Square 9 addresses our need for efficient invoice processing and organized document storage. On the AP side, invoices are captured, coded by AI, and routed through approval workflows automatically. Once configured, the system runs with minimal oversight. We also use it as a document management solution where AI-assisted indexing keeps files organized and accessible. We moved to Square 9 after our previous platform failed to get off the ground with our complex requirements.
Pros

- Easy to build and adapt workflows to fit specific needs. Once configured, they run reliably without constant oversight.

It took longer than expected to get everything right. Our requirements were complex and there was a learning curve on both sides. Secure cloud storage gives us confidence that documents are protected and accessible when we need them. The AI-powered data extraction is the real time saver though. It accurately matches invoices to vendors and pulls the right coding without us having to look anything up. The impact has been less time spent on repetitive data entry for staff and faster turnaround on payments. We have not measured customer impact directly but smoother AP processes mean fewer delays and fewer headaches all around.
We tried Etrieve before Square 9 and it never got off the ground. Our requirements were too complex and the platform could not accommodate them. Square 9 offered the flexibility and customization we needed from the start. Support worked with us to build workflows that actually fit our processes instead of forcing us into a rigid structure.
