Overall Satisfaction with Workfront

We have challenges sometimes with being viewed as "order takers" who are tasked with fulfilling every brand or creative service request. We have a history of saying yes to everything. Workfront was chosen to help us not only keep all of our concurrent projects organized but also to allow us to track the time each project has taken. With the time log, we can justify having to say "no" to some projects or determine how to prioritize them to make sure they can be completed.
Pros
- The time logging function is a useful tool to show how busy you are with projects. It helps you show the requestor as well as your boss what bandwidth you have.
- We can keep an archive of past projects to draw from if a project arises in the future that would benefit from taking materials or direction from what we did in the past.
- The ease of creating new forms is a benefit to our administrators who can now digitize processes that used to be handled manually.
Cons
- Developing forms can be a little challenging. The fact that a form needs to be created as an issue, task and project is something that I find confusing to this day. I never know which version of the form should be updated first.
- You need to @ tag a user for them to receive an alert about a comment even if they were associated with the project or involved in the prior comment. This has led to some people not receiving alerts when a comment was intended for them to see.
- It would be great to have the ability to respond to email alerts through email and have them automatically added to the project instead of having to log in to the system to make a comment.
- Efficiency in managing all of the projects assigned to my department has increased with a tool that centralized the information.
- The reminders built into the system for deadlines keeps the team accountable for finishing work on time.
- We can show our value to the organization by running reports of how many different projects we completed over a particular time.
I wasn't part of the team that reviewed other systems and chose Workfront.
Previously, the requestors of projects were unable to see where my department was at in terms of completing the project. They were in a holding pattern without much direction. Workfront allows for the request to receive updates as the project moves toward completion, which has given the reauestor more transparency and comfort knowing that the work is being done. It saves our department from getting emails from the requestor wondering where we stand on their projects.
My only experience with the professional services has been related to form creation. I still feel that the process is somewhat confusing, but the Workfront support has been responsive in answering any questions I've had.
