My review of Monday.com as a multi-department collaborative project planner & management tool

Overall Satisfaction with monday.com

  • Time saving was huge once everyone understood how to use Monday.com. We were able to complete the project 30% faster than if we had not used it as a constant reference tool for our work.
  • Team productivity and collaboration. We were able to have more interaction and better understanding across different roles within the project because of the visual aid that helped us understand the complex tasks some team members had to accomplish to deliver on their tasks. There is no monetary ROI to this but it was educational and insightful for future collaboration.
I used Monday.com as part of a team that was working on client's project. The reason it was chosen was because we were tackling a complex e-learning project and we needed a visual guide to help us all stay on track. Using Monday.com we were able to bring different people together with their distinct roles to be able to complete the project. Monday.com served as a color coded visual whiteboard that everyone could use to know when a key task was held up or being worked on. It was not used as a task manager but it helped multiple people keep track of their roles in the complex project.
  • Monday.com works well as a Visual management aid. You can also think of it as a digital whiteboard with color codes. These can help team members to be able to analyze tasks that they may need to work on and build a good workflow. It is also good for collaborating say across departments, maybe IT, marketing and admin.
  • Monday.com also works well for smaller user groups that have other task manager tools at their disposal. In our case, we would start the day with a group meeting looking at Monday.com and then we would individually find our main tasks and add our own sub-tasks in our personal task managers to keep track of the broader project.
  • It is a great customizable project management tool. With a few tricks, you can adapt it to Kaban, Gannt chart and other major project management styles depending on what you fancy. Also project updates are in real time, so when a task is moved, everyone gets notified
  • The pricing may seem high for a smaller team. When compared to other similar project management tools, Monday.com may seem a bit more expensive and not as feature rich.
  • Speed and Notifications. As mentioned previously, I found that Monday.com is ideal for smaller teams involved in a project. If you have a lot of people involved and tasks involved, you can get overwhelmed by notifications and a larger board also means that you can spend a significant amount of time waiting for boards to load.
  • The steep learning curve. Monday.com looks easy to use at first glance but there are a lot of features to learn and figure out and you may not have that time especially if working on time sensitive projects.

Once you get a hang of it, Monday.com is intuitive and actually fun to use (which is not easy to say of project management tools). It can be adapted to different management styles and I think it is a good tool for educational and collaboration purposes. The learning curve for advanced features may be steep but for basic everyday use cases, it is almost on par with other solutions on the market.


I never needed to contact Customer Support but we were able to avoid most issues I have read others have because we had someone who had used Monday.com extensively as a guide. I would say that in this regard Customer Support was ideal, but again since I never personally interacted or needed Customer Support it is hard to give a fair rating.
Monday.com worked for us as advertised and we enjoyed using the service. Features were fine for the most part and we were able to complete our project as projected. Overall it performed as expected.

As a group project management tool, I would not hesitate to Monday.com to anyone looking for a visual way to collaborate without investing in additional hardware.


It is also ideal for teams that work across departments and need a way to keep track of their roles in a broader project scope. While it can work for individual department teams, it feels like it was built strongly for multi-department collaboration.


Monday.com in my experience is ideal for teams of 10-25 people. Anything more than that and it can feel a bit too much especially price wise. Monday.com feels a tad-bit on the higher side and you would need to really use the color coded themes to justify making the jump for a larger team.
