Asset Management and Reuse

There's full transparency in that sense in terms of reusing assets as well. Again, that is the bread and butter, if you like, of the CMP platform. We not only save all our working files within the platform, we also save our finalized files. They're all tagged. Our taxonomy is our own that we created. You can go into the library, search for things, search by date, search by type, search by file type for example, or region or there's a plethora of fields that you can search for to be able to see what has been done, reuse assets that have already been created.

There is Opal AI that has been added to the platform. I think that's the first platform from Optimizely that was given access to Opal and we've been very slow in adopting it, mainly for a couple of reasons, lack of knowledge, lack of resource. We are just starting to scratch the surface with that. So to us that's a big opportunity now to explore how Opal can help us not only streamline some of our processes, but also help us with repetitive tasks that perhaps are taking us a long time to do that are not necessary for a person to be sitting there and doing them that potentially can do for us. So we're excited about that.

I use Optimizely CMP mostly for careful content planning, approvals, and sometimes writing. The platform's editorial calendar, in particular, is very useful for getting a clear picture of what's in progress and what's coming this week or next; this helps a lot when coordinating with a graphic designer and editor. When I hand off a draft, it's very easy to keep all the feedback organized thanks to the comments, track changes, assignee locks, etc. Again, that speeds up the content production and makes the process more efficient overall. So, Optimizely handles the full process: drafting, copy, and approval in one place, which removes a lot of switching between tools. That said, setup takes real effort, but Optimizely can be very useful for mid-size and large content marketing, product marketing, and SEO content teams.

We'd like a system that allows marketers to collaborate efficiently and AI capabilities to do translation, derivative content and connect to other systems in our tech stack, also like to get analytics across web visits and content consumption. Optimizely Content Marketing Platform checks most of the boxes for us.

Use Cases and Deployment Scope

The way that we use it is to manage campaigns efficiently for the marketing team. So for example, if you have an email automation request, instead of doing it via the normal Word brief, you would send a brief via Optimizely. The relevant personal team would get that request. For example, if it's email automation in customer insights, which is a Microsoft tool, I would get that request and it would say email type design, everything associated with the brief and how that email should look, including the delivery. We would want to manage that all via Optimizely so that it's clear what all the tasks are when we need to meet them. And then we include approvals as well. It's about automating our workflows so they're all contained in one system and we can manage those requests, prioritize them, and make sure that we have a one stop review of everything that's going on in marketing. But the email automation was just one example. You might have a request for a brochure or for a social media post or a web post. We've got a whole range of requests that marketing have, but the content management platform is a way to host the brief for each type.

Pros

  • It allows the user to create as many briefs as they want for different type of requests. So if you are a team that wants to break things down into lots of different pieces and you want to request for everything, it does that. Or you could group things under four categories and then that's enough. It just gives you that flexibility to design plan and deliver that's suitable to the team and to the firm.

Cons

  • At the moment, whilst there's flexibility for designing briefs and workflows for a financial services firm, there isn't on the other side enough restriction and controls. I want to be able to control the list of approvers so that only certain SMEs can approve a brief that comes through. At the moment, that request goes to a whole group of people instead of individual. I've seen other tools where you have a dropdown of people you can choose from and at the moment optimizely does not have that flexibility. I would say that overall we need better ways of using data and governance specific to the firm to have more controls around those workflows. It's great for collaborating and managing campaigns, but when it comes to controls, I think there's definitely lack there. Hence why our particular project has been brought to a halt and we can't meet a deadline for November. I think if the tool had more flexibility around that, then it'll be great.
  • At the moment, I think Optimizely is, it seems to have a generic setup for every type of firm versus honing down on, right? If you're a financial services type of firm, you probably want these requirements and this kind of setup, if that makes sense, because you are going to get clients who want to refine and customize workloads and campaigns specific to their use, but they don't want it on a request basis. They want it to be available from the get go. And there's a misunderstanding that Optimizely already offers that and that's not so clear. I think on a high level, yes, it does offer great things, but when it comes to the finer detail, it needs more work compliance. I think compliance and approvals is the biggest question mark that I've seen at the moment.

A 7 only because I think there's question marks around customization. However, I've seen very similar tools in the past where stakeholders have been skeptical, but as you get to know it and use it, you'll find actually you realize those benefits. I just think Optimizely could help its stakeholders and clients see those benefits early on versus later on. However, that's not to say it's not possible, so a 7 at this stage, but I think it's got potential in future. If you are a marketing firm who wants a centralized system for managing workflows and campaigns, it's great. It does that. However, there are better competitors fill in some of the gaps better than optimized leaders does. It could do better. I think for me, visually when I see, when I create a workflow or a campaign, I can see all the tasks associated with it and I've seen the way that our parent company uses it. It's just a list of all the tasks you see in one view. I think visually it needs improving. However, the purpose that it serves fundamentally, it's got potential, if that makes sense. It's going in the right direction, but I think competitors are doing some of it better than Optimizely is. I think they, like I was saying earlier, if they really want to realize the benefits of the product visually there needs to be some improvement. And then the controls element that I mentioned earlier as well, hopefully that answers both of your questions.

