We use QuickBooks Desktop Pro for all our accounting needs: payables, receivables, banking info, clients, vendors, etc. QuickBooks Desktop Pro is an easy system to use for general accounting for a small business. In addition to the basic functions, we are also able to enter notes into clients and/or vendor sections to remind us of special arrangements. Reconciliations of bank accounts is easy. The reporting feature has a multitude of useful reports that make analyzing the financials of the business easy.
Pros
Creates invoices easily from Microsoft Access
Writing checks through QuickBooks Desktop Pro is easy and prints directly to my desktop printer
Vendor notes are helpful
LOVE the Insights! Gives you a snapshot of how the business is doing with a few quick graphs.
Cons
When QuickBooks Desktop Pro puts out an update, it always seems to come at an inopportune time (not QuickBooks Desktop Pro's fault) and sometimes does not allow us to get into the system after an update without contacting IT.
Likelihood to Recommend
For a small business, QuickBooks Desktop Pro is great! For a larger, more complex business, another system may be more beneficial. We actually run multiple businesses on QuickBooks Desktop Pro, but all are very small. The help feature is sometimes so beneficial, and sometimes it seems like you just can't get the right answer and need to find a workaround - but this is usually for more complex issues.
I used QuickBooks Desktop Pro with my prior employer. We used it for all the accounting and financial management needs, including vendor and customer/donor records, accounts payables, payable tracking, bank reconciliation, cash management, financial reporting, annual budgeting and YOY key financial metrics comparisons. Before implementing into QuickBooks Desktop Pro, we did all our accounting records manually, mostly in Excel, and faced much challenges. Once switched to the QuickBooks Desktop Pro, things became smooth and the financial reporting and analysis were done on a timely manner with an accuracy level much more satisfactory. Thanks QuickBooks Desktop Pro!
Pros
Reports getting ready in no time and with high confidence on accuracy and completeness
Link directly to bank accounts and receive transactions records on real time.
Save time and improve efficiency
Cons
Can allow more users to manage the same books at the same time
Likelihood to Recommend
What I think the QuickBooks Desktop Pro is well suited: 1) Easy to use and effective to navigate while satisfying our financial and accounting functions' needs 2) We upgraded the version from the QuickBooks Desktop to Desktop Pro for its advanced functions and the ability to track the different projects/programs that are essential to organization.

We really just use it for basic accounting - including customer and vendor tracking. While we do minimal billing thru QuickBooks Desktop Pro, we do ALL of customer receipts thru it, depositing to both our business checking and our Paypal account. Further, we also handle all of our accounts payable in QuickBooks Desktop Pro. When bills are logged as soon as they're received, it makes it easy to keep track of them and get them paid on time.
Pros
Accounts payable
Customer records
Vendor records
Cons
Accounts receivable
Payroll
Likelihood to Recommend
For us, accounts payable is probably the most used component for us, followed closely by payment receipts. Most of our billing is a little too specific to be handled efficiently by QuickBooks Desktop Pro, so we bill out of a separate custom application - but we receive all of those payments through QuickBooks Desktop Pro - and that works great.

We don't use QuickBooks Desktop Pro anymore. In my opinion, it has gotten too expensive, and they try to force you to use the web version. Why should I keep my most important business information on the cloud where anyone can have access to it. In my opinion, QuickBooks cloud is not secure. I feel they can cancel you if they don't like your company, just like social media platforms can. I don't believe what they tell you that it is secure. As a person who has spent 50 years writing programs and making sure they are hacker-proof. NOTHING IS SECURE!
Pros
Billing
Checkbook
Categorize transaction into groups
Backups
Cons
Lower the price back to where it was a few years ago where I could buy a version and it was good for 4 years.
Now I have to pay a license fee per year twice what I paid for a 4 year license.
The desktop version is no longer available for new customers. In my opinion, they want to force you to use the web version.
I use QB Desktop Pro for a small healthcare client on a cash basis. The Desktop version is easy to navigate for accounting clerks who can be trained to use accounting software to achieve reporting needs.
Pros
Easy to invoice customers.
Issuing payment to vendors is a simple process.
Standard reports meet most of the business requirements.
Cons
If a company wants to use QB Desktop Pro on an accrual basis, the user shouldn't be able to easily change the dates of transactions.
The user should be restricted from changing the distribution of vendor bills after a period is closed.
Likelihood to Recommend
Although QB Desktop is too easy for a non-accountant to make mistakes, it is well suited for accountants or accounting clerks who are well-trained in using the software and are trained on basic accounting concepts.
I use QuickBooks Desktop Pro on a daily basis, in both of my jobs. I love how easy it is to be able to reconcile our accounts. It's easy to correct and redo when you mess up on a reconciliation. I love how easy it is to enter and pay out bills, pull reports, enter expenses. It's a great, great program.
Pros
Reconcialtion
Bill Pay
Credit Card Charges
Invoicing
Cons
Audit trail easier to use

It's been great to use in the trucking industry when it comes to our billing department. It's easy to pay all our bills and receive payments. It's not the greatest for the trucking/load aspects of things. We can't control everything on our trucking side in there, therefore we have to get different programs.

I use my QuickBooks Desktop Pro on a daily basis. I create weekly invoices to our clients and love the email feature. QuickBooks Desktop Pro is so easy to use and the reports are customizable. I would recommend this bookkeeping system to anyone.
I use QuickBooks Desktop Pro for the accounting of various non-profit organizations. I am in charge of the month-end close of this organizations. Such as prepaids, accruals, payroll. As well as bank reconciliations. I also work with receivables and payables.
Pros
Bank reconciliatios
Receivables
Invoicing
Cons
Matching on the bank rec, sometimes it does not show a match even though there is one.
It is slow sometimes.
Would be great to have a go back option to the actual previous page.
We are a small software development shop with simple double-entry accounting needs. We don't have inventory, we don't use QB for payroll, and we don't use most of its features. I use it more to develop software applications for other clients using the QB SDK and various Microsoft development tools. It has been found to be pretty easy to integrate with other apps.
Pros
Easy entry of sales order and purchase orders.
Robust SDK for integrating with other applications.
Very complete documentation and online support community.
Cons
I wish payroll processing wasn't so expensive.
Data backups aren't automatic.
Seems to be a lot of pressure to move to QB online.

It's perfect for simple small business accounting needs. I know that it's what many bookkeeping companies use. Everyday tasks like creating invoices, entering expenses, balancing a bank account, and running simple reports are pretty easy. I don't think this specific version is suited for larger or more complex environments like manufacturing, though I think other QB versions are.
