Business Problems Solved
Viewpoint ProContractor is a versatile software that is widely used across different departments in organizations. The accounting department relies on it for efficient job cost management, while project managers and engineers utilize its features to track job costs and budgets. With the capability to create purchase orders and track purchases, the software provides valuable insights into project costs.
In the estimating department, Viewpoint ProContractor shines in earthwork and large area takeoffs, enabling precise measurements and helping teams better understand the project site. The software even allows for the import of CAD files, expediting the takeoff process. However, some organizations have transitioned to more user-friendly products as ProContractor's complexity grew over time.
Seamlessly integrating with the Viewpoint accounting system, ProContractor primarily serves as a comprehensive business ERP solution. It supports various functions such as accounting, payroll, project cost accounting, vendor management, and select project management features. However, it may not be the go-to choice for estimating, equipment management, or materials tracking.
Users appreciate how Viewpoint ProContractor helps them stay organized with current and ongoing projects. It assists with ordering supplies, scheduling subcontractor appointments, managing bills, and tracking work orders and jobs. This software proves invaluable for streamlining accounting and dispatching tasks within General Contracting companies that have relied on it for over a decade.
My company uses Viewpoint ProContractor for its accounting capabilities. It does not use it for estimating or day to day inventory keeping. This product allows us to track all of our subcontracts (Appx 150 projects/year) and all the various line items associated with each project. We use Viewpoint ProContractor for contract invoices for standard projects, sales, and rentals. We also use Viewpoint ProContractor for financial reporting including Work in Process job costing, a project backlog, and monthly/quarterly/annual financials. Viewpoint ProContractor is also used in my organization to finalize payroll, however we do not use the Daily Field Reports available in the Viewpoint ProContractor program itself.
Pros
Line item capability inside projects
Ease of equipment setups
Employee hours and earning reports from a job perspective
Cons
Overall software development seems to be lacking - I know it is a program under Vista, however I do not believe Viewpoint ProContractor has the support of Viewpoint that it once did
The adjust contract invoice function can create financial problems with miscalculations if a change occurs from one year to the next .
Overall the program is very "clickly" and not very user friendly in my opinion. For example all projects must be set up with an underscore rather than a hyphen. Multiple button clicks are needed for something simple. The warnings don't always provide a solution to the error.
History - If I wanted to see who was last in a project setup and adjusted billing codes on a project there is no way to do so. Although it is not needed frequently it would be helpful if Viewpoint ProContractor had the capability.

It is appropriate for the size and scale of my company - 150 projects a year that has a lot going on a multiple lines with each project. However there are many features and things that go unused with the software, because of how tinkery it can be. For example - our company needs a positive pay file, however we had to employ an outside service provide to create the file within the system. Same with a Backlog - the system kind of has a report but then again it has to be manipulated in order for it be of use. It gets the job done and has the reports needed to submit for certified payroll to the state, which was why we purchased Viewpoint ProContractor, however its ease of use is one of its biggest downfalls.
We have used Viewpoint ProContractor for 11 Years to manage all departments of our General Contracting company
Pros
Integrates all departments
Cons
We just changed over to the cloud based system. In my opinion, it a disaster- It does not work
Program is not responding- complete company shutdown
Tech support is not responding

Its a great program when it works. In my opinion, the cloud based system that Trimble is pushing is broke. We changed from in house server to the cloud 2 weeks ago. Since then the system has been down three complete days. Despite reporting a complete company shut down, Tech support took over 24 hours to get to our "Ticket"
We use it for accounting, dispatching, keep track of workorders and job.
Pros
Purchase Orders
Job Tracking
Accounting
Cons
Only thing is not knowing to not add hyphens, if you add one codes for purchase orders do not apper,

