Airtable

As mentioned previously, I currently developing an Airtable base to track student data and other teaching resource inventory. The children create year group databases. All of which work very well. I haven't encountered any issues or unsuitability thus far.

Flock

The biggest problem we are looking to solve with use of Flock was to have a centralized place that our booking department and casting department along with artists and agents could come to talk about projects and design creative solutions. For the most part, Flock achieves this. It might've only been lack of better on-boarding on our own end, but some of our artists find it too complex to use (or maybe they just didn't try hard to figure it out).

Pros

  • The website is very well laid out. It is uncluttered, easy to navigate, and is highly visual. There are a great range of field types and add-on blocks.
  • Setting up bases is very straightforward. If you get stuck the help section and videos are excellent. You can also access Airtable Universe to see examples of how the product is used by others.
  • I have submitted a number of queries by email and in each case the staff were very helpful and responded quickly. Given that I was using a free account at the time, I was very impressed.
  • Given that I have used the product with very young children successfully, I think that it is extremely well designed.

  • The ability to start a direct group conversation or individual-to-individual conversation helped us sort through creative problem-solving.
  • Sharing files such as photos from job sites or costume ideas helped us with creative brainstorming.
  • The integration with Google Drive and Dropbox also allowed us to streamline our conversations about creative solutions.

Cons

  • entering a single record seems to have to be done across several screens. Perhaps just the way we did it, but would be easier if it were all done on one screen
  • can't figure out how to "hide" a record once one of the people we are visiting dies. We don't want to delete the record, just hide it from the primary view.
  • eventually, it would be great to be able to integrate into Gmail--eg to hit the email address and have that transfer to an email...but perhaps not possible without permission from google...

  • A tool is only good if people use it. Some of the artists I work with found it too complex (though I don't think they really gave it a good shot).
  • We used it heavily for about six months and it didn't hit too many other big negative points.

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

Alternatives Considered

We do use Social Studio and Sharepoint for other tasks, but for project planning across a wide variety of deliverables, there wasn't enough flexibility all the time. Asana was harder to use and get into and didn't provide an easy way to adjust views/sorts.

Our creative team collaboration pathway story went like this..We started on Facebook as a secret group. We looked for better solutions and moved to Google Docs. It was a bit too robust for smaller conversations, so we moved to flock. Flock was great but proved to be too much for some of our artists, so we moved to NoteJoy. This seemed to be a good resting place for the moment.

  • It did provide a creative space for conversation and this does equal a great return on investment, considering the investment is free for the base use.
  • For the team members who enjoyed using it, it helped them save time in their day by having a repository for notes and creative ideas.
