Use Cases and Deployment Scope

We use Roomzilla for booking conference rooms for team meetings. Sometimes we have to book something on the fly when an issue comes up and sometimes we need to extend meetings beyond what we planned for - and Roomzilla makes all kinds of adjustments quick and effortless. It's also very intuitive to understand. For transparency, I received an incentive to review Roomzilla but the opinions expressed are my own.

Pros

  • Extend meetings that go on longer than expected
  • Instantly reserve a conference room for sudden needs
  • Cancels other peoples reservations if they don't show up within a fixed amount of time (I think it's 10 minutes or so)

Cons

  • Letting users define their "favorite" rooms so they show up at the top
  • Listing how large each of the conference rooms are (allowed occupancy number)

Likelihood to Recommend

Any shared work space is a great use case for Roomzilla. The only cases where it isn't necessary is when you have a small enough team that you make arrangements amongst yourselves. It especially helps to coordinate in shared work space with people from multiple startups working together by making it easy to coordinate

We schedule meetings as a team and with partners. We work in a co-work space where there is often a lot of spaces available but sometimes many meetings from other companies already set up. Roomzilla allows us to pre-schedule our meeting so we can be sure to have spaces to meet.

great for recurring meetings on a weekly basis when we don't have to schedule it every week - automatic feature is great.

ALso like how it describves the different features each room has with photo.

Filters for choosing words is great too as we can see what tech is available in each room

I am a program manager working in a busy office building with tons of shared space. I use Roomzilla to reserve space so that I always have the room I want to work in, before I get to the office. This platform allows me to login, search available rooms and make sure I have the room I need when I need it. I can also view the rooms ahead of time to make sure it has all the features I need.

  • The mobile feature needs work.

I had a client meeting last week. I was able to search for rooms near the elevator based on size and amenities. Viewing the pictures allowed me to see if it was a sunny space which I find to help when having tough conversations.

Easy to use at our co-working space

We use Roomzilla at our co-working space anytime we need to book a conference room. It's really easy to see which conference room is available based on what we need, whether that be video conferencing capabilities or just a small conference room for a quick 1:1. It's offered through the portal that the co-working space uses, so it's pretty seamless to use anytime we need to book a conference room.

  • Sends a calendar invite so I can add it to my calendar

Cons

  • Sometimes I forget to check in the room and I lose the reservation

If I know I have a meeting of 6 people and I'm going to need video conferencing capabilities, it's super easy to log on to the portal and figure out which room would be best suited for the meeting that we're going to have.

Great booking system

I use Roomzila as a room booking service. Every time when I need to use a room for a meeting, I go to Roomzilla, where I can easily see which rooms in my space are available, how to navigate to them and most importantly, can safely and easily book them. The service provides a great flexibility which makes it very easy to use.

Totally recommend it for coworking spaces

Great tool for shared spaces - coworking/office services. I'm a frequent user in the Warsaw CIC office - app works well. The design is little outdated, but the interface is clear and user friendly. System works without interruptions - sometimes as I click on tablets to confirm the reservation it gets a little laggy, but nothing to worry about in the long run. I'm confident to say I totally recommend it.

I use Roomzilla to book meeting rooms that are shared among other colleagues and businesses. It allows us to always have a reserved space for customer calls or team calls that have a number of colleagues where we need to whiteboard or brainstorm and don't want to disturb our other colleagues in the office.

  • Updates in real time
  • Shows the room details easily so you know what you are booking

Cons

  • The check in process is often glitchy
  • Certain rooms get hogged by particular individuals or teams for many days or every recurring day making it impossible for others to use the space as well

Likelihood to Recommend

Well suited for a shared space situation but difficult if you need a dedicated work space. I've found that certain teams will block off rooms that are designated as shared space. This isn't a Roomzilla problem per se but some limits on duration and frequency would be something to consider

I use Roomzilla in a shared office building. It's super easy to use and I've never had any issues with it. As someone who's regularly booking 2-3 meeting rooms a day, I'm so glad to have a quick and easy tool to solve the problem of not being able to find a meeting space. 10/10 recommend for anyone to use it!

I use Roomzilla to book rooms at the CIC whenever I have a meeting, when colleagues are visiting, or just when I need a quiet space to focus and get work done. It makes it super easy to see what rooms are free and reserve one in just a few clicks. I like that I can quickly find a spot that fits what I need (for a one-on-one or just some solo time away from the noise). It solves the hassle of not knowing where to go or worrying if a room is already taken.

Cons

  • Sometimes a room looks available in Roomzilla, but someone is already using it without booking. It would be great if there were a way to mark it as “occupied” or detect unofficial use.
  • Right now I can only book a room for up to 240 minutes. I’d love to have the option to reserve it for the full day if needed.
  • A “running late” feature would be super helpful. If I’m just 5–10 minutes behind, I’d like to be able to click something to keep my reservation from getting canceled.

Roomzilla works really well when I need to quickly book a room for a meeting, a last-minute catch-up, or just to have a quiet space to focus. It’s super useful when coworkers are visiting and we want a spot to work together without any hassle. But it’s a bit less helpful when someone takes a room without booking it—it still shows as available, which can be confusing. Also, for longer work sessions or full-day planning, it’s limiting that I can’t reserve a room for more than 240 minutes. A bit more flexibility would make it even better.

Great tool to extend space to your staff

We have limited space in our open space office so Roomzilla helps us find dedicated space for our work. The application is easy to use both the web application and the iOS version. It's easy to book in advance and set reoccurring times to use the space. The reminder notification also facilitates folks when their session is done.

  • I am able to review available rooms in my office from anywhere.
  • Easy to sign up with enough details for other folks to know what I am doing.

Cons

  • Roomzilla on the mobile app can be a bit clunky.

Likelihood to Recommend

Best suited for reservation for limited spaces and lots of staff wanting personal/dedicated space. Less appropriate if there is an abundance of space.
