FormAssembly works well when you need to collect structured data and connect it with tools like Salesforce. It is a good choice for businnesses that need secure forms and reliable data handling. But for very simple forms or small teams, it can feel more expensive and bit complex to use at first. Also, one thing if there is free plan available for normal user than it will be the best thing about this tool. Thank you!!

My organization runs training sessions for child advocacy professionals in the Northeast United States and across the country, reaching thousands of people each year. Just maintaining accurate records for each of our events can be challenging, let alone gathering and synthesizing data to analyze in reports for our government funders. FormAssembly has been a go-to tool for us for years to collect registration, evaluation, and reimbursement data all in one place.

  • Would love to see more how-to training be available.

FormAssembly is awesome for certain situations. Website integration is particularly smooth, and integrations with platforms like FormAssembly are widely available. For us, this makes FormAssembly a vital tool for high-volume training with participants under high-workload conditions, because it reduces friction for participants as they complete the forms while saving time for our staff who handle data entry. Conversely, the process of setting up forms and their integrations feels heavy-handed for some of our smaller events with fewer participants.

Use Cases and Deployment Scope

We use formAssembly as a form tool for applications and surveys. It provides a very robust form intake process. We can prefill data based on the user, kick off automations on submission, create PDFs of the submissions, and attach them back to a record within our CRM. It's very flexible and customizable.

  • Applications for Grants.
  • Surveys for Marketing.
  • User Information Gathering for Communication preferences.

Cons

  • Styling is a bit limited.
  • We would love a better integration with SF Experience Cloud.
  • Easier way to use translations or have a form be translated in to multiple languages.

Likelihood to Recommend

It's affordable, flexible, and does everything you need a form tool to do. It's not that hard to figure out, and an admin can start using it right away, without too much support. Their support documentation is very good, and we can find exactly what we need without much digging.

Our organization uses FormAssembly as a tool to conduct member conferences. We use the secure forms to gather new business items and constitutional amendments. Since COVID. our organization has used this program to offer a secure format to gather important information in a more streamlined process than we previously had as paper and pencil. Not only are we more secure, but also environmentally friendly.

It is used by all current Oxford University students, not just those at business school. Teams such as the CRM Team, Web Team, Entrepreneurship Centre, Goldman Sachs Team, and Programme Recruitment and BD teams use/ manage FA for various purposes. The system is user-friendly, easy to configure, supports branding, and incorporates custom logic and rules, making it very helpful.

Use Cases and Deployment Scope

We use FormAssembly to register adult learners for professional development trainings, and to collect evaluations at the conclusion of the sessions. We are able to pass the information directly to Salesforce and track the responses easily through Salesforce and email alerts. FormAssembly also allows us to screen people for courses that have prerequisites, and collect different relevant data based on responses.

Pros

  • Easy to add branding/logos to forms
  • Conditional questions for screening and follow up
  • Being able to save predefined field sets and clone existing forms is super helpful!
  • Ability to connect to Salesforce, Google, etc is really useful

Cons

  • I really wish the form list was wider! A lot of our forms have similar names and max width of only 800px with no text wrapping makes it difficult to find when searching!

Likelihood to Recommend

FormAssembly is really great for registrations, applications and collecting feedback. There are some times when we don't use it for feedback because it doesn't create graphs, and apparently the system our coworkers' department does. This is only an occasional issue for our department, so I don't really consider it a problem.

We use FormAssembly to build forms to enable external stakeholders (including customers and contractors) to submit data into our Salesforce instance. We use Salesforce across many aspects of our operation, but Salesforce provides fairly limited options to create forms allowing non-Salesforce users to send data into Salesforce. We've found FormAssembly's easy-to-use Salesforce connector to be invaluable in plugging the gap and allow us more options to intake data.

Pros

  • Salesforce prefill is a powerful way to prefill forms with records from Salesforce and prevent duplicate data entry.
  • Salesforce submission connector allows us to create some pretty complex and powerful logic to process form submissions into Salesforce data.
  • General form prefill options via query strings in the URL is a helpful feature.
  • The ability to use custom CSS and javascript on the page makes the forms very extensible and has been helpful to give us even more functionality.

Cons

  • Improved design and templates could make it faster for us to create mobile-optimized, beautiful forms - we find the current templates are functional but we have considerable work to do in cases to make them feel more in line with our branding.
  • We would welcome additional security and authentication features on form submission, including potentially 2-factor authentication in order to verify that a submitter matches a user in our database, or IP restriction on who can submit.
  • We would love to be able to organize forms across more levels of hierarchical organization, such as using folders/directories to organize different types of forms.

Likelihood to Recommend

Our primary use case for FormAssembly involves using it for data intake into Salesforce. We've found that FormAssembly for the cost is the best and most flexible form builder on the market to allow us to quickly create and test forms to get data into Salesforce. We've even been able to accommodate quite complex logic in FormAssembly forms to process form data into actionable information internally. Outside of the specific Salesforce power-ups, I probably would not be as keen to recommend FormAssembly over other applications such as Google Forms. While we love the Salesforce connectivity, I would say there are other apps on the market that offer better options in terms of sharing settings, user validation, and overall look and feel of the forms.

Clean Workflows

Workflows are extremely helpful to handle reimbursement requests from contractors that then get funneled to the appropriate department for approval. It even sends the e status notification.

It saves us a great deal of time and gets our people reimbursed faster.

  • Allowing for unique styles to fit the tone of both the company and the task.

Cons

  • Reporting filters and list views on workflow responses aren’t always intuitive. It gets the job done though.

Likelihood to Recommend

Integrating with the Salesforce is great. Complex logic is awesome. A simple survey can sometimes be handled more cheaply with other tools.

We use FormAssembly to support the development of online forms as part of our programs that support tourism promotion for British Columbia. We needed our forms to be easy to build and to feed data into our Salesforce instance. The use cases are primarily around registration of users into our systems to join the tourism-related programs.

Pros

  • The interface is easy to understand
  • The integration with Salesforce is seemless
  • It retains the form data in case we need to access it later as a backup

Cons

  • we could always use more styling options when it comes to the form builder
  • in our past use of the form builder when adding attachments to a form, there was an upload limit of 35MB. It would be great if this limit was increased.

Likelihood to Recommend

FormAssembly is great if you need to build forms quickly and efficiently with a simple workflow and one way data flow. For scenarios where you require a logged in experience for a user to save and come back to their form submission we found it less suitable.
