I am an Executive assistant and use SAP Concur for expense reports and for booking travel. At my last job our expense reporting process was antiquated. using SAP Concur makes the process much easier. especially having the app on my phone. Snapping a quick picture of a receipt is much quicker and less painful than taping a receipt to a piece of paper and scanning 30-40 pages every month!

Pros

  • The ease of also having the mobile app so that you can upload receipts fast and view expenses on the go.
  • SAP Concur is smart so it identifies what a charge might be based on previous charges. Not always correct but it tries to think for us to make our lives easier.
  • Travel Booking + Expense Reporting go hand in and hand seeing all of this in one place is convenient.

Cons

  • The smart features don't always work. SAP Concur will usually guess and fill in the blanks for what a charge is. but sometimes the guess is wrong.
  • I support various busy execs and sometimes they don't have time to go in and submit a missing receipt declaration. It would be good if I could submit more on their behalf.
  • Sometimes it gets difficult with multiple people having access to an executive's SAP Concur expenses and we often have duplicates. which is often confusing. This may not be something you can fix.

Our organization uses SAP Concur for expense management and travel bookings. It is an easy way for employees to submit expenses for reimbursement in a streamlined way. It also has great travel booking processes built in so that employees can easily book work related travel with all the best options available.

Pros

  • Easy for employees to track and submit expense reports
  • Built in approval processes for expense report approvals
  • Simple to book business related travel to find the best options

Cons

  • It is not very straightforward on how to add in loyalty programs. I've had several instances where my loyalty programs don't carry through with my booking
  • Expense reports are tedious to build, especially when you have several expenses to enter from a company trip
  • The new AI functions for reading uploaded receipts has never worked for me, requiring me to do it manually anyways

  • Less time managing reimbursement via spreadsheets or emails

I've been using SAP Concur for over a decade across multiple tech companies. It helps us move at lightning speed when it comes to client facing meetings, company events, corporate travel and office expenses. We're able to use the mobile app on the go to speed up the process and get it done in that very moment. It's easy to tag the appropriate users involved, upload receipts, images, etc. add additional comments for further reviewing, and more.

Pros

  • Mobile app is user friendly

Cons

  • The UI is pretty outdated compared to other competitors that have a 2025+ modern and easier UX look and feel
  • Sometimes it's not the smoothest user journey. It can feel clunky across the different modules.
  • Poor UX/UI. Desktop sometimes feels easier than mobile.

Return on Investment

  • This helped our GTM teams increase speed to bookings/expenses which helped our Finance department wrap things up quickly

  • When flight is not booked by the company (after you do it from SAP Concur) it takes it away from SAP Concur and we get no notification
  • the expenses show up late sometimes
  • the manage expenses tab can have better options
