Applied Epic

Agency management for larger P&C driven agencies that are looking for standardization across their business. The system really allows you to track and see when activities are being created and completed, where an account is in the marketing process (or renewal process). It also is a great data warehouse when looking to consolidate.

For outpatient primary care clinics, eClinicalWorks (ECW) is above average. It can be a bit overwhelming for older physicians who are not computer savvy. Our younger providers have taken to it quickly and use the advanced features more. The specialists are able to utilize ECW for their purposes thanks to the versatility of templates. Some of the more technical tracking (like OB pregnancy monitoring) is too basic. Day to day patient management for primary care is fairly efficient.

Pros

  • Account Management - I like the way the system organizes the data for each account. It is easy to search and find any client we are looking for and then once within that record, it is easy to navigate to the necessary policy or screen.
  • Task Management - once everyone was trained and on the same page, the ability to move tasks within the system from one person to the next really helps with the "passing the baton" from one team member to another. The task will come right up on the initial screen so the user knows they have something new to do.
  • Reporting - the system drives the majority of the reporting we do as an agency and it is great when working within the system.

  • User Friendly because their user interface allows for seamless transition from all aspects of the electronic medical record
  • Reporting is comprehensive so any report can be generated
  • Built-In functionality for reminders, campaigns, patient portal, and etc.

Cons

  • Employee Benefits Agency Management - we found that Epic could not be used to support our EB business and as such now have a bridge between the two systems. It would be fantastic if that was all integrated into one.
  • Contract Management - its hard to management/update account specific contacts especially for large companies that have changed and many points of contact

  • Billing system was lacking. No way to model financial projections.
  • Reporting and trending systems were crude with no UI without custom coding.
  • No easy access to patient data historically beyond 5 years for trending.

I think it can be intimidating at first but once you begin navigating and learning the modules, it becomes less difficult to perform charting and operational processes.

It's very important to limit your schedule during the weeks after go live but it is equally important to have a resource that is the lead at the practice that ensures that milestones are met leading up to the go-live date. Someone must be the point person at the practice otherwise milestones will be missed and the implementation will run into problems.

Alternatives Considered

Applied Epic was more robust than some of the other systems we looked at. It had the ability to be configured to work with very large fortune 1000 companies all the way down to personal lines business which was advantageous for us.

Lowest cost of entry compared to other EMRs we had experience in implementing. Our customers were not ready to spend seven figures on large EMR systems they will be locked in for eight to ten years down the road. They also did not want to store a lot of local data on expensive large SAN storage solutions and even more complex disaster recovery sight configuration. eClinicalWorks for the lack of in-depth customizable billing and financial solutions, it shines in fast deployment and low cost.

Return on Investment

  • Consolidated from multiple systems to one for P&C - reduced spend on maintenance of those systems and centralized our support making life easier for IT.
  • Positive impact on the time spent actually putting information into the system. Previously TAM was used and that system was hard to navigate and use.

  • I will just share one area that our organization saw the ROI in a very short time period. That is the elimination of a dictation service for most of our specialty group doctors when we introducec Dragon Medical. This functionality brought a tangible benefit and a significant ROI in a short time period.
