Use Cases and Deployment Scope

Webroot Email Security is used by our organization to act as our secure email gateway. It filters out bad emails (spam, phishing, etc.) and allows us to input specific allow & block list rules. We have this in place for the entire organization, so all emails are being filtered through this system.

Pros

  • Webroot Email Security has a message retraction feature that can pull bad emails from inboxes.
  • This platform has some fine grain filtering options to restrict emails based on originating country, confidence of spam thresholds, and even the ability to create custom rules that can go as far as to look at specific keywords in the body of an email.
  • There are ways to manipulate individual user settings, instead of just global settings, which allows for further customization.

Cons

  • I think that Webroot Email Security lets in too many bad emails and it becomes too time consuming to figure out why certain emails made it through while others didn't.
  • There is very little reporting in the tool and so it is hard for me to filter down the results beyond just knowing how many total emails came in and how many in total were blocked. For example, it would be nice to know how many emails were blocked based on different rules I have in place to see how effective they are or not.
  • There are no alerts or way for the system to tell me if a bad email made it through. Proofpoint TAP is a good example, because that platform will tell you if they let a bad email through and now it's been categorized as phishing.
  • The way that the block and allow lists are handled is a bit frustrating, because you can specify individual block and allow lists, but then you have to setup overrides and sometimes those don't always work the way you think they will.
  • There isn't a way to allow list the link protection, and I can't see any links that people are clicking on that were stopped by link protection, so I have no idea if that is doing anything.

Likelihood to Recommend

I think that Webroot Email Security is good for small-medium sized businesses who are on a budget for email security. They actually have a great encryption system for outbound email, and so if you bundle those together then it puts everything in the same pane of glass and that is nice. Over the last few years this company was purchased by OpenText, and I have seen some improvements because of that, but this product is not innovating like other emails solutions based on new threats that are emerging. I would say if you have a relatively low volume of inbound email, then this solution would suffice.

Use Cases and Deployment Scope

Our enterprise uses Zix to provide seamless in-line encryption for sensitive content. We love the ease of use for our end-users as well as the rule-based automation. Interactions with support have been very responsive and knowledgeable. Overall the best feature is the integration with 3rd party tools such as MS Outlook, which provide users a push-button ease of use.

Pros

  • end to end encryption
  • email security
  • inline encryption and decryption of email
  • certificate-based encryption

Cons

  • Improved support for cloud-hosted email solutions such as g-suite

Likelihood to Recommend

Appropriate for enterprises requiring secure, encrypted email and automated encryption based on rules and policies. This would be less applicable to a small business or businesses without certificate-based authentication fully implemented.

Use Cases and Deployment Scope

Our entire business is using Zix to avoid spam and phishing assaults on all of our email domains. Other widely used software was giving much too many false positives while still enabling harmful stuff to pass through. Almost all of the concerns have been handled by Zix.

Pros

  • Responses are quick. I've used the internet, email, and phone. All my contacts with them were great.
  • When we get a false positive, they allow it quickly.
  • Phishing protection.

Cons

  • Initially, their phone structure was tough to manage, but now it's easier.
  • When making online claims, a service ticket number might be optional.
  • Speed could be better.

Likelihood to Recommend

We have both email filtering and encryption, and they are far superior to everything else I've tried. Encrypted emails may be sent using an Outlook plugin. It's a great system. It's a breeze to get the plugin up and running. All of our users have it set up.

Support is very top notch, setup was well provided for. Migrating to new platform after they purchased AppRiver. Our whole organization use it. We use it to protect our users against email threats before they come to our servers.

  • When we have had an issue and it was a false positive, they are quick to react and allow it.

Cons

  • In the beginning they had a difficult phone structure to manage, however that has changed and it is much simpler.
  • When submitting claims online they could have an optional field for an Internal service ticket number.

Likelihood to Recommend

We have the encryption piece as well as email filtering and they are very superior products compared to others I have used in the past. They have an Outlook plugin to send encrypted mail. Works very well. The plugin is very simple to install. We have it set up for all of our users.

Use Cases and Deployment Scope

Zix is being utilized by our entire organization, across all of our various email domains to prevent spam and phishing attacks. We were using another "industry standard" program that was providing way too many false positives while still allowing malicious content through. Zix has resolved almost all of those issues.

Pros

  • Phishing protection.
  • Email release by users.
  • Message retraction when malicious content slips through.

Cons

  • Reporting spam that came through (can forward to an email address, but it is not displayed or easily found, must ask).
  • Downloading copies for review.
  • Speed (site is a little slow at times).

Likelihood to Recommend

Recently a malicious email came through (direct email from a breached iCloud account pretending to be our president) - the email appeared by all points to be legitimate, but went to several former employees and several unrelated employees. Once caught, I was able to retract the message from all mailboxes and distribution lists with one click. This is much more effective than other systems with no retraction, and your only option is to send an email to all that received the previous email asking them to delete, or using PowerShell commands.

Use Cases and Deployment Scope

We are a healthcare non-profit. We have to comply with various security regulations including HIPAA, PCI, FERPA, etc. We needed a solution to be used across the entire organization. Zix automatically scans each outgoing message and ensures that protect information is encrypted or in the case of PCI, the information is quarantined and never is delivered.

Pros

  • Easy to use, Zix works behind the scenes.
  • The secure portal is great for sending sensitive data securely.
  • The secure portal feature set is robust, allowing to delete messages, recall, etc.
  • Great customer service.

Cons

  • The secure portal is great but some end users do not like having to log in to see messages.
  • The admin interface is kind of dated looking. Needs some updating.

Likelihood to Recommend

Zix is great. In our organization, we have some staff that are very techy and some where technology is a struggle. Zix just works. End users can send emails and Zix scans and quarantines emails if needed. Staff and IT admins are alerted, IT can review the message, and staff has the ability to self-release (if configured that way).

After reviewing several other vendors/solutions. Zix is an incredible cloud-hosted solution, so no need to have a server onsite. Customer service has been great on setting up the initial ruleset, and the few times we needed some additional help on pulling reports.

Reporting is also great on Zix. You can track messages, see if a message was read (if using the secure portal), expire the message, etc.

Use Cases and Deployment Scope

Our company uses Zix to ensure we can have a secure email service for our staff to be able to talk to each other and to outside companies to help promote the well being of our clients. It allows us to be able to email securely and with confidence, and well as archive our emails.

Pros

  • The customer service is amazing.
  • It is simple to use.
  • It can be used across different email platforms.

Cons

  • I do not use the actual main web page of Zix, so that would be nice if I could learn it.
  • Having access to change our own secure word instead of needing to reach out to Zix to do it.
  • Honestly, we do not have many issues.

Likelihood to Recommend

I have already suggested Zix to many of our colleagues in the home healthcare field, and many of our colleagues also use Zix, which makes it very easy to communicate back and forth. We also use it within our own agency to talk to each other since it is health care, and it is important to be secure and sensitive.

Use Cases and Deployment Scope

It's being used primarily by unions who have to deal with the personal information of their members to protect such things as medical claims, etc. Users rely upon automatic rules-based encryption of email to comply with HIPAA and their insurance requirements.

Pros

  • Automatic encryption by keyword.
  • Unobtrusive technology.

Cons

  • Minimum user count.
  • Pricing

Likelihood to Recommend

Zix does a lot, but we mainly look to it for email encryption. It makes sense when you have 25 users or more and where confidential information is being sent outside the company and needs to be encrypted for regulatory purposes.
