Bluebeam
The program is great for editing construction drawings, stamping/approving official documents and overlaying revised documents to see design changes. You can use it as an estimating takeoff tool, estimating database, document control, cloud document storage, the list goes on! Bluebeam poses many applications for the user to utilize for the desired needs. There may be some other software that has one specific function that can perform the specific task better, but Bluebeam is a holistic program with many tools for use.

Square 9 Softworks
Square 9 Softworks is really good for internal and external filing services. Square 9 Softworks is also an application that can be utilized for databases to store and extract data. If the volume of your filing isn’t heavy or on a day-to-day basis then I wouldn’t recommend Square 9 Softworks.

Pros
Bluebeam
  • Once you set Bluebeam Revu as your default PDF handler, it launches immediately when clicking a PDF to open. The speed with which it opens documents is impressive.
  • Creating PDF's out of other documents, such as Word, Excel, JPG's, etc. is simple.
  • Digitally signing documents is a simple, secure process. You can keep your signature password-protected, yet still access it quickly.
  • The Bluebeam Revu mobile application ( I use the iOS version on an iPad Pro), is awesome. Not only does it handle PDF's like you would expect it to, it allows for effortless digital signing of documents on the fly. Nice to be able to quickly sign a document and email right back out from the tablet no matter where I am.

  • The software is very flexible, and the technicians were great at implementing our customizations for the PO project.
  • While indexing fields in Global Search, the Key Free tool works great.
  • Global Search is well-organized. It's easy to navigate and find your documents.
  • The process for completing your project was well done. Communicating with individuals at Square 9 who were responsible for different aspects of the project was easy.

Cons
Bluebeam
  • If you have several tabs open and you try to drag one out for a side by side view then you do not have all the modification options and you have to combine them back together.
  • There is a lag time when hitting the print option.
  • There is also a lag time when opening files, sometimes I think the window is frozen.
  • I wish the basic version also had basic file editing, as in editing a document as Adobe does.

Bluebeam
Bluebeam is a powerful PDF viewer and mark-up tool. We are more familiar with it than Adobe Acrobat Pro or other viewers, and it has more features geared towards construction document managers than Acrobat Pro does.

We absolutely can't imagine not continuing software maintenance as there are always new additions that improve the system not to mention the excellent tech support when issues are encountered. Response times for troubleshooting are very quick and usually, my issue is resolved in less than an hour after connecting with support.

Usability
Bluebeam
I'm constantly finding that Bluebeam Revu does more than I knew it could. And when I find something that it can't do, I've found that Bluebeam truly listens to its user base and will work to incorporate any good suggestion when feasible.

The items I am searching for are easily found. They are found in at least 95% of the searches. The failure rate generally is related to another employees user error or a template error set up by our Square 9 team in house.

Square 9 Softworks
With the PDF projected viewer, the document retrieval-to-display can drag for a second more than some systems, and the capture workflow if you overload a server array can also drag, but those are the only two issues we've ever seen with this product, and they are not serious issues at all.

Support Rating
Bluebeam
Its hard for me to give a rating on this one as we rarely have to use the support feature for Bluebeam. However, when we have used it, they have been ultra supportive in helping us get exactly what we needed. I know another engineer was trying to figure out a feature and the rep gave a detailed tutorial on how to complete the task

We had one "production down" incident that took about a day to get help on. I think that's a bit too long. The support people seem confident but not that friendly. I feel like I'm bothering them when I get help, but they get the job done.

In-Person Training

Square 9 Softworks
It would have been higher, but the training is a bit muted for the lesser qualified office equipment vendors who signed up as partners to sell and support it. The more experienced ECM vendors and customer end-users will find the training very good, but a bit slow.

Implementation Rating

Square 9 Softworks
I think the implementation could have gone a little smoother than it did. Now that I know how to use the software, I could do it myself. I feel that as an organization, we could have been a little better prepared. If the consultant was more aware of what we were looking for, they could have assisted in setting up some workflows for us as per the contract. But because we were not prepared, the initial implementation process was a little painful. That said, adding a document management system to ANY business kinda means everyone has to re-think the way they do their work which can be difficult for some staff.

Alternatives Considered
Bluebeam
We feel there is not another program out there that would compare to Bluebeam at this current time. Some of the other programs out there do not include studio or the overlaying process which is one of our main uses. The ease of hyperlinking makes this product stand out the most.

We tried Etrieve before Square 9 and it never got off the ground. Our requirements were too complex and the platform could not accommodate them. Square 9 offered the flexibility and customization we needed from the start. Support worked with us to build workflows that actually fit our processes instead of forcing us into a rigid structure.

Scalability
Bluebeam

Square 9 Softworks
The scale-ability is quite good actually, but you need competent sales/support folks providing it to you, so the scale is set right for the demands of your system use. Some resellers are not good at doing this, some are fantastic. If you are scaled correctly at first implementation, you'll be very happy with this system.

Return on Investment
Bluebeam
  • A major positive aspect is being able to take your computer home without taking the entire set of paper drawings. They have made it so easy to navigate a set of drawings that I can work at home using only the digital drawings.
  • Collaboration with owners and architects has been a great feature. Setting up a Bluebeam studio and having everyone get in and mark things up, then having the architect be able to go in and see what markups have been added, has made the constructability review process much much better.
  • Even when not working on drawings, Bluebeam is a very good tool for working with standard PDF documents. The markup tools are very easy to use.
  • The negative aspect is the takeoff function because some people would like estimators to use the Bluebeam takeoff because it would make their job easier down the road; however, the actual act of doing a full scale takeoff in Bluebeam would require much more time.

Square 9 Softworks
  • Reduction in human error through manual data entry process now being automated
  • Reduction in cost due to automation allowing the function to not require a full time employee
  • Reduction in time spent performing the previous manual tasks. Example: on our consolidated shipment days, it could take doc clerk 2-3 hours to prepare master document package. This has been reduced to 30 minutes or less (depending on size of shipment and time needed for OCR to complete)
