Overall Satisfaction with Webexpenses

It is used across the whole organisation by people in all departments who generally make claims between one time and four times a month. People use the mobile app predominantly, although some also use laptops to access the system. It makes the expense claim process much quicker and more efficient.
  • Very easy to use.
  • Quick to make claims and quick to approve.
  • Can easily run reports on claims, users etc.
  • Easy to administer re new users, changing approvers etc.
  • People sometimes struggle to attach receipts until told how to.
  • It is not easy to drag the route around when trying to work out your mileage.
  • We had some connection issues until we realised we need to be on Chrome or MS Edge.
  • It has hugely cut down the amount of time needed across the business to make and approve claims.
  • The Finance team has benefitted hugely as previously they had to wade through all the paper claims, and their approval for the payment process is much easier.
  • The Accounts Payable team has also had their work reduced as Webexpenses wrote a custom report in the right format to be uploaded into the Accounts system pre populating details needed for the payment run.
It is very easy to use, and if there are any questions, you can watch the short videos to find out what to do. Being able to use the mobile app makes life much easier for people who are out and about. The layout is clear, and it is pretty intuitive.
I have not had much need to ask for help, but on the odd occasion that I have, the staff on the support desk have been very helpful and sorted out my problem for me. There are several places you can look for help, so depending on your own preference, you will find one that works for you.
We previously used paper claims with receipts/invoices attached. All claims are now on the system with pictures of receipts attached, which is a much quicker process. All line manager approvals and finance approvals are much quicker, and claims are now paid weekly rather than once a month which happened before.
We wanted a system that was easy to use, easy to train people in, one that would cut down on time needed across the business to make, approve and pay claims. Also, one that was not too high a cost. Webexpenses has delivered on all of these. It has been really great.

Webexpenses is ideal for people who are out and about and need to make claims without needing to log on to a computer. You can use the mobile app and snap a picture of a receipt straight away, and you then don't need to hold on to the receipt as you know it is safely stored away. It is very easy to use for both claimants and approvers.