The amount of PO's we have going, its nice to be able to type a job name if you cannot remember the number. Or vice versa. I learned a new trick the other day to see all parts ordered for the job instead of having to look through individual PO's which is amazing.
I use Viewpoint Pro Contractor daily to help me stay organized with all the projects that we have currently and on going. It helps me stay on top of supplies that I need to order, schedule appointments with sub contractors. It also helps me find bills that need paid. I am able to see what sub contractors need to send me updated information for their liability insurance to make sure we can pay them on time.
Pros
They help keep me organized to see what job are coming up as well as ones in progress.
They help me see my bills that need to be paid to vendors.
They help me find invoices from us that still need to be paid.
Cons
Expanding the amount of information about a job to be entered.
More online classes about latest greatest tips.
Being able to set alerts for customers when their information is expired

The Viewpoint ProContractor is great. I am able to see everything I need to help our company be successful. I am able to look at a list of jobs that have not started, jobs in progress and jobs complete that are ready for billing. I have the ability's to look up customers quick and easily for their information anytime I need.

ProContractor is used as our primary business ERP for both company level and corporate level accounting. We utilize the accounting features, the payroll features, the project cost accounting features, the vendor management (compliance and contracting) features, and some select project management features. We do not use the estimating, equipment, or materials features.
Pros
Performs most project cost accounting features required.
Performs vendor contract management well.
Allows for multi-company/division and intercompany accounting.
Cons
The program is siloed, so connecting to other software or databases is not going to happen.
When hosted, the program can run slow.
The program is not going to perform complex accounting tasks with subledgers.
The program does not do much in terms of HR other than payroll.

ProContractor is a great fit if you are looking to make the jump to an ERP (accounting) system that offers a higher level of complexity and controls than what QuickBooks or Xero have to offer. However, some of those increased features of accounting controls, vendor compliance management, project contracting and documentation, come at the cost of lost integrations. ProContractor is completely siloed and does not openly communicate with other platforms (project management, bank accounts, etc).
ViewPoint ProContractor is our main accounting software for handling job cost management. Our accounting department spends the most time with the software but project managers and engineers use it to help track job costs and budgets. Idea is to create PO's and track purchase to be able to understand the current and proected costs of your project.
Pros
Lots of reports available to generate
Cons
Software processes run very slowly
PO receipting can be cumbersome, especially if you have to make changes on the fly.
Likelihood to Recommend
ViewPoint ProContractor provides lots of options and seems to have the ability to handle most tasks required for the accounting department as well as for project managers. Overall the system is cumbersome and a lot of time can be lost trying to work through the software and find areas/options that are needed. Limited in handling unexpected changes though this is probably by design but does not suit our needs as a site contractor with ever changing needs. While they do respond to comments and add new features the process is slow.
The product was used across the organization in operations, however, we have transitioned to another product that was a bit more user-friendly. ProContractor was a great software because it required no energy to integrate with our Viewpoint accounting system, however, just like Vista, it was still glaringly obvious to most users that it was developed specifically with accounting in mind. While this is important, it was more important for us to have software that was project management based that could integrate with accounting rather than use something that felt "accounting-ish" in nature.
Pros
Accounting.
Budgeting.
Cons
More of a project management "vibe".
Less spreadsheet and complex processes to do things.
Likelihood to Recommend
I think it might work for smaller contractors that have less stringent management requirements, policies, and procedures. To get buy-in from project managers to use, it would need to be a little bit more user-friendly, but if your biggest concern was project accounting, this is a great tool. Smaller projects often have lower levels of RFI and submittal requirements, fewer subcontractors and commitments, etc. meaning that where this software is weaker, they will have less use for it anyway.
Viewpoint ProContractor is used at our company for earthwork and large area takeoffs. It is used in our estimating department and is then used to help our crews understand the site when working on the project. ProContractor is able to speed up the takeoffs when a CAD file is available for direct import.
Pros
Procontractor is great with direct imports from CAD files.
It is great with balancing sites or specific areas on site.
Procontractor has multiple views and reports that help you to view the dirt movement on the site (grid, profile, 3D).
Cons
Procontractor could do better with the quality of plan images it allows for importing in. We have plan sheets that will be downgraded in quality once imported. This makes the contour lines difficult to trace and see.
Takeoffs for trenching could be added with greater detail options (cut classes, etc.).
Likelihood to Recommend
Procontractor is well suited for earthwork takeoffs, but not as well suited for pipework & cut class takeoffs.
