Overall Satisfaction with Square 9 Softworks
We use Square 9 for all of our digital document storage for all departments, no more filing cabinets! We have also setup the OCR automation to scan in all our "proof of delivery" documents for quick and easy retrieval... the system can automatically recognize at least 10 key fields on the packing list and generate the indexes for later searches!
Pros
- Quick and Easy retrieval of documents
- Multiple indexing options and keywords for finding documents
- Key Free and Automatic (OCR) indexing
Cons
- Some of the administrative/security configuration with Windows Active Directory can be tricky when managed by separate corporate IT personnel (alignment in strategy)
- User adoption with any new process can be challenging, but overall user friendly menus
- As Database sizes grow (200,000+ records) paging through records can be cumbersome, probably need to migrate to an archive process to offload some of the data.
- Elimination of all filing activities, labor $$$ of at least $20,000 per year.
- Elimination of file cabinets, retention management, boxing and storage, purging and shredding... again, thousands of dollars of savings
- Estimate that we paid for the software in the 1st year and would never go backward to our old processes
The ability to pull a "signed proof of delivery" with only one or two key fields that were automatically indexed via OCR still amazes us... Customers will alway want, and need, that "copy" they lost that shows we delivered their products... and Square 9 makes it so easy to fulfil their requests with very little effort!
