Overall Satisfaction with Dovetail

We use it for 2 main reasons: - First, gathering our rights in the same place, with a big company, we always struggle to have it stored in one place. With numerous teams conducting qualitative and quantitative research, we utilize it extensively as researchers to analyze our interviews or surveys. The AI features really help, specifically the Chatbot to discuss with our data. We primarily use it within the design team, but hope to expand its use among our stakeholders.

Pros

  • A chatbot to discuss the interview data works really well if you do it interview by interview.
  • AI Insights to get a quick view of what you learn from your research.
  • Find insights among a large sample of data.

Cons

  • We should have a trust indicator for our insights, as it is difficult to quickly determine when they are trustworthy or not.
  • Chatbot analysis within different data, I mostly use it with a small sample and replicate the process instead of using the chatbot for more global analysis.
  • Insight creation, the format is not always really engaging, and you can't really create a presentation from it. It does not align with some stakeholder expectations and requires us to redo the work.
  • We've seen significant improvement in user-centered design within the company. As a result, we had to add seats because 80% of our designers now directly use Dovetail to analyze interviews and user tests.
  • Reduced the number of repositories we use; 3 teams now gather their report in Dovetail instead of having 3 different repositories.
  • Increase productivity for us as researchers, reducing our analysis time by 50%, and allowing us to quickly share first facts when we start research.
It had a significant impact; we tried various approaches and tested different AI features. The tag system is not particularly relevant, as the AI can analyze the interview content directly. The insight creator is good enough for quick analysis, but we don't share it as it is too broad. Chatbot makes a huge difference, better when you use it with one note/data at a time, than with a bunch of data at once. The feature to summarize insight content really helps, mostly when we upload PDF or other format reports.
It helps us adopt a more user-centered approach, we avoid conducting research twice, and the more we use it, the less frequently those time losses occur. The teams around design are increasingly interested in the storage aspect and want to add more of their data.
It is quite challenging for a new user unfamiliar with the research process. Some features are hard to find. Also, when you use "fields" to categorize your insight, then it is not really easy to search and filter using those fields. At least it is not really accessible, as the search bar transforms into an AI-powered search feature where you ask a question.
Better usability but less powerful in terms of integration. EnjoyHQ felt better for quantitave data when i used it for the last time. But my knowledge is not up to date.

If you want to quickly transcribe your interview and analyse it really fast, it is the right tool. If you want to add a quantitative data report, I think it is less relevant at the moment, except if you have the authority to connect a quantitative source to Dovetail directly and use channels, but quantitative analysis within reports is not good enough. The consequence is that the AI cannot efficiently mix qualitative and quantitative data to create insights.

Using Dovetail

50 - Mostly UX researcher and designers (writers, UX UI, Service designers…) and their management, they are the main contributors with the research team.
Then we have performance teams, marketing teams and other team doing quantitative research. But they use it for the repository more than the orher features. With the chatbot in Beta now the use for research is increasing
1 - I am managing the tool, my tasks are to update and train the team when new features are launched, make sure to download any relevant content to the repository and verify what is uploaded in the tool. With all the AI feature we need to pay attention to how it is usée and make sure to give the right method to our users to avoid bias etc. In the analysis.

Because we are really happy with the tool and it’s capabilities at the moment. The price increase is the main issue we can have but the features are getting better and better. It really saves a lot of time for our team and allow us to collaborate more efficiently with certain stakeholders that often did not réalise how much research we conduct. Now they can just have a look to it by themself!

Evaluating Dovetail and Competitors

From what I discussed with the team when they purchased it the most appealing aspect was the usability, or at least the interface design and the variety of features offered. A well-designed tool can be a strong entry point for design teams, and since the features were solid enough, we really connected with the tool. The range of use progressively increase to other teams around us and they quickly feel how to get the most of the tool.
I didn’t take part in the tool selection process, but I would have chosen this tool if I had been able to. I had already recommended it in my previous job.

The training went very well, and we co-built it to really address our needs. I also think it was beneficial to have feedback coming from someone other than myself (since I manage the tool), as it helped reinforce the points I wanted to highlight. The team’s feedback on the training was very positive.

Configuring Dovetail

I think the possibilities are very broad, so we can do a lot and organize the tool however we want, whether it’s how we view the data or how we structure it. It’s great, but at the same time, it can sometimes be difficult to know where to start. When I talk with other teams, we realize that everyone approaches it differently.
I would just say to clearly define what we want to prioritize and the main use cases, so we can start there. There are so many possibilities that we need to choose and focus on a limited set of uses initially.
Some - we have done small customizations to the interface - It was fairly easy. It mainly involved setting up the homepage, creating templates for our research projects, and creating feeds from the different moments of our customer journey. These three tasks alone were quite straightforward to complete.

My customer success manager is very responsive and has always been able to answer my questions and resolve issues quickly. The collaboration is smooth, so I have no complaints in that regard.

No, I don’t think so. I wasn’t involved in that process, as it took place before I joined. I believe that if we were to upgrade, it wouldn’t be in this area for budget reasons.
I don’t recall such a situation. I was able to ask our CSM to lead a few presentations for the team, and the feedback was very positive. The support team really masters the subject, so the presentations and discussions have been of high quality.

Dovetail Reliability

Management is quite straightforward; it’s easy to change access if certain stakeholders need to use it. The repository features are accessible to all teams, making it a good entry point into the tool. The more people use it, the more powerful the tool becomes, so it seems truly scalable to me. The limits are more financial, in terms of accessing additional features.
I’ve never had any access issues with Dovetail, so I don’t see any problems in that area.
Regarding performance, I would say it’s satisfactory. Adding data and transcriptions is really fast and efficient, and can be done in the background, so I’m never hindered by these aspects. However, all the new AI-generated features are still somewhat slow to run. It’s nothing major, but it should improve in the future.

Relationship with Dovetail

I was not in charge of the negociation, but what i know is that the change price was huge and we did not really have the choice to accept it as we put a lot of effort in integrating dovetail witrhin the company tool kit and work habits. But it was let say hard to digest.
