I think 10000ft is good for bare minimum project monitoring, we used it a large company because we didn't need to have exact numbers - it was just a rough idea to see where freelance resources were over burning. If, however you work a much smaller company and really need to know detailed information it's not as effective, there are many other software options that really allow for much closer and precise tracking. I would recommend 10000ft for companies that just need to monitor large freelance teams, track hours and higher level projects that are also monitored on other project management tools. It's a tool I would only use in conjunction with something else.

OpenAir PSA

NetSuite OpenAIR PSA is well suited for time tracking and project/resources management. This is what we use it for and it does it well. As it happens with such systems, it is as good as the data it has, so if the team members are not entering their hours, it can be useless. Some mechanisms to notify/"force" users to enter their data will always help.

Pros

  • Tracks freelance resource hours.
  • Tracks multiple small projects and milestones within the projects.
  • Tracks budget information and scope creep.

  • Pleasant UI and navigation between modules: This makes it easier to use the various modules in the system and improves training processes.
  • Timesheet module with timer option: since tracking time is a large part of our OpenAir use, the simple timesheet module is key. The timer is also a nice feature for users who wish to utilize it.
  • Proxying capabilities: absolutely key for keeping business running. Also helpful to be able to choose the user role to see how that may impact a given user's view.

Cons

  • It's often confusing to use and find things, I sometimes find it to be a little counterintuitive as to where functions are (e.g. for tracking budgets and pulling reports).
  • When pulling a budget I always struggled to comb through the large amounts of data and time inputted. When I select a filter the page often wouldn't refresh or i'd forget to de-select a filter as it wasn't in an obvious place, which sometimes left me with pulling an incorrect budget.
  • The data is only as good as the people entering the time. Often with so many small tasks people would enter time incorrectly, in the wrong milestone or project. It lists all of your projects on one page, so it's not easy to enter it and there's a lot of room for error.

  • Reporting could use a lot of improvement. A large portion of our reporting for utilziation, capacity, etc has to be done out of OpenAir manually in Excel which makes distributing and maintaining reports an real challenge.
  • Customer support can also be quite slow and the technicians are hit or miss on their speed/helpfulness.
  • The separation between resource management and project management made using the resource management tool is virtually impossible for us. Too many steps are required between assigning users to tasks and assigning them as resources.

I think there's limited uses for the tool and much more comprehensive options out there for multiple tools in one. With more people working remotely, it's hard to just use email and face to face, in some ways you need to have a tool that's a fall back and a record of where you are + where you're going

We have to look at the whole ecosystem, if it happened that we changed our CRM or ERP, we want to make sure that OpenAir Netsuite PSA is compatible with them, if not there is a chance [we would] switch to an alternative solution.

Aside from Reporting, where there is some room for improvement, the usability is overall very strong. In Reporting, you can get the job done for the most part, but it might take a lot of creativity to get there.

They were responsive and knowledgeable. We had access to a single point of contact and we could contact him via phone/email as needed. It was very convenient and it made it easy since that person was already familiar with how we were using the solution, our configuration, etc.

Online Training

We did a 3 day online remote course back in April. NetSuite prefers training to occur before migration. We went over the functionality of tool and three months later we migrated. Personally, I didn’t find it that beneficial. Certain parts of it were beneficial as they applied to me – talked a lot about invoicing capabilities that didn’t apply to me. They also have knowledge base / e-learning assets, but I haven’t referred to them

It went fine. Everything came over the way we wanted. In addition to migrating the current projects we wanted to migrate historical data – did that seamlessly. The finished product looked pretty good – just needed to tweak – and they helped us with that

Alternatives Considered

Although an interesting tool, compared to Basecamp or Workfront, 10000ft really struggles on the collaboration aspect of the tool. It's great for the bare minimum, recording hours and pulling a budget, but we also relied on email for collaboration and face to face meetings - which is no bad thing! Although for big companies and small projects it's nice to have everything all in one tool so there's less jumping and room for error. That would be my recommendation for any company evaluating it

Microsoft Project Server was a very complex solution and often unflexible. We needed something less complex but with power and chose OpenAir.

Return on Investment

  • Positive - We were able to track multiple projects at the same time and record accurate hours.
  • Positive - Able to pull budget and excel reports which can the be analyzed further and relatively simply.
  • Negative - There were a lot of times when hours were entered inaccurately which left us in a bind with budget and freelance billing.

  • We have a relatively easy time booking time so time is saved there but everything else takes a decent amount of time to manage in OpenAir.
