Use Cases and Deployment Scope

I switched from another payroll vendor to OnPay and am very happy. The interface is great, and when I have questions like "how to fund a SIMPLE IRA for a 62-year-old in 2025," I get it answered immediately.

We use OnPay to run payroll for our organization, including setting up employees and processing regular payroll runs. As a small organization, we needed a reliable, easy-to-use system with strong support, especially since this was our first time managing payroll internally.

Pros

The OnPay team has provided timely, clear, and proactive communication. They anticipated the next steps and helped us move forward, especially in getting our first payroll processed correctly.
As someone new to running payroll, the step-by-step guidance and explanations OnPay provides were incredibly helpful.
OnPay didn’t leave us to figure things out on our own. Support reached out early to ensure our account was configured correctly, helped verify key details, and checked in to make sure our first payroll went smoothly.

Cons

The mobile experience is functional but not as robust as the desktop version.

I need to run payroll when I want and not get in trouble with the IRS or the state for doing it wrong. OnPay makes it easy to run payroll from anywhere and I have never run into any filing problems. In the odd instance it has happened, they have corrected issues behind the scenes with little to no demand on my time.

OnPay is easy to navigate with a great onboarding experience. Customer service is great but I really like being able to login and see my requests have been resolved. Processing payroll is simple and taxes are properly withheld and paid. Mapping was a little tricky but I figured it out. This company is reliable and professional!

OnPay's onboarding process of assigning a representative to walk us through the first payroll was amazing and critical to our feeling comfortable with the platform. Use Cases and Deployment Scope

We use OnPay for payroll. The biggest solution it provides is an easy-to-use tool to track PTO, employee records and handle all legal aspects of payroll. We recently integrated a 401(k) plan into it to simplify the process of giving employees an easy way to manage their own savings as well as ensure the company's match is paid automatically. In 2026, we'll again integrate an HSA plan into OnPay.

Pros

Customer service is easy to reach and helpful.
Easy to set up and run as an employer who's wearing all operations hats.
Easy to use for employees.

Cons

It's sometimes difficult to find the right information using the search function, so I end up calling.
When setting up new employees, it would be helpful to make sure I've filled out everything required.

Likelihood to Recommend

Speaking as the leader of a small organization who wears multiple hats, I can delegate all payroll duties to OnPay for a reasonable cost. Larger, more complex organizations may benefit from something else, but OnPay is definitely suited well for those with smaller budgets and staffs where the person handling payroll has multiple duties and might not be a human relations expert.

I recently switched to OnPay for our payroll processing service. The entire process was quick and easy, the customer service was fast to respond to my questions. I just processed our first payroll with them and it was a very easy process. Employee feedback has been positive, too. I would definitely recommend if you are looking for simple, straightforward payroll processing!
