Overall Satisfaction with QuickBase

We are a small business (i.e.P&L) within a large business. We sell a product and deliver professional services associated with it. About 6 years ago we searched for a system that would help us manage time and cost associated with implementations. We found and easily implemented QuickBase, and then extended it to manage other aspects of the business. We now manage customers and contracts, reconcile billings and P&L on monthly basis, store key documents and manage time. We also set up calendars to schedule our time and appointments at industry events. All members of my direct team and my finance partner have access to the system. We consider it fundamental to managing our business.
  • Manage Customer Contracts - We store contracts and amendments and note key data, e.g. expiration dates. This helps us stay ahead of renewals and closely manage any attrition issues. We also track billing on monthly basis and reconcile with corporate systems.
  • Manage Time and Projects - We have implementations that can last from days to months. We log time and progress against objectives, and are able to report as needed on COGs.
  • Sales Pipeline - We manage our prospect pipeline and also have ready access to any materials needed in the Sales process.
  • Event Management - Our sales efforts are often event driven. We manage event calendars and appointments across multiple participants.
  • Interestingly enough, we have found the flexibility of QuickBase to be so good that we have been able to implement new use cases as we go. We have a couple people on staff that are familiar with the admin functions (which are simple and straightforward) and have been able to create new applications as needed. I'm sure there are areas that can be improved, but we have been successful enough with QuickBase that I haven't focused on any problems.
We build applications on the fly to suit immediate needs. For example an upcoming event needs to connect to our prospect pipelline, key documents; and we need to schedule appointments for a number of people. QuickBase is our tool to do this.
We evaluated products 6 years ago when we chose QuickBase, and have not looked back. QuickBase had the most straightforward approach and was the straight line to be able to get a handle on our costs. We have learned along the way that it is capable of much more, and we have expanded our use.
We have been able to implement QuickBase with a team of Product Managers, i.e. non-developers. We are aware that you can build sophisticated applications; but have not needed to go there because we have been able to address all of our needs via the configuration tools that QuickBase makes available.

We have often needed to update our contracts application. For example, adding numbers of documents that can be stored, or fields that we need to call out for sorting. As I mentioned earlier, the flexibility of QuickBase is fantastic. We have never felt constrained in our ability to expand the system and our usage of it.
QuickBase is particularly well suited to businesses with a lot of moving parts, and participants (i.e. users) that are geographically disbursed.
