  • I understand logging you out is a security function, but I'd prefer it not to log you out so soon.
  • The training we received for the team's meeting was subpar, in my opinion. Probably better geared for people with little to no computer experience. Very slow pace; we could have easily received all of this from some tutorials in a few minutes.

Return on Investment

  • This software has provided visibility to shift managers and department leads that they never had before in managing their subordinates. They now have an easy-to-use go-to source for seeing who has PTO, how much they have available, and what the work calendar looks like, allowing them to make better-informed decisions.
  • With this software to manage open enrollment, we can now get through that process with a tool we use regularly, rather than jumping into enrollment management software only once a year and having to relearn it each year.
  • Literally thousands of steps are saved each week by not needing to traverse the entire shop floor or track people down to clear up questions with time cards. With everything digital, so much can be observed and addressed in real-time through the app.

We use Paychex Flex as our payroll company and decided to use their "flock" system to help streamline our benefits selection for our employees. This was a total nightmare I feel. Not only is it nearly impossible to get a call back on issues, the communications from emails are cryptic or non-existent from my experience. The left hand doesn't know what the right hand is doing ever. If, by chance, you finally reach someone in a management position to "help" with an issue, rest assured they expend the least amount of effort to aide you, if they decide to aide you at all in my opinion. The last 5 months with Paychex Flex and flock have been terrible. We will be switching not only our benefits brokerage but also our payroll companies as of this review. I would chalk this up to a company being large enough they believe they cannot fail and that leads to being flippant with their customer complaints. If you are thinking of using Paychex Flex for any services, think again.

  • Benefits management was TERRIBLE. One of the worst experiences I have had.
  • Revolving door of assigned agents. You never know who you are going to get. 9/10 times the person didn't know how to assist us I feel.
  • So many phone numbers to call in to for various departments and after long hold times, could never be transferred to the right person.

Return on Investment

  • Expensive for what it is and how bad the service could be at times.
  • We saved money by switching, new company doesn't have some of the bells and whistles but we never used those features and were paying for them anyways.
  • Cannot strongly suggest enough to stay away from their benefits management team. Was a major deciding factor for us switching companies all together because of how horrific the experience was.

We are a consulting company who has multiple clients that we support with payroll, accounting, taxes and legal. We advise them on which payroll platform to use and then set them up and support them with bi-weekly, semi-monthly and monthly payrolls. We often use Paychex for clients that have fewer than 10 employees as it is an easier set up and more cost effective.

Pros

  • The site is user friendly
  • Assigned support is very responsive
  • It houses supporting tools such as requesting signatures for tax items
  • It offers separate benefits for no cost to the employer but good for the employees

Cons

  • There is often a disconnect between the Tax Pay team and items missing
  • There is no PTO tracker
  • Integrated items such as 401K can be difficult to troubleshoot when an issue arises

Return on Investment

  • Problem resolution for payroll errors is pretty quick
  • It is easy to retrieve payroll and tax reports
  • It is an easy process to update tax and UI changes to Paychex

I use Paychex to access our client's payroll reports. We need to pull the pay period reports as well as the quarterly and annual reports to record and reconcile the totals.

Pros

  • It is easy to setup access to view the client reports.
  • It is easy to navigate the menus to find the reports.

Cons

  • We have found that the Paychex reps sometimes aren't as knowledgeable in some of the newer state programs.
  • The client representatives change around and the new ones may not always be as familiar with the client as the prior representative.

Return on Investment

  • Paychex allows us to quickly access our client's payroll reports with minimal issues.
  • It is easy to contact Paychex if we have any problems.

I've been using the Paychex payroll services for my business since I opened my business over ten years ago. It's been a simple process as I report payroll info every two weeks, info is processed and deposits/checks are processed immediately. I'm notified by email when processing is complete and when checks are mailed.

  • Processing payroll
  • Back office reports

Cons

  • Reporting of PTO hours paid on payroll stubs
  • Access to specific individuals when I call with a question
  • Better search capability in the back office

Return on Investment

  • Big time savings as mentioned earlier. Simplifies all payroll tasks
  • Employees love the self-serve capabilities
  • Paychex is great with compliance. I don't need to give it a second thought.
