Likelihood to Recommend

Microsoft Dynamics 365

If you are looking for a giant database to store up all your contact information, turn to Microsoft Dynamics CRM. But if you are a sales and marketing professional who hopes to understand more about the leads and their journey behaviour on the website, then I think you should turn to something else.

MYOB

For a smaller business who isn't interested in having more than one user I think MYOB can serve them well. But if they want multiple users or are using virtual assistants there are better cloud based apps that are much more affordable and have far greater enhancements as well as integrations

Pros

Microsoft Dynamics 365

  • The integration with Outlook is a HUGE plus in terms of user adoption, and if user adoption is not there, then any expense on a CRM is a waste of money.
  • When implemented correctly, I've seen a minimum productivity improvement of 5%, very often much higher than that. This is primarily because it creates significantly streamlined communications, both internal and external to the company. What this means is fewer FTEs needed to do the same job!
  • Ease of creating dashboards - A picture is worth a thousand words, and dashboards tell each user how they are performing on a continuous basis. When this clicks, you get a situation of all horses pulling in the same direction, and the results of this are terrific!
  • Mid market manufacturing companies have invested heavily in streamlining operations and supply chain to drive down the unit production cost of the widgets they make. Unfortunately, they have not been able to do the same for Sales and Marketing, and Dynamics CRM is a tremendous tool in enforcing good sales process. When you have the discipline of following a good process, and have consistent Sales activity (both measurable from the CRM), you have a situation where the CRM becomes the best Sales Coach the company could ever have and not pay for!!!
  • Business owners and managers must understand that it typically takes 6-12 months for the results to flow in. And it is often the case that when the bottlenecks in the Sales and Marketing processes are removed, other issues within the company get highlighted. Companies must be prepared for this, and the corresponding discomfort it creates. But it is all good, since we all want to work as efficiently as possible, and anything that brings inefficiencies to the surface is a good thing.

Cons

Microsoft Dynamics 365

  • User display enhancements. Mainly aesthetics.
  • Navigation control by security level.
  • Greater control of the iPhone app.

MYOB

  • At the time there wasn't a cloud based option and it had to be hosted locally.
  • Some of the templates were harder to alter than they should have been.
  • I found the updates to be rather expensive as at times there didn't seem to be much enhancements.
  • Support was tricky and not always as responsive as I would have preferred.

CRM systems are critical to our business, and the amount of time and effort devoted to implementing a new product is the main reason that I think we will stay with Microsoft Dynamics CRM. We are happy with many aspects of the product as-is, and hopeful that continued updates/versions will provide any additional features/functionality that we have on our wish list.

The interface is somewhat clunky and has lots of noise. Navigating around is not that simple and takes some getting used to. I think there are improvements to this in the 2013 version

Our partner, Ledgeview Partners has been FANTASTIC to work with. They are always timely in their response and have taken time to understand our business and our specific needs. We've made a lot of advanced customizations and they have been a great help in making those updates.

Alternatives Considered

Microsoft Dynamics 365

Our decision was driven by the familiarity of Microsoft products to the end users. We were an Outlook Exchange server based company, which has recently migrated to Office 365. The integration of Dynamics to Outlook is ideal and provides ease of use for the end user.We were using ACT! 2013 and the product was failing and reaching its end of life.

MYOB

Not even close. Though I will say MYOB had a budget module where Zoho Books doesn't which is one thing severely lacking in Zoho Books. On the other hand, Zoho Books allows for payment processing integration without trying to get a cut from the process whereas MYOB allowed for payment processing but you had to go through their service only and it wasn't cheap.

Return on Investment

Microsoft Dynamics 365

  • The reporting feature has allowed our sales team to be proactive in anticipating customer's needs. Our team, during the winter season, can see which of their accounts have not ordered in two weeks and can be proactive in reaching out to them to place heating oil orders.
  • The reporting feature also allows a view for seeing which customers have outstanding invoices and the salesperson can work in tandem with accounting to collect and track all interactions.
  • Our sales team can see which of their opportunities are lapsed and work proactively to close and or document loss appropriately. This increased close ratio and allows the marketing team to assist with timed email push reminders.

MYOB

  • It was great when we first started using it but there was a time when MYOB stopped supporting payroll tax tables for Apple computers and so we made the switch.
  • While we were using it staying on top of all of the pesky accounting details was a breeze.
  • We were very detail oriented to begin with and had a thorough understanding of basic accounting principles but anyone without even basic knowledge can quickly set up MYOB and get running fairly quickly and provide detailed reports to their CPA or CFO consultant for a deeper analysis of their business.
