Use Cases and Deployment Scope

NEXGEN Asset Management is a cloud-based computer maintenance management (CMMS) and asset management solution suitable for municipalities, facilities and manufacturing industries. It helps us with our customer and service requests, preventive maintenance, asset planning and work order management. We advise that all of our clients use NEXGEN based on our surveys and corporate use.

It is very easy to use and everyone knows about it. It integrates quite easily with most everything. Our clients have not complained about it and seems to be well suited to the manufacturing sector where we work, but for small mom and pop shop it's a bit much, we would recommend a more simple product to those clients

We use NEXGEN Asset Management on a daily basis to solve our work order and asset management challenges. NEXGEN Asset Management manages both horizontal and vertical assets throughout our enterprise. Our staff is in contact with up to 200 assets per day and NEXGEN Asset Management allows us to track costs, maintenance tasks, and history both in the field and the office.

  • Better beta testing before the roll out of updated software versions would help reduce bug reports and updates

The common interface between modules reduces confusion and training demands. Once the staff is trained on one module the rest of the modules are so similar they do not require extensive training. I can get staff trained up and using the system with less than 1 hour of training.

NEXGEN Asset Management shows all maintenance completed including sewer line inspections and cleaning. This program helps us keep track of all my jobs.

Pros

  • Shows when equipment has been serviced.
  • Shows maps that can be measured.
  • Shows all sewer lines.

Cons

  • When a task is done it would be nice for Nexgen to correctly show it in the work order section
  • When using the measurement tool it should start in feet not meters.
  • Quicker loading time.

NEXGEN is a good Asset Management tool with a personal touch.

NEXGEN is used to track our assets and their associated details, enter work orders for tracking stage and status of the work order, create preventive maintenance requests at scheduled times, compile historical data of assets, and begin to use for reliability tracking of assets. The main issue we currently struggle with is the base program does not have a great way of tracking data for cause and failure analysis, which has required us to utilize "user-defined fields" to enter and track the data. To the credit of NEXGEN, user-defined fields and customization are allowed to assist customers who are using NEXGEN beyond its actual design, which hopefully cause and failure analysis will be a near-future consideration for them.

NEXGEN works extremely well as a system for tracking assets and the maintenance that is required to keep those assets operational. The workflow can be custom tailored for an individual company's needs and notifications can be easily made to individuals or groups. NEXGEN also allows for the costing of labor, equipment, and parts onto the work order, which easily gives historical costing data for each asset.

We are water & Sanitary sewer utilities. We want to track all maintenance, improvements, and condition assessment documentation with this software in linear assets and process or treatment plant assets

Pros

  • Tracks task details and documentation very well - integrated with ESRI GIS
  • Standard and custom management reports with flexibility to filter data
  • Great tech support!
  • Flexibility to many different types of assets and structure work orders to capture the appropriate data in each case

Cons

  • The GIS connection only updates changes in GIS on a weekly basis - not in real time
  • Still relatively early in use - no connection to field devices to determine issues and no use in treatment plants yet.
  • Need to get No-Dig messages texted to on-call phone

In 2009 we wanted to get away from using paperwork orders for our operations department and decided to go with NEXGEN. At the time they were one of the only programs available that offered everything we needed. It was web-based and also had a preventive maintenance module we were looking for. Over the years we continued going paperless by taking advantage of the modules NEXGEN offers. This included Assets, Inspections, GIS, Inventory, Customers, Reports, Employees, Training, and Equipment. Once Nexgen introduced an iPad application we rolled out iPads to our crew and they started inputting data in the field. The software is very customizable and the staff at NEXGEN is very willing to help with anything you need and quick to respond. My only complaint with NEXGEN that has been going on since day one and continues to this day is the quality control. Almost every update they release doesn't get thoroughly tested and the release breaks modules. I've spent countless hours over the last decade working with my coworkers trying to figure out what the issue is and reporting it to NEXGEN. I even joked with the owner of the company that he should be paying me because I'm basically a NEXGEN employee finding and reporting bugs.

Any utilities out there whether it's water, gas, or electric will find this software helpful. It has everything you need for your operations department and even some modules your lab and administration department can use. It helped us go paperless and become more organized.

NEXGEN Asset Management: Powerful yet Straightforward

We primarily use NEXGEN as a work order management system and to track timekeeping. We are using the NEXGEN 311 portal to request service internally between departments. NEXGEN allows us to keep the history of an asset through preventive and corrective work orders Reporting on this history helps us to make decisions on the life of that asset and the labor involved with its upkeep.

NEXGEN accommodates a workforce that has varying levels of technological skills. It is intuitive and user-friendly. Setting up preventive maintenance is easy to do. Editing and adjusting the schedule takes no time at all. I had one preventive maintenance schedule set up for multiple pump stations and the supervisor asked me to change it so each pump station had its own PM schedule. Using the save as a feature allowed me to quickly add the additional PMs.

We use NEXGEN as a City Water Department. We use it for inventory, purchase orders, service requests, work orders, asset management, reporting, etc. Most frequently we will use it for the requests that come in from citizens on a daily basis and create work orders. We use NEXGEN to keep track of all the work that is done by our department, and as a database of that information when we need to pull reports. It also is the only program we use to keep track of our inventory, so we use it as a reference on a regular basis of when we need to buy more parts, etc.

  • Am currently having issues with getting PM's to generate
  • Customer service is great 75% of the time, but there are more difficult issues on the occasion that it takes me a while to hear back on, and I have to check-in

I already do recommend NEXGEN to colleagues because I think the accessibility is so great. It is very user-friendly for people who are great with technology. I have tested/used other programs and I can truly say that most other programs are not as user-friendly as NEXGEN. I did not learn how to use NEXGEN by going to a conference or learning from their employees myself. But, just from second-hand knowledge and exploring the system myself, I was able to learn how to do almost everything I needed. When I can't figure something out, I just send out an email and receive information back very quickly.

NEXGEN Asset Management was introduced to our company about six years ago. Our company was looking for an asset management software designed to support our operations, maintenance, engineering, and accounting practices while integrating with the software's we currently use. NEXGEN Asset Management allows us the ability to migrate all assets and attributes associated with our companies infrastructure. Our maintenance process team created preventative and predictive maintenance activities based on equipment specifications that would generate future work order tasks to be performed initiated on individual scheduling. The PM's creation utility is very versatile to be industry-specific and allows us to incorporate checklists for maintenance activities performed by the field user completing the tasks. Our company uses the asset condition assessment and capital planning prioritization modules to intuitively decide asset risk of failure replacements and forecast future budgeting. Our focus with the use of this software is being more proactive than reactive in maintaining our companies assets.

Likelihood to Recommend

In my opinion, this product was designed for water/wastewater application, and my recommendations would be to other utilities. But, NEXGEN Asset Management has developed versatility in its modules to accommodate multiple industries. NEXGEN University has been a great tool to help me educate end-users with deployment. Also, I have been able to use the knowledge base articles to resolve small issues and educate myself on the functionalities incorporated within the software.
