SAP Process Control Simplifies uses continuous control monitoring, and streamlined testing, and reduces risk with real-time insight into control status and key issues. It can be deployed on premise or in the cloud.
Diligent Community is well suited for entities in the public sector who need to comply with the Brown Act. Diligent One Platform is not well suitable for those who are not tech savvy. Board members who are older and do not use the Diligent One Platform frequently, are not comfortable using some of the functionality - such as voting - so it still needs to be done on the back-end.
Pentana is great for monitoring PIs and risks. We find it less helpful for monitoring projects (with the Actions module); it isn't quite flexible enough for our needs, though the support team have been very helpful in adding custom fields for us.
In my opinion, SAP Process Control is well suited for bigger companies with an already mature Internal Control System as well as for bigger companies who want to completely new/redesign the internal control system. The size of the company, as well as the budget, is quite important when thinking about the implementation of SAP Process Control. A smaller company with e.g., 150 people should think more about implementing SAP FCM.
Enhance business compliance by maintaining records and documents for all our processes and reports, which allows us to not worry about training new people in case resources are transferred.
We integrated risk assessment tools and business continuity plans, which allowed proactive identification and mitigation of potential business risks.
It helped to secure communication channels with confidential discussions and document sharing among team members and leadership.
Pentana is excellent for monitoring, recording and reporting on PIs. Very easy to use the PI module.
Pentana is excellent for monitoring risks at various levels (service, strategic etc.). Risks are displayed very clearly in a tree structure and the module is relatively easy to use.
Pentana could improve the free Documents module that comes with Pentana Risk. At the moment documents have to be linked to an action in order to display query results (such as how many documents are due for review) - this can be confusing for users who don't understand why there is an action linked. There is also no easy way for users to see the documents that are assigned to them.
We would like to use the Actions module fully in order to monitor our corporate projects, but it a bit confusing for users and not very flexible when a project doesn't mirror Pentana's way of monitoring actions.
I give it a 7. It has had a significant impact on the GRC department in terms of efficiency and effectiveness. At the start it took some time to tailor it to our unique business needs and to set up all our requirements. I would say the superpower of the tool is really here, in terms of time saving in report prep and manual testing. We have really used the control self assessment ability to have a strong impact on the business which helped to improve the internal control culture across the business. The dashboarding abilities had limitations for us and we created our own internal dashboards more suited to our operational needs. There is a steep learning curve for the admin roles who manage the system but I assume this will be the case for most of these types of systems. On the opposite side the end user usability is very good and easy to grasp.
Some modules are more user-friendly than others. It's sometimes not obvious where to click to update the fields (or even that field titles can be clicked on). We have written 'Howdys' to help users. There can also seem to be a lot of steps/clicks to updating risks and actions. The Reports module on Pentana classic is certainly not user-friendly, particularly the Report Layout and Charts modules - we were told these would be integrated into the web version but this hasn't happened yet.
HighBond by Galvanize support has some of the best and fastest support that I have experienced. Though we only contact them through emails, they were quick to provide insightful information about our problems. Whenever we email them about an issue, they would be able to reply in less than an hour, ready and prepared with useful solutions to address the issue.
We’re pretty satisfied with the implementation offering and the reading experiences provided. With our quarterly audits, this tool has made the task much more accessible. The outcome of version control of documents is easy to accomplish, and gathering all the records in one place makes it more accessible.
I'm excited about diligent due to the fact that they provide many tools to support compliance through use of analytics and testing processes. We also use FloQast, for which I'm an advocate for, however I'm not sure they have expanded yet to support analytics and testing. I don't have any further experience with other products
We selected Pentana because our neighbouring authorities are users and had spoken highly of the product and given us demonstrations; some of our staff were also familiar with Pentana when it was called Covalent. It seemed to be the best product on the market for monitoring risks, PIs and projects.
The connectivity with other SAP products out of the SAP GRC suite, like Access Control and so on, was key for the decision. Also we had an already mature SAP System landscape as well as having internal processes that were similar to the SAP Process Control standard processes helped us with the decision to implement SAP Process Control.
A lot of time and efficiency has been saved for my team as we continue to find different ways to automate tests, continuous monitoring projects, etc. We have been able to shift our focus on enhancement projects that previously had been on the back burner until we had switched to the Diligent One Platform.
Pentana Risk has allowed my team to focus on other areas of work whereas before we would be manually chasing for updates on PIs and risk. Pentana Risk does the chasing for us!
We are able to produce reports for audit purposes very easily, rather than sending spreadsheets which is what we used to do.
New managers can easily inherit risks, projects and PIs and see all of this on a custom portal, saving them time when they start.
