Asana

Asana functions particularly well in scenarios with well-established teams with well-established processes and a mature SDLC. The reason is that Asana can be configured to do many, many different things, and be used in many, many different ways, and with that power comes a lot of responsibility to figure out your process before you try and automate it. It's software, not magic.

FunctionFox

FunctionFox was designed by and for smaller creative companies. For those companies, it hits the spot - the terminology is right, features and processes are bang on, and the focus is appropriate. This means however, that it is not as well suited to large organizations, or to companies that are not in the creative industry

Pros

  • Multiple users can access the program at once without stepping on each other's toes or having to wait until someone is out a project to add something. It is definitely a group friendly program.
  • We like how visually pleasing it is. It is not at all intimidating to first-time users as it is very user-friendly. You can quickly find what you need and become comfortable with its features and functions.
  • I personally like being able to assign different tasks to different employees and be able to receive feedback and progress directly from that assigned person as well as view it myself.

  • Tracks hours/cost at the project, client or portfolio level.
  • Allows you to pull reports for a number of financial components.
  • Provided all employees have the training, comments are useful to understand what that time was for, especially in situations with over burning etc.

Cons

  • The layout of Asana is a little intense and could be cleaned up a bit to provide a cleaner, more focused look.
  • Can't drag and drop all tasks from one subtask to another.
  • Would be nice if one subtask could live in two tasks (similarly that one task can live in multiple projects).

  • More robust calendar
  • Task tracking system (% complete, % of budget spent)
  • More thorough reporting regarding budget
  • Resource allocation (showing if someone is overbooked)

Asana is adding more useful features and it makes the work of their entire team more organized and more efficient. It really helps us in achieving greater achievements as a team. It helps us to earn more revenue since we have more satisfied clients, simply because we are able to finish their project on time or even before the due date.

It's a good tool for tracking hours and overall budget. It does not give you insight into why there are those hours, or what part of the project has over burned. The tool is also tough to export reports and find the correct information throughout. Not only this, but I also have a hard time changing project details - there's no real easy way to and there's a larger room for error

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

I haven't used FunctionFox for a lot of support requests. On the times that i've been having issues I've had the issue resolved within a day, most questions I have had i've been able to source answers online or from a colleague. From what I have experienced the support team seems great.

Unsure on implementation of FunctionFox - was before my time at the company. Everyone at the company had a good understanding of the product and how to use it by the time I joined. My understanding is we implemented ourselves with a few training sessions for the creative team and adding hours as well as training for the account team to add projects

Alternatives Considered

We loved the fun design hacks (e.g., flying celebratory unicorns when you complete a task, Tab+B puts tabby cats on your screen temporarily; themed backgrounds). We're marketers–can you blame us?! But in all seriousness, we chose Asana over other similar products because of the detail that Asana could go into when tasking out subtasks to individuals with separate deadlines. Managers are also able to view the tasks that team members are working on to manage workload. It's also helped increase visibility of task details amongst team members to provide background on projects they might be looped into in the future.

I feel that Workamajig excels in the scheduling, task management, and being able to create predecessors areas. Microsoft Project is greate for allocating resources and seeing utilization. TimeFox is good for reporting but falls short in the scheduling area. TimeFox was good for maintaining projects but a file management system would have been great for document control

Return on Investment

  • I'm not sure how this impacts our ROI. We are able to manage our workload better and see the workload we have.
No photo available
  • Better tracking of client servicing
  • Has let to less employee efficiency - they take time out of their day to do it
  • If you forget to do TimeFox, it's near impossible to create an accurate report
