We use Bonterra to track our participants from the Applicant to retention. Bonterra helps us keep our data in one organized platform and pull reports, graphs, and bulletins to more easily use the data for decision-making.

We use Bonterra Apricot in our organization, specifically at NAMI Living Room, primarily for case note documentation. The product addresses several key business problems for our team. Tracking client classes taken and their outcomes is beneficial to our organization for training purposes, as well as to educate students about their achievements.

I work for a non-profit ministry, and all of our resident files and records are entered and kept in Apricot. A couple of the challenges to this record keeping are that there are many and often changes to this information, and the Bonterra Apricot system can be tailored to meet these demands. Troubleshooting can also be a challenge, but help has been readily available whenever it has been required. We are able to keep track of all the information generated by a one-year stay in our program and have it available and current at all times. I have been a blessing to this ministry in many ways.

Apricot is very helpful with program management and robust reporting. Compliance reporting, outcomes reporting, data quality management, case management, and staff management are common themes. As the data specialist, I run analysis to the interest of our stakeholders within the court system and child welfare system. Consumer satisfaction surveys, staff documentation, and case assignments can be facilitated with the product.

Cons

  • Apricot has been improving since I've started with it. I get to be apart of the design team and I'm constantly seeing changes.
  • It's been about 5 years using the tool, I've adjusted to it. Having to click to refresh the page is sometimes concerning for sub-contractors, but they adjust as well.
  • I'd like to network and find a way to help those who may be looking for help with the tool.

Apricot suits us well with staff experienced and passionate about data entry. As a person who enjoys data system, I think it's well suited for advance users. SQL is sometimes beyond my comfort, so the system is well suited for those with a team. databased exports seem to be more challenging than I'd admit. I also don't have much experience with SQL exports.

Apricot is used as our case management system. We use it to document care plans, communication notes, upload related case files, and as a database for local referrals. We were in-between systems previously, and Apricot has been able to elevate our work in a more organized fashion. It's also been helpful for data collection and making sure we are able to demonstrate impact.

Pros

  • The ability to create multiple reports
  • Keeps our cases organized on an individual basis and household basis
  • It's very user friendly and easy to navigate

Cons

  • The Connect feature is poor. We were hoping to use it to send resources to families geographically, but the system does not have that function to filter at this time. A way to filter the people you want to message without having to do it manually is needed
  • Apricot can run very slow in general and I have to hit the refresh button multiple times

Our team has a lot of different steps to take in regard to their jobs. Apricot is very helpful in breaking everything down into separate folders that makes everyone's job more organized and flowing. Everything has a specific place, which also makes it easy to recognize if someone on the team is doing their job well or if someone needs additional training. The biggest flaw in Apricot is the Connect system, as I stated in a previous question. A big perk to Apricot in the beginning was being able to send out resources directly to a large group. However, not every resource is applicable for all families. We manage a large population of families, so it's very hard to organize it manually. There needs to be a way to filer out who we want to send things to right through the system instead of having to do it 1 by 1.

I use Apricot for logging case notes and tracking data for families I work with in shelter. We are able to keep all data for our families in one place that is accesible to all case managers in the organization so staff can stay up to date on the work being done and challenges families may be experiencing.

  • Allow users to be away from Apricot without timing out
  • Once something is saved, don't show the window that says changes you made may not be saved.

Likelihood to Recommend

For my purposes of tracking participant case notes and data, Apricot functions well. The layout is sleek and organized, and the platform is user friendly making for an easy adjustment period for new staff. We are able to track important deadlines on the home page so the user doesn't need to take time out of their day to see what needs to be prioritized, they can just jump into the work.

Our organization utilizes Bonterra Apricot to manage Case Notes, Client Dashboards, track direct financial assistance, perform Data Reporting, and log dates of significant importance for clients, among many other tasks. The product has addressed problems with other software we've used, which frequently had errors in data reporting or very slow times waiting for reports to generate. At times, these reports would run for hours before giving an error notification and needing to be rerun. Bonterra Apricot is the exact opposite. Numbers are accurate, and reports are generated and updated immediately.

  • Ease of navigation combined with plenty of user-friendly tips located on each page.
  • Fast and accurate data reports.
  • Multiple field search options to ensure a client or case can be located.
  • Very strong security measures to protect users' credentials.

Bonterra Apricot is ideal for every scenario I can think of, especially if your business tracks numbers, records financials, logs client information, and has dashboards for individuals, groups, and more. Case Notes for clients are well-layered without being overbearing or cluttered with too much information on the screen. Scenarios where it's less appropriate may be simply for teams of 5-7 staff in size, where tracking can be much more manageable without needing software to do so.

We are a nonprofit. We use Bonterra Apricot to do intake information for the families we serve. It helps us keep track of our services. We use secure webforms to allow families to request our services more easily. It helps us track different programs, trainings, and events. It also helps us pull reports and track data for our grants.

Likelihood to Recommend

Apricot is great for working in the social services or non-profit sector. So, Apricot has the forms we need and is built for organizations like ours to collect data on the families we help and run reports for ourselves to improve and for our grant purposes. Apricot can be complicated and is not intuitive when building forms, linking records, and so on. It can take years to fully utilize all the features, so it’s not suitable for short-term use.

We use the program to keep track of our clients and the services we provide. We created a program that logs attendance in classes, tracks the services provided, and reports on the statistics of what we offer and the volume of work we do. We need to be able to prove the services provided, so the information entered can be used in reporting for grants.

Pros

  • Allows for us to customize what we are doing and what the output is.
  • Addresses problems swiftly. Good support.

Cons

  • There are several things in the "suggestion" area that have been there for a while. For instance, to be able to see the client's age instead of just the birthdate. Many people want this, but I don't understand why it can't be done for us.
  • Luckily, whenever an issue arises, it's not there for long, as you have a fairly quick turnaround for resolving them.
  • Being able to view notes and other information sources with just a drop-down, instead of opening the entire note, would be preferred.
  • There are times when the system is just slow or doesn't work at all and it takes a little extra time for it to be resolved. This causes some stress.

Likelihood to Recommend

Bonterra works great with allowing us to customize and create a program that meets our needs to document and track the services we provide. It allows us to grow with the program and create a system that grows with us. It is definitely a program that surpasses by leaps and bounds the previous program we had. I look forward to seeing what more we can do with it.