We use the CMP to manage all our marketing activities, so from the planning to the execution. Anything that we produce that has a customer facing asset, be it an email, a web page, a landing page, or a brochure, all gets managed through the platform. We use it to make sure that everything is centralized and also that all our teams are aligned and they know at any given point, what are we working on, what the deadlines are, what projects are dependent of one another. With the global organization, it's very hard to keep everyone in line. The CMP allows us to be able to do that.

Pros

  • The CMP really is useful for us not only to manage the processes behind how we create content that we serve in different platforms like websites, landing pages, emails, social media, but it also help us as a team that is scattered around the globe to be able to be connected all the time to be able to see what we're working on, to be able to share assets as well. We are not reinventing the wheel to be able to show to other people within the organization what is happening at any given point. We use it not only for assets now, but we use it also for things like planning our webinars, planning our face-to-face events, so it truly is the heart of our marketing organization within the business.

  • I'm not sure if this is room for improvement for the platform as such, but it's definitely an area of improvement for us. At the moment, there's a lot of talk around AI. I think it's really well suited for organizations that have either big marketing teams that are scattered across different regions and different time zones because it helps everyone be aligned in terms of what is happening at any given time. That to me is one of the best things it can offer. The second thing is the management of the processes. You are not constantly reinventing the wheel when you work in marketing, you tend to have a process for doing certain jobs. For example, if you need to do an email or if you need to do a webinar, you will know what steps you need to take in order to deliver that. If you have lots of stakeholders that need to review things and need to approve things before they can go live, the CMP is the best tool for this because it keeps track of everything that is happening. You can assign steps to your legal team or your regulatory team and they have to go into the platform, be able to review whatever it is that you need them to review or approve. It keeps track of when that happened. There's no guesswork. You eliminate having to send things by email, by teams, by smoke signals. It's all in one place and if you ever needed to go back into things, everything gets saved there as well. All your working files up to your final files are all saved within the platform. You can manage your versions, you can reuse things in the future. There's so many possibilities for it. It depends on what you're trying to do, but at bedtime, if I do anything, no matter what you're trying to do, you'll find the right application within the platform to be able to make your job alive easier.

I would say in terms of planning and project management, it's really helping to facilitate holistically the whole plan and bring us all into one space and hold us accountable in terms of being able to have timelines, deadlines, and then assigning the right people. That's how we're using that. There is much more room in terms of some of the problems that we have that it can resolve as well, but we're in a crawl, walk, run phase at the moment.

Pros

  • I think I hit upon this earlier, but in terms of really highlighting where you are best investing your time, especially immediately. I come in every day and I know if I'm overdue on something, if something needs to be turned around that day or if there may be a bit of space and capacity within my schedule to explore and be a bit more creative and look at developing new ideas.

Cons

  • One thing that could be improved is some of the promotions that happen in platform. For example, there's a Opal AI little bubble at the bottom right of the corner, which you can't move across the screen. So if you're trying to change the status of a step or you're trying to update a description within a step, that can be a bit challenging and as it seems to be quite an easy fix.
  • I would love to see a capability in terms of having visual representation that we can share out with stakeholders that don't necessarily need access to CMP. But for that level of detail, we don't want it to go too granular, but we do want to be able to share in a quick and visual manner some of the activities that are happening so we can keep everybody in the loop without having to create different variations via different tools.

Likelihood to Recommend

I guess I can see from the way that we are utilizing it, it could be different functions. We are heavily using this as a marketing tool, but I do think there is scope where it could cross into other departments and essentially become a more centralized tool, providing a bit more sight into the other departments. Whether that's where we'd want to go, I'm not sure. That wouldn't be my call.

I use Optimizely for submitting tickets to the Corporate Marketing team and select items to our BU designer to help get assets accomplished. This includes creative requests (examples: data sheets, ebooks, etc.) and web-related tasks (examples: create a new page; updated content; get a vanity URL; etc.). There are more business problems/use cases beyond my scope.

Pros

  • Provides a single view into all tickets that I have open with Corporate Marketing
  • Shows status of tickets submitted to the marketing team
  • Easily see history of tasks previously submitted
  • All comments are included with the same job

Cons

  • The interface is difficult to navigate and isn't very intuitive. Having to open a request that turns into a work request is confusing.
  • Requests get stuck--sometimes no one looks at/accepts them if they don't follow the correct path; but it isn't intuitive to get the right path.
  • Deadlines and tasks are a mess, at least how we use it. A work request can sit on a step for a while if someone doesn't close out their step, which is frustrating when you are trying to move something along. Additionally, deadlines aren't accurate in the system.

This could be the implementation at my company, but it is confusing to figure out how to use this software. Things change within the system, and I'm not notified of them. For example, workflows changed a month or so back and it was confusing to find the right one. I also have to email outside of the system to get an answer and move things along because I didn't get the right workflow, which added time.
