Square 9 Global Forms / Global Search Review.
Overall Satisfaction with Square 9 Softworks
We use Global Forms and Global Search to create, track, and manage purchase orders. Before transitioning our purchasing orders to Square 9, we used paper forms. Inevitably, our accountant couldn't find a specific PO because it got lost in the shuffle, someone needed a copy, or we would have trouble getting it authorized. With Global Forms, all these issues have been resolved since the POs exist in one place in the Square 9 cloud and authorization takes place electronically. We also use Global Search to archive business records. We used to have 10+ filing cabinets of business records. We scanned them into Global Search. We have separate archives for different kinds of documents. Documents are easy to upload and locate. We have these documents stored in the Square 9 cloud, so all of these documents are easily accessible at WFH or the office.
Pros
- The software is very flexible, and the technicians were great at implementing our customizations for the PO project.
- While indexing fields in Global Search, the Key Free tool works great.
- Global Search is well-organized. It's easy to navigate and find your documents.
- The process for completing your project was well done. Communicating with individuals at Square 9 who were responsible for different aspects of the project was easy.
Cons
- On the Purchase Request form in Global Forms, I wish we could alphabetize the vendors or choose another method to select a vendor (in place of a drop-down). It's a pain to try to find a previously entered vendor among the 57 total vendors. See the entered info on that vendor.
- Some tasks, like the process to add or edit a Purchase Request Approver, aren't straightforward.
- When setting up our PO system instance, we had to create an email address within Microsoft Exchange Online. Then, we had to authorize a process in Azure. I wish there was better documentation and an explanation of why we were doing that because it would have made the latter part much easier. Authorizing the process took some effort.
- We save so much time going through our Purchase Order process, from entering the request to getting it approved.
- Having migrated our data to the Square 9 cloud saves our IT dept from maintaining on-premise servers and the locally installed Square 9 software.
Compliant cloud storage allows our employees to work from home or at the office without having to do something different, like login via VPN and no longer using a terminal server. It saves us time.
